2 Site Setup Let s explore your site setup. Locate the webmaster toolbar in the upper left corner of your site. Click the gear icon at the bottom to expand the toolbar, then click on Site Setup: Configure your Contact Us Page: In Site setup, go to the Contact Us tab. Replace the existing information with the information you d like your constituents to see and the address you d like an requests to go to. If Hide address is checked, web crawlers will not be able to pick up the address and send spam to it.

3 Content Management System CMS aka Navigation Go to your site Click Edit Navigation in the webmaster toolbar. This screen is referred to as the CMS or Navigation. Navigation Items/pages are on the left side. Content Items (for the highlighted page) are on the right side.

4 Understanding the Navigation Item/Page Options With the Home page highlighted, click the Edit button in the left-column tool bar. This screen is referred to as the Edit Navigation/Page screen. Important Notes and Best Practices on the Edit Navigation/Page screen

5 Do NOT modify the Page Code Name of a standard (i.e. non-custom) page. Every page should have a Page Code Name. Page Codes cannot contain spaces or special characters. Navigating to pages is more straightforward when the URL Name and Page Code Name are the same. The Security Roles Required to View field is used to restrict access to Navigation Items/Pages. The Page Layout selection determines the content item sections available for that page. Note: If you change the Page Layout selection, you also need to adjust the content item sections to accommodate the new layout. Do NOT delete Navigation Items/Pages. For pages that should NOT be shown in the Navigation drop down menu but should be accessible on the site from tabs, links, etc., set the Show/Hide Navigation setting to Hide this navigation but leave its content on the site. For pages that should NOT be shown in the Navigation drop down menu nor accessible on the site, set the Show/Hide Navigation to setting Hide this navigation and its content from the site. Only delete pages that you created and you know will not be used again, and are not linked to from any other location.

6 Hands-On Training: Hide Blogs If you don t intend for your constituents to use blogs, please do the following: Click Edit Navigation

7 Locate the blogs page under Resources. Highlight the page, then click Edit in the Toolbar.

8 At the bottom of the page, change Show this navigation and its content on the site. To Hide this navigation but leave its content on the site. Then click Save. Content Items First, let s create a new content item. You do this by: 1) Highlighting the content item you want the new item to appear under 2) Clicking the New button in the right-column tool bar. In this case, click on the Home page in the left navigation area, then highlight the Recently Shared Files content item, and then click New.

9 This opens the Enter/Edit Content page. Enter your desired title, then unlick the Show box so this name doesn t show up above the content item. Choose content section 6. Since you highlighted Recently Shared Files, also in section 6, this new item will be placed underneath that one.

10 Content Item Types There are 6 types of content items to choose from: 1. HTML You can add, edit and format text, images and documents using the WYSIWYG editor. WYSIWYG stands for What You See Is What You Get. To avoid formatting issues, do NOT cut/paste from Microsoft Word into the WYSIWYG editor. Instead, add plain text and use the WYSIWYG formatting tools. You can convert content from Outlook, Word, etc. to plain text by pasting it into tools such as Notepad or Wordpad first, then copying it from there to the WYSIWYG editor. To modify the actual HTML code, switch from the Design tab to the HTML tab. Hands on Training: Let s add an image! 1. Still in the new item you just created, go to the WYSIWYG editor and click on the image manager: 2. Click Upload:

11 3. Then click Select: 4. Navigate to find an image on your desktop, then click Upload.

12 5. Then click insert. 6. Then click Save and return to site to see your results. Hands-On Training: Hiding a Content Item Similar to pages, it s safer to hide content items rather than delete them unless you created the content item and know you won t use it again. In our earlier exercise, hiding blogs, we hid the Blogs navigation item. However there is still a Recent Blogs control on the home page. 1. Go into Edit Navigation. 2. Highlight the Home page.

13 3. Locate the Recent Blogs control on the right (content) side. Double click on it or click Edit in the content toolbar to open it. 4. Click on the Hide this content item checkbox. 5. Save and return to site. The Recent Blogs content item should no longer appear.

14 6. Uploaded File This content item allows you to upload a file from your computer to the Document Manager. Doing this creates a direct link on the page to view the file. NOTE: The Document Manager is different than the Resource Library. Anything uploaded through the document manager isn t protected by community security and is searchable by search engines. There are also much smaller file size limits. Creating an Uploaded File Content Item 1. Click Edit Navigation. 2. Highlight the content item you want the new content item to appear under. 3. Click New in the right-hand column to create a new content item. 4. Fill in the appropriate fields: Type of content = Uploaded file Browse and select any file from your desktop 5. Click Save and Return to Site. 6. Click the link to view the uploaded file. 7. Hyperlink The hyperlink content item allows you to enter a URL to create a direct link on the page. The RIMS.org link at the top of the site is an example of this. 8. User Control A user control is a unique type of content item specific to the Higher Logic software; it tells the software what information to display on your site. Most of the content you see on your site is comprised of user controls. For example, your home page is likely comprised of the ws:mydocuments (Most Recent Library Entries), ws:recentblogs (Most Recent Blogs), and ws:eventlist (Upcoming Events) controls. User controls are smart most user controls update information automatically, which is more convenient for you than having to update HTML content items manually.

15 If you see a user control on a page of your site and would like to put it on another page of your site, you can simply copy/paste the content item from one page to another. Use the user control parameters that appear in the Parameter List to customize what information is displayed and how it is displayed on your site. *NOTE: The Parameter List for each control is different so do NOT copy parameters used for one control to a different control. Change User Control Parameters In Edit Navigation, highlight the Home page, then locate the Recently Shared Resources content item on the content (right) side: Either double click on Recently Shared Resources or click Edit in the tool bar to open the edit screen.

16 Locate the NumbertoShow parameter. Change the number from 3 to 4. This will display the four most recently shared items in your library. Click Save and return to site. 9. Syndicated Content The syndicated content type allows you to replicate content from one page to another. This is especially useful when managing content on microsites. For example, the Profile page on the model microsite is syndicated from the Profile page from the main site. So, when changes are made to the Profile page on the main site, they will automatically be reflected on the model microsite. Important note: Please do not change any pages containing syndicated content without checking with the RIMS national office first. Changing content on these pages could break functionality on your site. 10. JavaScript This should only be used by experienced webmasters. Page Content & Security What are Security Groups? Security Groups are groups of users, and usually replicate the Member Types assigned to users within the AMS. To identify what Security Groups are available on your site: Go to any page Click Edit Navigation Click Edit in the left-column tool bar View the checkboxes for the Security Roles Required to View field

17 There are 4 standard (Higher Logic-based) Security Groups: 1. Public anyone not logged in 2. Authenticated anyone logged in 3. IsMember anyone flagged as a member in your AMS 4. HLAdmin Higher Logic Administrators (set up via CCAdmin) Using Security Groups to Restrict Access to Pages Say you allow non-members to access your site and want to have a page that is only visible to members then you would want to make the page visible to the IsMember Security Group only. To lock down access to a page to specific Security Groups: Go to the page Click Edit Navigation Click Edit in the left-column tool bar Select the Security Groups that should have permission to view the page in the Security Roles Required to View field Click Save Using Security Groups to Restrict Access to Content Items Say you want to test a content item before making it live then you would want to make the content item visible to Site Administrators only. Or say you allow nonmembers to access your site and want to display some content on a page to members and non-members but one piece of content on that page to members only then you would want to make that one content item visible to Members Only (aka IsMember).

18 Hands-On Training: Create a public-only content item for your home page. 1. In Edit Navigation, highlight the Home page. Locate and select President s Letter in the content. 2. In the tool bar on the content side, click New. 3. Enter a name for the item: Interested in Joining?

19 4. Change the section to In the Content is available to section, select Public Only. 6. Leave the content item type as HTML. In the HTML editor, enter the language you might use to market to non-members: 7. Then click Save and return to site to see your results. Nothing there? Log out this content is only visible to people who aren t logged in!

20 Using the Community Tool The Community Members option provides a powerful tool to reach the members of your community. To access it, click on the Settings icon found in the upper right area of your microsite s home page, then click the Community Members link. At the top of the page you re taking to, you ll be presented with a list of the members of your community. If you scroll down further, you ll see the ing options:

21 Choose the desired template from the dropdown menu. If you need a special template created, please contact the RIMS national office with your request. If you need to make edits to customize the message on the template before sending (this is common), toggle the Edit before sending button to On. Click Next to make your edits to the template:

22 Once you ve completed your changes, click Next again. You ll be taken to a confirmation screen where you can also send yourself or someone else a test message before sending out the to the group: If you need to make changes, you can click the back arrow in your browser to do so. You Il notice at the top of this screen, there is confirmation of how many people will receive this message: When you re ready to send, click the Send messages button.
