3 Use password protected screen savers (on a PC, go to Start > Control Panel > Display; select the Screen Saver tab, and check the box for On resume password protect ). When you leave your desk, lock your computer (ctrl alt del) or log off so it is protected by your password when you are away. Do not place your password on a sticky note taped to your monitor, under your keyboard, in your desk, or anywhere else obvious Do not share your password. Phone/Voice Services IRM manages all aspects of the University voice system at all major campus locations. Voice services are managed by Communication Services Infrastructure (CSI) and all work is done on a chargeback basis. Requests for departmental consulting including voice system configuration, order processing, cabling, outside vendor orders, equipment maintenance, user training and billing of regular phones, cellular phones and Phon should be made by submitting through online Service Desk ( a ticket. Directory assistance now uses a voice recognition system, Intelli SPEECH, on the Boca Raton campus. With this system you do not need to know the number of the person or department you are calling. Just dial 0 from any campus phone or (561) and say the name you want to call. You will then be connected to that person or department. About IRM IRM plans for and provides high quality information technology resources in support of research, teaching, and learning across all campuses and to facilitate the efficient execution of administrative and public service functions of the University. IRM is headed by the Associate Provost/CIO, Jason Ball. In addition to providing FAU vital general computing and telecommunications services, IRM serves as a consultant and coordinator for more specific information technology activities and projects carried on by the various University colleges, departments, administrative offices and research groups. IRM s Technology Policies can be found on the web at techpolicies.pdf. This guide briefly describes the services that IRM provides to ensure that faculty receive the best possible technology resources. For more detailed information, please visit IRM publishes periodic online newsletters informing primarily faculty and staff about technology developments, improvements, and changes. These newsletters are published as part of the FAU weekly announcements and on the IRM web site. All calls that require live operator help are efficiently routed to Operator Services. Operators also assist with international calling and conference calling features. Page 20 Page 3

4 Technology Guide for New Faculty Getting Help Computing support is available to FAU faculty, staff, and students 24/7 both online and via telephone. How to Get Help Go to helpdesk. Click on the REQUEST SUPPORT tab at the top, center of the web page. Click on the SUBMIT A TICKET link. Enter your full FAU e mail address in the Official FAU E mail box. If you have not updated your password in this system previously, then enter your first name in the Password box. Be sure to type it in lowercase letters. Important Support Center Login Notes If you do not know what your FAU e mail address is, go to My FAU (myfau.fau.edu) and click on What is my FAUNet ID? and use the Lookup tool. Once you ve successfully logged in to the online Service Desk, we highly recommend that you update your password. To do so, after you login, click on the MY SUPPORT tab. Then click on the MY PROFILE link. Password Best Practices FAU is committed to the highest integrity in securing its IT environment. Your FAUNet ID and your password is the universityʹs standard for authentication for most information systems. FAU has the following requirements for passwords: A password must be at least 7 characters and no more than 30 characters long. A password should contain 2 of the following 4 types of characters: uppercase, lowercase, numeric, or symbols. A password may not repeat the user s previous password. A password should not contain the user s first name, last name, or address. Passwords will expire once a year. Users will be notified via 30 and 15 days before expiration and may change their passwords any time prior to expiration. A user whose password has expired must change his or her password at next login. Accounts will now lock out after 10 failed login attempts instead of 3. Recommendations for a secure password: Use a combination of capital and lowercase letters, numbers,and symbols # $ % ^ & + ). Never use your username as your password. Never use any form of your name, petʹs name or other name associated with you. Never use a word found in the dictionary. Change your password regularly, at least every 90 days, to keep your computer and accounts secure. Page 4 Page 19

5 Security Security is something we all hear about constantly and think is a good thing, but then we tend to let someone else worry about it. Although FAU has taken many steps to make its data and network secure, you yourself need to be aware that what you do can put yourself, or at least your computer, at risk. A little bit of forethought on your part can go a very long way. First, a few DON Ts: Never give out personal information (Social Security number, birth date, driver s license, any account number or password, etc.) to anyone who asks for it online, especially via e mail. It is very easy for people to send e mail that appears to be from a bank or other institution as a means of getting sensitive information from you. This kind of activity is called phishing. Never give your passwords to anyone or allow someone to log onto your account. Never write your password and leave it in an obvious place where someone will find it (such as taped to the bottom of your keyboard, computer, or monitor). Phone Support If you need to have your FAUNet ID password reset, experience login problems, or wish to speak to a support representative, please call our 24/7 support line at (561) or toll free at (866) Faculty/Staff Training Free instructor led training on microcomputer applications, Blackboard, and special programs specific to FAU s computer environment are available to FAU faculty and staff. The lectures are accompanied by hands on training in a computer equipped training lab, enabling participants to perform each function as it is taught. Go to for a list of available computer training courses. Now some Dos: Use anti virus software to protect your computer from viruses and other harmful programs (known as malware). Use pop up blockers in your web browser to help protect your computer from spyware (but be sure to allow pop ups from the FAU domain since MyFAU and Blackboard both use them). Page 18 Page 5

6 Desktop/PC Support A committee reviews and recommends appropriate desktop hardware and operating system software standards for networked systems. New releases are reviewed and tested for compatibility and performance within the University computing environment. Based on the results, IRM may recommend the product for use at FAU. Recommended Hardware IRM recommends the following minimum configurations for the academic year: Windows 7 and Vista Any Dual Core Processor; 2GB RAM 80GB Hard Drive 256MB Video Card Windows XP 1GHz Processor 1GB RAM 20GB Hard Drive Mac OS X v10.5 Leopard G4 (2003+), G5 or Intel Processor 1GB RAM 80GB Hard Drive Mac OS X v10.6 Snow Leopard Intel Processor 2GB RAM 80GB Hard Drive Lab Software Installations Microsoft Office Suite is installed on all lab systems. Other software varies depending upon the lab s geographic location and its proximity to specific academic areas of the campus. Instructors may request that course related software be installed in an IRM managed lab by submitting a ticket through the online Service Desk at The software must be compatible with the operating system on the lab computers. Software that requires hardware resources beyond system capabilities cannot be considered unless arrangements are made to upgrade the equipment. IRM reserves the right to decline requests for security and/or redundancy reasons. A copy of the software, installation manual, and the license agreement to cover the computers in the labs must be delivered to the Lab Office at the time of the request. Page 6 Page 17

7 Computing Facilities Computer Labs All computer systems in both the instructional and open student labs are connected to the campus network and have full access to the Internet. For more information about computer labs, including locations and hours of operation, visit Open Labs allow computer access to FAU students, faculty, and staff to perform class assignments, research, or any other University related work. Instructional Labs are available to all faculty and staff wishing to teach courses or to hold seminars in computerequipped facilities. To reserve an Instructional Lab please call (561) Electronic Classrooms The University has identified that each general classroom should have certain built in features such as TVs, VCRs, and Internet access. The term E Classroom is used for the electronic equipment and network capabilities that each classroom contains. To find out more about the types of E Classrooms FAU offers visit Audiovisual Services IRM provides a variety of audiovisual (AV) equipment that can be delivered to locations on FAU s campuses. Please allow three working days advanced reservation for AV equipment requests. AV services are campus specific, therefore all requests should be made according to the campus where the equipment is needed. An up to date list of recommended hardware and operating system software can be found on the IRM website at Software IRM provides technical support in the following areas: Windows 7, XP Professional, or Windows Vista Mac OS X FAU Desktop Applications and Services: Adobe Acrobat Reader Fetch FTP Client (Mac) SSH Secure FTP Client Office 2004/2008 (Mac) Internet Explorer Safari Microsoft Office 2003/2007/2010 Symantec Antivirus FAU Online Service Desk MyFAU Banner Blackboard Faculty and staff can obtain some commonly used software applications, such as Microsoft and Adobe products, for free or at a reduced price. A full list of packages and pricing is available online at Microsoft Office 2007 and Windows XP/ Windows 7 are available to faculty and staff for work at home for a small fee. Use of the software at home requires licensing separate from that for oncampus use. 8 FAUNet ID: Your Key to Computing at FAU All faculty and staff get an FAUNet ID upon attending orientation. This account serves as your FAU e mail address and gives you access to the following services: Technology Guide for New Faculty Network Authentication MyFAU (myfau.fau.edu): E mail, Calendar, Groups, and University Announcements and Self Service Blackboard Personal/Shared Network File Space Wireless Computing Authentication Your FAUNet ID is no more than eight characters and is based on your first initial and last name. In some cases, numbers are added to the end of the name to ensure that the username is unique. Your FAUNet ID will be changed only if you have legally changed your name and wish to have your FAUNet ID match that name. The FAUNet ID is the base of your FAU e mail address, which is in the following format: YourFAUNetID@fau.edu (example: jdoe@fau.edu). To find out what your FAUNet ID is go to My FAU (myfau.fau.edu) and click on What is my FAU Net ID? Click the Lookup tool link and enter your social security number or FAU Assigned ID (i.e., Z number). This will display both your FAUNet ID and your Z number. Page 8 Respondus Respondus is a tool for creating and managing online exams which can then either be published directly to and administered via Blackboard. Faculty can request a copy of Respondus through the online Computing Support Center ( StudyMate StudyMate Class is a tool that lets both instructors and students collaboratively create study materials and self assessments in Blackboard. Simple templates are used to enter items like glossary terms, lecture facts, sample problems or multiple choice questions. Students can then view the collective materials using interactive games, self assessments, or quizzes. Depending on the editing rights set by the instructor, students can even edit the contributions by others. For more information visit blackboard/studymate_class_server.php. LockDown Browser LockDown Browser is a customized web browser that prevents students from printing, copying, going to another URL, or accessing other applications during an assessment. If an instructor has set up online exams or assessments in Blackboard to require that LockDown Browser be used, the exam wonʹt be accessible with a standard web browser such as Internet Explorer, Firefox or Safari. Instead, students must use a computer that has the Lock Down Browser software installed, and when they launch it they will be taken directly to FAU s Blackboard login page to access and complete the test. Once students begin the assessment they will be locked into it until the student submits it for grading. The LockDown Browser software has been installed in most FAU instructional and open labs. Students wishing to take an assessment requiring LockDown Browser from their own computer must first install the software. For more information visit Page 15

9 acting as a plagiarism deterrent, it also has features designed to aid in educating students about plagiarism and importance of proper attribution of any borrowed content. For more information visit Elluminate Elluminate is a desktop web conferencing tool that lets you bring interactive audio, video, whiteboard, text, application sharing and more into your classes via Blackboard. You can also record your Elluminate sessions to share with students who could not attend (or would like to review them later on). For more information visit itunes U itunes U provides access to a wide range of digital audio and video content via the itunes Store, Apple s online music, video and podcast service. The itunes U tool within Blackboard allows instructors to create a private area that includes course based audio/video materials that are linked to Blackboard course sites and are available only to students enrolled in those courses. Podcasts are easy to create and are an effective means of distributing rich educational materials. Supplementing text with audio and video will help students remember what they have learned. For more information visit blackboard/pdf/itunes_u.pdf. Impatica for PowerPoint Impatica makes it easy to add narrated presentations to your course web site. It converts your PPT file into a compressed format that is optimized for streaming over the Internet. Students do not need to download any special plug ins to view these files. To request a copy of Impatica, please submit a request through the online Service Desk ( MyFAU MyFAU (myfau.fau.edu) is the University s web portal that provides centralized online access to e mail, calendars, administrative services, and announcements. With a single username (your FAUNet ID) and password you gain access to all these services and more. E mail Once you have logged into MyFAU through a web browser, you can send and receive e mail. You need a web browser and Internet access. Calendars Each user has a personal calendar that he or she can keep private or share with others. Each academic course also has a calendar to which all the students in the course have read access. Groups An FAU group is analogous to an online club or other association of people with a common interest or purpose. Many FAU clubs have formed groups in MyFAU because it makes communication easy. Customizable Information Channels MyFAU has many channels that contain not only FAU information, but also information from around the world on a wide range of subjects. You can add channels to your MyFAU pages that match your needs. FAU Self Service Access Once you have logged into MyFAU you will have direct access to FAU Self Service where you can view your course rosters and submit grades as well as any employeerelated information. 10 Network File Space IRM provides 200 MB of personal network space, known as the M drive, to all faculty and staff. You can use your personal drive to store files or to publish files to the web. Access your M drive by logging into the FAU network (such as from a computer lab). You should see an M (network) drive in the Windows Explorer list of drives on your computer. You can also access your M drive via the web through MyFAU (myfau.fau.edu) by adding the User Home Directory Logon channel to your Home tab. Your M drive is set up so that one folder, labeled web, is accessible via the Internet. Any files you put in that folder can be accessed via the Internet. To publish files to the web, place the files in your web folder on your M drive (from your computer s desktop, click on My Computer, and then click on the M drive, which will be labeled with your username). The URL for your files will be home.fau.edu/faunetid/web/ for faculty and staff or student.fau.edu/faunetid/web/ for students, replacing FAUNetID with your FAUNet ID (everything that precedes symbol in your FAU e mail address). Instructional Resources Blackboard Blackboard is a web based course management system that allows instructors to put their syllabi, lecture notes, and assignments online for students to access at anytime. It also includes interactive features, such as discussion boards and virtual chat rooms, which enhance communication between students and faculty. Instructors can use Blackboard as the sole means of delivering their course or as a way to augment a traditional face to face class. Approximately two weeks before a semester starts, instructors will have access to their courses in Blackboard. Student enrollments are updated automatically. You need only log in and make your courses available for students to be able to access them (until you do so students will not have access to the course). Please visit for instructions on how to make your courses available. Blackboard training is not required but is highly recommended. We offer hands on workshops as well as one on one appointments. We will be upgrading to Blackboard 9 for the Spring 2011 semester. While keeping the same basic functionality, this new version has a significantly different look and feel as well as a number of exciting new tools and features that can promote online interaction and increase student engagement. For more information on Blackboard 9 visit To sign up for a training session visit SafeAssign: Plagiarism Prevention and Detection SafeAssign is a plagiarism prevention service offered though Blackboard. This service helps educators prevent plagiarism by detecting unoriginal content in student papers. In addition to Page 10 Page 13

11 Wireless Access The FAU wireless network is designed for faculty, staff, and students. It allows for convenient access to the FAU network via a portable computing device, such as a wireless enabled laptop computer, PDA, phone, or similar device. The FAU wireless network gives mobile users access to the Internet and FAU services. Wireless locations across all FAU campuses and configuration instructions can be found online at (select wireless). What do I need to use wireless computing on FAU campuses? Technology Guide for New Faculty Laptop configured for DHCP addressing (see Wireless card for your laptop FAUNet ID and password and have activated it for Active Directory (if you currently can log into a desktop computer on campus or to a computer in a lab, you ve already activated the account use that account when you set up your wireless on your laptop) In addition, there are two publicly accessible (within the FAU network) drives: one to which anyone in the FAU community can read and write files and one that is read access only. Each college/ division also has its own drive to which its members have access; likewise, each department/subdivision has its own drive. Academic or administrative units may request additional network drive space for special purposes. Drive names and who has access to them are listed below.
