4 INTRODUCTION Records Management As recalled by the ISO standard on records management (2001b, p. 17), the classification plan dovetails with the activities of an organization. This standard is defined as a categorization and grouping of an organization's activities and documents that result. Australian-inspired, ISO rightly points out that, first of all, it is primarily the activities are classified, not documents. Two (2) Basic principles should be applied in classifying documents: a) the topic is the steering principle for classification of a document (not the source); b) the classification is done according to reasoning from the general to the particular, however, we use the divisions only when the quantity of documents or their use justifies it; We have to keep in mind that the standard classification plan is an instrument reflecting the activities taking place at the College - it is scalable. It allows the addition of new categories to reflect the documents produced or received through new activities. It also adapts to the specific needs of a unit with a lot of documents on particular subjects for sub-categorization. Plan Structure The classification scheme is based on a numerical structure and four decimal digits. Each function of an institution is represented by a block of 1000 under which the records are grouped into series. Although this structure limits the development of the decimal series, it remains that, the other levels being represented by hundreds and tens, the classification can be developed on several levels. Thus the classification scheme has nine series that are divided into subseries and more divisions. The series are implicitly divided into two categories: the series of management, that is to say those which include records resulting from activities common to most organizations, and the series of function, that is to say those which correspond to the mission of the institution and, therefore, distinguish it from other establishments of the same nature. 3
5 Explanations and use of the plan The plan being created as an electronic document in a word format, the search is easy. When you put your cursor on the editing tab and click on the binoculars, a window opens to search the document. So you can search for your subject by number or keyword. Underneath the search line, 3 icons help you to refine your search either by headings (our numbers for series) or pages, giving thumbnails of pages or by keywords. In order to grip a subject more rapidly at the beginning, you ll find the following table which shows the departments and the main codes each will use. Employees also have to know that documents which correspond to an activity for the whole college often will be assigned a number under General Administration (e.g.: politics, committees, legal affairs and the main agreements, contracts or conventions). Likewise a document can be classified under 8000 (Management of Academic Studies) even though it is the Student Services department which creates it and keeps the original version and vice versa. All the forms produced by the institution are classified in 6600 when they are blank, once they are filled they go to the subject Reference documents are classified under 6830 up to 6870 for every department except for Administration (1360). The conservation rule goes under administrative series 4
