SiVA is an end-to-end Recruitment Management System with advanced and powerful features for improving the efficiency of your recruitment process. Summary of SiVA Tabs Home - the home page provides shortcuts to post advertisement, place order or change your password. You can also read current announcements from JobStreet.com Applications - The features under this tab allow you to process your applications that are received online. Advertisements - This feature will allow you to post, view and manage your job advertisements online. Order - In the Order tab, you can find out about the packages we offer and make an order online. At the same time, you can check your order balances as well as a record of your previous orders. Resume Search - This is a sourcing tool for employers to search for job seekers who have allowed their resumes to be searched. Campus - The features under this tab include Campus Search, Retrieved Resume and Internship Posting. Reports - The features here will help you to generate recruitment analysis reports with just a click. There are three useful reports namely Application Statistics, Fill Rate and Jobstreet Salary Report. Options - This tab allows you to manage your SiVA account information, password and SiVA mode (Simple/Advanced), SiVA users, tools for creating company profiles and setting email preferences and defaults. Creating an Advertisement 1. To create a new advertisement, click Advertisements tab and then click Create Advertisement link. 2. Fill in the requirements of the advertisement in the Steps 1, 2 and 3 pages. 3. All requirements with asterisks (*) are mandatory requirements. 4. Before Saving or Posting the Ad, click Preview Ad to view the sample advertisement. 5. Click Save to save the advertisement for later posting, or Post to post the advertisement online.

In the List Advertisement page under the Advertisements tab, you can perform various actions on your advertisements by clicking the following icons: Editing an Advertisement 1. To edit a posted position, click the Post/Edit icon under the List Advertisement link. 2. Amend the Job Requirements in Steps 1, 2 and the advertisement content in Step 3. 3. Click the Post Modification button to upload your modifications online. Reposting an Advertisement A previously posted advertisement can be reposted as a new advertisement. This would put up a new advertisement on the site and re-match the position to candidates in the database. 1. To repost a previously posted advertisement, click on the Repost icon. 2. Make the necessary amendments on Steps 1, 2 and 3. 3. Click Save to save the advertisement for later posting, or Post to post the advertisement online. Default Settings for your Advertisement Setting your advertisement defaults would help save information and settings that can be used for future advertisements. This means that every time you create an advertisement, SiVA will use the settings. Changes in the settings can be made on the following: Posting location Default design templates URL of company website and company logo Company Introduction and Advertisement Footer YouTube URL 1. To set your advertisement defaults, click Advertisement Defaults link from the Advertisements tab. 2. Fill in the information that would be used as default setting. 3. Viewing Candidates 1. To view candidates who applied in your advertisements, click the Applications tab. 2. Next, from the Advertised Positions, click on the drop down menu next to Show advertisements for and select the duration of advertisements to be listed and click Search. A list of the advertisements will be shown. 3. Click on the Position Title to access the Job Drawer page. 4. The Job Drawer page is a statistic table that shows folders and number of applications in each folder. New Applications are stored in the Unprocessed folder by default. Click on any the folders (Unprocessed, Prescreened, Shortlisted, Hired, Kept For Reference, Rejected) to access the resumes. 5. A list of the candidates will be shown in a Summary Table format. To view the candidate s detailed resume, click on the candidate s name. JobStreet.com Page 4 of 9
Filtering candidates By selecting Advanced Filter in the drop down tools box (under Other actions), candidates can be filtered based on your own criteria. Check on the categories to perform the search on and click Next button. Specify the criteria you want to search on and click Search button. Moving Candidates To move the candidates to another Status folder, check the checkbox next to the candidates name and then click on one of the folder buttons at the top of the Summary table where you want the resume to be moved to. Note: Hired status button is not available from the Unprocessed status folder. To move candidates to Hired folder, move them first to Shortlisted. From the Shortlisted folder, you can classify candidates applications to other status by using the Status drop down menu. These status are: Shortlisted, Offered, Rejected Offer, Awaiting Interview, Declined Interview, Failed Interview and Completed Interview. JobStreet.com Page 5 of 9
Scheduling Interview Reminder You may use SiVA's Interview Invitation/Reminder tool to invite the candidates for an interview. 1. To invite candidates for an interview, tick the checkbox beside the candidate's name and click the Invite To Interview button. 2. The user will be directed to a page to key in Interview information. Fill in the details of the interview. 3. Choose the date and time by clicking on the calendar icon. 4. You may edit the necessary information for Venue, Tel#, Mobile#, Remark and Contact Person's Name. Indicate if this is a confirmed interview by selecting either Yes or No beside the question Have you confirmed the appointment with this candidate? 5. Check the box Proceed to send invitation by email/sms to the send a letter. After the letter is sent, the candidate will receive an interview invitation email. He/she can also see this scheduled interview when they log into their JobStreet.com LiNa account. 6. Click Schedule interview button to set the schedule. If the box Proceed to send invitation by email/sms is checked, the user will be directed to the Send Letter page. Note: Once you have scheduled the interview for the candidate, his/her resume will automatically be moved to the Shortlisted status folder. JobStreet.com Page 6 of 9
Marking No Show candidates A job seeker can be marked as a "No Show" candidate if he/she did not notify the employer at least one (1) day before the confirmed day of interview day or if he/she notified the employer on the day of the confirmed interview but did not give a valid reason. The No Show feature is only available if the Invite to Interview feature is used and candidate have confirmed to the scheduled interview. 1. To mark an applicant as a "No Show", go to his/her resume and select the "Mark as Interview No Show" link at the top of the candidate s resume. 2. You will be prompted to provide a reason why the job seeker should be marked as "No Show". 3. Fill up the information needed and JobStreet.com will send the applicant an email asking for an explanation for their absence at the interview. Your company's name will be stated as the initiator of this report. 4. If the reason is valid, you can remove the "No Show" mark from their resume. However, if the reason is not acceptable, you can opt for the "No Show" mark to remain. Note: We would advise that this feature be used with care as other companies can also see the job seeker's "No Show" status. Checking your Order Balance To check your available credits and the validity period, click Order tab and click Check Order Balance link. A summary of your order balance will be shown. Click on the Order number to view the details of the order. Note: Viewing the Order Summary is limited depending on the access rights of a user. LiNa job matching and page views A feature to view the number of LiNa job matches that were matched to the candidates based on your requirements is available in SiVA. We also track the number of people who have viewed your advertisements. To view the Total Matched by LiNa and Advertisement s Total Views, click the position title of an advertised position under Applications tab. The data is below the Job Drawer statistics. Searching for applicants via Resume Search This feature allows you to search for candidates using a combination of filtering rules under the following sections: General Keyword Search Work Experience Education Level (Highest) Location Personal Data/Others 1. Start a new search by filling in those relevant criteria based on your requirements. 2. Click Search when you are ready. 3. The candidates that matched your criteria will be displayed in a summary table. Notes: Open Resume are resumes from candidates who have activated their searchable resumes. This resume is marked with. Confidential Resume Downloading Confidential Resume will send a request to the candidates to apply for your position so that his/her full resume will be made available to you. Downloading candidates via Resume Search 1. To download a selected candidate, click the tick box beside the candidate's ID and click Request Resume button. Notes: To download a candidate you need to have available Resume Search Credit. The remaining credits left is indicated below the Request Resume button. If the candidate's name is displayed, this means that the candidate has applied to your position before. Thus, no need to proceed to "request" for the resume. JobStreet.com Page 8 of 9
2. There are 3 options to select from, when downloading (Open Resume) candidates: 3. Retrieved candidates using the first option will be moved to Retrieved Resumes link. 4. Selecting the second option will open an option to move candidates to active advertised positions or to an existing My Folder, or you can create a new My Folder. 5. Selecting the third option will send a request to the candidate. When the candidate responds, the resume will be moved to the selected folder and credit will be deducted. Creating SiVA users 1. To create a SiVA user, click the Create User link in the Options tab. 2. Fill in the requested information. Note: For security reasons, your Login ID is unique; two users cannot log in with the same ID at the same time. 3. There are three User Right Levels to select from: Administrator, Manager and Staff level. Note: By default, the Administrator has an access to most areas of SiVA followed by the Manager and Staff level. By default, an administrator has the authority to access SiVA User Management, while a Manager has no access to SiVA user management unless being granted by an Administrator. By default, the Staff level has no access to SiVA user management and is unable to view or update any of SiVA users' information. 4. Click Save button to create the user.
