Welcome to the City of Sarasota s Outlook Web Access (OWA). As a member of the Board you are required to use your City-issued email address for correspondence that is related to the business of the Advisory Board upon which you serve (per Resolution No. 10R-2187). Outlook Web Access is accessible to all users where Internet access is available. This document contains instructions on how to use OWA. Your email address and username are given below. Note that your password will need to be changed on first log in. Follow the directions below to access and use features in Outlook Web Access. To log into Outlook Web Access Launch Internet Explorer (or other internet browser) In the address bar, type the address https://mail.sarasotagov.com/owa Please Note: Since this is a secure site, the web address must include https and not http. The Outlook Web Access login screen displays (see screen shot below). Enter the following: *The domain name for the city of Sarasota is SRQ.* You must include the backslash (\) between the domain name and your user name. Password can be received by call IT at 941-365-2200, ext. 4278, 4397 Domain\Username: Password: Then click the Log On button. To Change Your Password When your network and/or email account was created, you were assigned a system password. For security purposes, you will be required to change the password when you initially log in to Outlook Web Access. Your password must: Be at least eight characters long. To change your password, follow the steps below. Contain characters from three of the following four categories: o English uppercase characters (A - Z) o English lowercase characters (a - z) o Digits 0-9 o Non alphanumeric (example:!, $, #, or %) 1. In Outlook Web Access, click the Options button at the top right side of the window 2. In the list of options, choose Change Password. 3 of 6 Page
3. In the Change Password dialog box, type your current password in the Old Password box. Next, type your new password in the New Password and Confirm New Password boxes. Then, click the Save button. 4. After successfully changing your password, you may click the Mail or Calendar buttons to return to the desired Outlook Web Access feature. email icon Working with Email Messages To Create a message o On the toolbar, click New. o In the To and Cc boxes, type the names or e-mail addresses of the message recipients. Separate multiple names with semicolons (;). Tip: You can also address the message by clicking the To or Cc buttons. This opens the Find Names dialog box, which allows you to search for a person by name. After you locate a person in the Find Names dialog box, add the name to your e- mail message by selecting the name and then clicking To or Cc under Message Recipients: You may also send a message to all members of your board by selecting the name of the board. o Type a brief subject line in the Subject box. o Type your message in the message body. o Click the Send button at the top left. To Reply to the Sender of a Message o Select the message you wish to reply to and click the Reply button on the toolbar. (Reply All will send a message to everyone who was copied on the original message.) o The text of the original message is copied to the message body. Type your reply above the sender's original message. To Forward a Message o Select the message you wish to forward and click the Forward button on the toolbar. o In the To box, type the e-mail address you want to forward the message to. o The text of the original message is copied to the message body. Type your reply above the sender's original message. To Read an Attachment o When a message contains an attachment, Microsoft Office Outlook Web Access displays a paper clip icon next to it in the message list. o When the message is opened, the name of the attached file appears in the message. o Click the attachment file name, located in the message heading information. The attachment will open in a new browser window. To Attach a File o You can attach any type of file that is accessible from your computer or through your network to an email message. o When creating your message, click the paperclip on the toolbar. o Browse to find the file, and click OK. o The attached file name and size appear in the Attach field 5 of 6 Page
Remember to log off when you need to exit Outlook Web Access. Clicking the close window X does not completely clear your login information. To exit Outlook Web Access, click the Log Off button in the top right corner of the window. A dialog box will display. Click the Close Window button in the dialog box. 6 of 6 Page
