Atos Oracle Cloud ERP Implementation Services Customers need adaptive and agile Enterprise Resource Planning (ERP) systems to support them in their day to day activities whether this is carrying out regulatory reporting, driving down procurement costs or complex scheduling. Getting the best out of resources to deliver goods or services in a complex environment while continuing to drive down costs is the challenge that all customers face. To tackle these challenges customers need an IT solution to manage all aspects of ERP from operating day-today transactions to driving strategic initiatives. Atos provides qualified resources to undertake a full range of implementation services to deploy Oracle Cloud ERP systems. This service has been designed for customers that have selected Oracles ERP Cloud platform. As the system is continuously upgraded to the latest release you will also not have to face regular and costly technical upgrades or reimplementations; Reduced Operational Cost: As the Cloud provision comes with DBA and support services included, government departments can realise efficiency savings in resources. NOTE: Atos can also offer Oracle cloud based subscriptions on behalf of its customers. 1.2 How this product can be used Atos Oracle Cloud ERP Implementation services are flexible and can be used in many different situations. For example: Where a customer has bought Oracle ERP Cloud licences and is looking for a partner to stand up the service; To augment existing teams within an established programme to deploy a cloud based service. This service has been designed for consumption by customers currently deploying Oracle ERP Cloud. 2

2. Service overview At Atos we aim to ensure that you fully realise the benefits of deploying a Cloud based service. In order to do this we have designed and prebuilt Oracle ERP Cloud services for the public sector. With our preconfigured, template based, setups you can be sure that the time to provision your new service will be at a minimum. Furthermore you can be confident that system when deployed will reflect the way that you work and have to report, ensuring that any transition will be straightforward. Atos provide experienced Oracle ERP Cloud Implementation Service resources for the following range of assignments: Oracle Cloud provision Design, Configure, Validate, Transition and Realise: Oracle Financials Cloud; Accounting Hub Reporting Cloud; Project Management Cloud; Revenue Management Cloud; Project Financial Management; Procurement Cloud. Development of extensions using Oracle tools based on PaaS (Platform as a Service). Atos ensures that staff remain current with the advances in Oracle technology, versions and updates. Atos personnel are fully trained and certified in Oracle Cloud ERP solutions. This will ensure that we can offer customers Oracle Cloud ERP implementation services that match the challenges that are currently facing clients. 4

3. Contractual Commitment Atos is fully committed to protecting the Confidentiality, Integrity and Availability of consumer data that is entrusted to us. We provide accredited services to a wide range of UK government departments including the Home Office, Department of Work and Pensions, the Ministry of Defence, executive agencies, local authorities and other public sector and government regulated organisations. A number of our G-Cloud services have been formally accredited by the Pan Government Accreditor (PGA). We also serve many different private sector organisations, including financial services institutions and health services. Atos has a number of sites and facilities that are HMG accredited to process information at OFFICIAL, these sites meet or exceed the standards laid down in the Security Policy Framework (SPF). The Atos Data Centres are ISO27001 certified and PCI DSS certified. The Atos PaaS service has approval for connection to the PSN network. In all cases these facilities are hosted on-shore in the UK, managed by SC cleared staff and include secure office areas and secure data processing centres. In the financial services sector we provide services that meet FSA requirements. The PCI Security Standards Council and VISA Europe have classified Atos UK as a Level 1 Payment Services Provider, based on its aggregated level of Payment Card transactions. We have a company-wide strategic PCI DSS Compliance programme which defines methods and timescales for the achievement of compliance for all of Atos hosted customer accounts and support services, whose requirements include the processing of Payment Card information. Within the defence sector, Atos is approved to hold UK government OFFICIAL protectively marked information and has the capability and accreditation to host data and associated systems marked as SECRET or TOP SECRET. Atos uses customer networks for transmission where appropriate and is fully compliant with procedures relating to the manual handling of protectively marked information. 5

4. Backup/restore and disaster recovery As a resource based service, Back Up and Recovery is less relevant. However Atos can provide advice and support to customers who have specific Back Up and Disaster Recovery requirements as they have experienced specialists who can support in this area. 6

5. On-boarding and off-boarding 5.1 On-boarding As part of the initiation phase, Atos would typically arrange a 1 day workshop with the customer to be clear on the scope of the engagement. As part of this process, Atos would introduce the assigned resources and validate their expertise against the agreed scope. The Oracle team includes certified Oracle Cloud implementers who combine specialist Oracle knowledge with in-depth business insight. As such, in addition to the above IT qualifications, member of the team typically hold relevant professional qualifications. 5.2 Off-boarding As part of our completion phase, Atos will arrange a 1 day workshop to transition learnings and issue a final report to the customer team. Any models and data that have been used will be transitioned (assuming that such transition is permitted by any licenses that have been purchased / used). 7

6. Pricing The pricing is in line with the Skills for the Information Age (SFIA) model. The team composition will depend on the specific project requirements. It will typically consist of a mix of roles of which most will be from the Solution Development and Implementation skill group. 7. Service management Atos has developed an international project and delivery management methodology known as the Global Delivery Platform (GDP) for delivery of all projects. Atos Oracle Cloud ERP Implementation Services will be governed by the GDP processes. GDP follows and meets the requirements of Prince 2. GDP provides a common set of processes, tools and measurements to all Atos Systems Integrations projects, ensuring completeness, visibility and traceability for all members of the project team across a common set of tools that are centrally hosted. It underwrites the life cycle of a project, ensuring that there are sufficient levels of documentation and control around gateways at each stage of the project and that risk and quality are managed effectively. In addition to managing project quality to its own processes and standards, Atos is accustomed to accommodating the customer s quality requirements Atos ensure quality in the project delivery by having a dedicated Prince 2 qualified Project Manager assigned to the project. The Project Manager is responsible for the day to day management and delivery of the project, ensuring that it meets Atos quality requirements and reports to a Delivery Director. The Delivery Director provides a quality assurance role on the project and will conduct regular quality reviews (usually at stage ends) with the project manager and the project management team. The Programme Delivery Director and Project Manager will hold regular (usually monthly) meetings with the customer s project sponsor and project management team to discuss the project status, risks and issues, plans and project quality measures. An escalation procedure will be introduced at the start of the project for resolving issues that cannot be dealt with by the Project Board. This procedure will include the Atos UK Vice President for systems Integration and the Atos UK Chief Executive Officer 9

8. Service constraints Service constraints such as Time, Quality, and Budget thresholds typically apply to the service, as may regulatory and legislative constraints. Atos Oracle Cloud ERP Implementation Services are intended for the provisioning of Oracle ERP Cloud Services. In all cases these are reviewed with customers on a project by project basis. 10

9. Service levels Atos service levels are determined on a case-by-case basis, dependent on a customer s requirement. Atos agrees service levels with the customer whether they are resource caps, outcome based, or timescale based, prior to the service being consumed. For more details, please refer directly to the Atos standard Terms and conditions although we recommend that a customer contacts us to agree the exact requirement scope. 11

10. Financial recompense To minimise the cost to users, Atos does not provide service credits for use of the service. All Atos services are provided on a reasonable endeavours basis. Please refer to the Atos Supplier Terms. In accordance with the guidance within the GPS G-Cloud Framework Terms and Conditions, the Customer may terminate the Call-Off Agreement at any time, without cause, by giving at least thirty (30) Working Days prior notice in writing. The Call-Off Agreement terms and conditions and the Atos Supplier Terms will define the circumstances where a refund of any pre-paid service charges may be available. 12

11. Training Although training is not applicable as part of this service, Atos is able to work with customers to understand their training requirements and offer solutions that meet the customer s needs. 13

12. Ordering and invoicing process Ordering this product is a straightforward process. Please forward your requirements to the email address GCloud@atos.net. We will prepare a quotation and agree that quotation with you, including any volume discounts that may be applicable. Once the quotation is agreed, we will issue you with the necessary documentation (as required by the G-Cloud Framework) and ask you to provide us with a purchase order. Once we have received your purchase order, the services will be configured to the requirements agreed. If you are a new customer, additional new supplier forms may need to be completed. Invoices will be issued to you and Shared Services (quoting the purchase order number) for the services procured. On a monthly basis, we will also complete the mandated management information reports to Government Procurement Services detailing the spend that you have placed with us. 13. Termination terms 13.1 By consumers (i.e. consumption) Termination shall be in accordance with: The G-Cloud Framework terms and conditions Any terms agreed within the Call Off Agreement under section 10.2 of the Order Form (termination without cause) where the Government Procurement Service (GPS) guidance states At least thirty (30) Working Days in accordance with Clause CO-9.2 of the Call-Off Agreement Atos Supplier Terms for this Service as listed on the Digital Marketplace. For this specific service, by default Atos ask for at least thirty (30) Working Days prior written notice of termination as per the guidance within the GPS G-Cloud Framework Terms and Conditions. 13.2 By the Supplier (removal of the G-Cloud Service) Atos commits to continue to provide the service for the duration of the Call-Off Agreement subject to the terms and conditions of the G-Cloud Framework, the Call-Off Agreement and the Atos Supplier Terms. 15

14. Data restoration / service migration Not applicable to this Service. 16

15. Customer responsibilities The responsibilities of the service consumer are assessed and agreed on an assignment basis. Customers have varied requirements and as a consequence this means that Atos may have certain requirements of the customer. These are typically agreed at the start of a project, can include but are not limited to: Access to customer representatives in a timely manner; Input and approval of deliverables in agreed timescales. 17

16. Technical requirements Delivery of the service is dependent on a suitable Oracle ERP Cloud environment being available. Should a customer have any specific technical requirements relating to non-oracle technology that need to be satisfied, Atos is able to call on technically skilled resources from either the programme and project management community. This pool of dedicated technical professionals is able to cover most technology areas and provide valuable input and assessment of requirements. During the life of a project there will be a set of requirements that will assist us in delivering the service. 18
