Using SSH Secure File Transfer to Upload Files to Banner Several Banner processes, including GLP2LMP (Create PopSelect Using File), require you to upload files from your own computer to the computer system prod.alaska.edu, in Fairbanks, where the Banner database is stored. To do this, you need to use a file transfer program such as SSH Secure File Transfer. A file transfer program lets you connect to another computer, see a list of files on both that computer and your own, select files, and send copies from one computer to the other. This guide uses the glp2lmp.dat file as an example. Some offices upload other files for other processes. Find or Download and Install SSH Secure Shell This guide shows how to use SSH Secure Shell File Transfer version 3.2.9. If you already installed Secure Shell you will have this icon on your desktop. To see if you have version 3.2.9, double-click on the SSH Secure Shell Client icon. Click on the Help menu. Click on About Secure Shell Look for the version number in the window that appears. Click the OK button at the bottom to close that window. Instructions for installing and setting up version 3.2.9 are available from this web address: http://bannersi.uaa.alaska.edu/ssh_329_install.pdf If you do not have the SSH Secure Shell 3.2.9 software, you can get it from one of these web addresses: ftp://cirt.alaska.edu/pub/ssh2/sshwin-3.2.9.exe http://curric.uaa.alaska.edu/bannersi/sshwin-3.2.9.exe Prepare the File to Upload On your computer, create the file you want to send to the Banner system. For example, if you need to do the GLP2LMP process, create a glp2lmp.dat file, in the proper format, according to the instructions in the GLP2LMP guide. If you are using another process, such as letter generation or a process for uploading test scores or other data, prepare that file according to the instructions provided by your office. Connect to the Server/Host Double-click on the SSH Secure Shell Client icon. Always start with the plain client part of the software; do not attempt to go directly into the FTP part of the software. Click the Quick Connect button. That opens the Connection window. In the Host Name field, type the address of the computer you want: prod.alaska.edu Type your Banner username in the User Name field, in all lower-case letters. FTP-SSH-1

The Port Number should be 22. The Authentication Method should be Password. Click the Connect button or press the Enter key. Note: This is not the same thing as your Banner Production password. The Enter Password window appears. Type your prod.alaska.edu password and click the OK button or press the Enter key. If this is the first time you are logging in since March 10, 2010, or if you recently had your prod.alaska.edu password reset, use the default password provided by your security coordinator. Next time you open Secure Shell Client, press the Enter key or Spacebar to connect. The Connection window will open, usually with the address and username from your last connection filled in. If it is filled in correctly, click the Connect button or press Enter. The Enter Password window will appear. Add a Profile (Optional) The Add Profile window may appear and flash. If you connect to different computers with this program, or if different people use your computer, you may want to save profiles for each computer and user. Creating a profile saves the information from the Connection window but not your password so you won t have to fill in the Host Name and User Name fields every time. To create the profile, click in the Add Profile window. Change the profile name to prod (add your initials or username if you share a computer). Then click on Add to Profiles. Next time you open Secure Shell, click the Profiles button. Click prod to connect to prod.alaska.edu. You ll go directly to the Enter Password window. Recognize a Successful Login After you log in successfully, you will see a prompt similar to this one, with your username at the beginning: anxxx@tetlin> Your prompt may have something different after the @ sign, such as tongas or tazlina. Passwords Select Your First Password or Change an Expired Password If you used the default password to log in, or if you are prompted that your password has expired this password expires every 400 days you must change your password immediately. After the prompt, type kinit and then press the Enter key: anxxx@tetlin> kinit A different prompt will appear: Password for anxxx@tazlina.alaska.edu: FTP-SSH-2

Type your current password the cursor will not move as you do this, and you should not use the Backspace key and then press the Enter key. If you typed the password correctly, two more prompt lines will appear: Password expired. You must change it now. Enter new password: There are special rules for this password: It must have at least eight characters. It must include characters from at least three of these groups: o Upper-case letters o Lower-case letters o Numerals o Special characters, such as punctuation marks No more than four of the same type of character may be used in a row. For example, if you try to use FLOWERpot1 as a password, it will not work because there are six uppercase letters in a row. If you use FLOWerPot1 it will be accepted. You may not reuse any of the last four passwords you used for this system. Type the password you want to use the cursor will not move as you type, and you should not use the Backspace key and then press the Enter key. The prompt will change again. This prompt means you have logged in successfully: anxxx@tetlin> Other Password Changes If you want to change your password at a different time for example, when you log in on a different day, when your password has not expired type the kpasswd command instead of kinit, and then press the Enter key: anxxx@tetlin> kpasswd A different prompt will appear: Password for anxxx@tazlina.alaska.edu: Type your current password the cursor will not move as you do this, and you should not use the Backspace key and then press the Enter key. You ll be prompted twice to type the new password you want; follow all the password rules listed above. Press the Enter key after each time you type the password. Enter new password: Enter it again: If you typed an acceptable password the same way both times, another set of prompts will appear. These mean that your password has been changed, and you have logged in successfully: Password changed. anxxx@tetlin FTP-SSH-3

Start and Use SSH Secure File Transfer Click the New File Transfer button or use the Window Menu, New File Transfer. Toolbar Profile Bar File Bar Local View: Your computer Remote View: The prod computer Transfer View: Log of transferred files Status Bar: Connection status, hints The Local View shows folders and files on your computer. The Remote View shows folders and files on prod.alaska.edu. The Transfer View shows a log of the files opened and transferred. The Status Bar shows your connection status and hints. If you have run reports and processes in Banner Production during the last week, there will be a folder (directory) named reports_prod. The.log,.lis and.dat files created by those processes and reports are stored in that folder. Check the SSH Properties If you do not see the Name, Size, Type and Modified columns, click the Detail button in the Toolbar or select the View Menu, Details. Banner files should be transferred using ASCII (text) mode. If the ASCII button in the Toolbar is not already selected, click it or select the Operation Menu, File Transfer Mode, ASCII. If you changed any of the settings above, click the Save button in the Toolbar or select the File Menu, Save Settings. Create a Folder Named reports If there is not already a folder named just plain reports, you must create one. Right-click in the right-hand pane. A menu will appear. Select New Folder in that menu. Give the new folder the name reports. Do not use any capital letters in the name. FTP-SSH-4

After the folder is created, right-click on it. A menu will open. Select Properties in that menu. When the Properties window opens, make sure all three Write checkboxes are marked. If they are not, go ahead and mark them. Click the OK button. Upload Files from Your Computer Double-click the reports folder on the Remote View (right-hand) side. To use the GLP2LMP process, you need to upload the glp2lmp.dat file to that folder from your computer. Find and Select the File In the Local View (left-hand) side of the window, find the glp2lmp.dat file on your computer. Click once on that file to select it. Upload the File There are several ways to transfer the file once you have selected it. Many people prefer the drag-and-drop method. Put your mouse pointer over the selected file. Hold down the mouse button and drag to the Remote View side. The mouse pointer will change to the symbol shown. When that symbol is over the Remote View window, release the mouse button. If the file name does not appear automatically in the Remote View side, check the Transfer View area to see if the transfer is complete, or click the Refresh button on the right side of the File bar to see if the file name appears. If you don t want to use the drag-and-drop method, you can use the Options menu, Upload to transfer the selected file(s) to the folder shown on the Remote View side of the window. Another option is to use the Upload Dialog button on the Toolbar. If you use this option, a separate Upload Select Folder window appears. Use that window to find and select the file to upload, and then click the Upload button in the lower right corner. FTP-SSH-5

Overwrite or Rename Files If there is already a file with the same name in the destination folder, the Confirm File Overwrite window opens. You must decide whether to overwrite the existing file with the new one. Yes: Replace the current file with the one you are now transferring. Yes to All: When multiple files are selected, overwrites all files that have the same names. No: Cancel: Skips that file and does not transfer it. Skips that file and any remaining files, if multiple files were selected, and does not transfer them. If you already have a glp2lmp.dat file in your reports folder, and want to keep that old file for some reason, you need to change its name before you can transfer your new glp2lmp.dat file. To rename a file, click on it. It will then have a different color background. Click once directly on the name of the selected file. The file name will then have a rectangle around it and a cursor at the end. Move the cursor and change the file name as needed. Then press the Enter key. Remember, only the file named glp2lmp.dat will be recognized and used by the GLP2LMP process. If the file name seems to revert to its original form, click the Refresh button on the corresponding side of the File bar. Disconnect and Close Click the Disconnect button or select the File Menu, Disconnect. If the Confirm Disconnect window appears, click its OK button to disconnect. Close the File Transfer window, or select the File Menu, Exit. Find the first SSH window, where you logged in. If it has not logged you out automatically, type exit at the prompt, and then press the Enter key: anxxx@tetlin> exit Close that SSH window or select the File Menu, Exit. If there are any other Secure Shell Client or Secure File Transfer windows left connected or open, be sure to disconnect and close all of them. FTP-SSH-6
