Colgate University Voicemail Information System Summary This documentation describes how to access voicemail messages, and the most commonly used voicemail system features here at Colgate University. Audience This document is intended for current students, faculty, and staff who use Colgate University s campus voicemail system. Background The purpose and intent of this document is to provide voicemail system information relevant to accessing messages and how to use common features. Helpful Tips: Press 3 twice (3-3) to Skip to the end of a message that is playing. (Now you can press 7 to Delete it.) o You can still hear the timestamp details. (Press 3-3, then press 5 to hear Message from <number> received <date> at <time>. ) Press 6 (or 6-6) to speed up message playback; press 4 (or 4-4) to slow it down. Press star (*) and the 4-digit extension from any campus Cisco phone to be connected directly to the individual voicemail to leave a message. o This will not ring the called phone line, so the caller information does not appear on the display. This is good for verifying voicemail functionality, listening to greetings (test Alternate greeting is On, etc.), or for leaving a message when you know a person is already on the phone. How to Access Your Messages: 1. From any phone: a. Dial (315) 228-7840 b. Press star (*) after the Welcome message begins. c. Enter your ID followed by pound. - Enter your 4-digit campus phone extension, then press pound (#). d. Enter your PIN followed by pound. - Your PIN is the one set up for the voicemail box. Enter your PIN, then press pound (#). e. Follow prompts in the Main Menu. 2. From your campus Cisco phone: a. Press the Messages button. i. Enter your PIN followed by pound. - Enter your PIN, then press pound (#). ii. Follow prompts in the Main Menu. 3. From another campus Cisco phone: a. Dial the 4-digit extension 7840. i. Press pound (#). ii. Press star (*) after the Welcome message begins. iii. Enter your ID followed by pound. - Enter your 4-digit campus phone extension, then press pound (#). iv. Enter your PIN followed by pound. - Enter your PIN, then press pound (#). v. Follow prompts in the Main Menu.

How to Change Your Greetings After you authenticate with your ID and PIN: 4 Setup options (Greetings) o 1 Change your greetings 1 Re-record this greeting 2 Turn On/Off Alternate greeting (example: Out of Office message) # indefinite end date 1 Re-record How to Change Your Voicemail PIN After you authenticate with your ID and PIN: 3 Preferences o 1 Change PIN o 2 Recorded name Press * to cancel Voicemail in Your Colgate Gmail Inbox Your voicemail messages are also accessible via your email as a.wav sound file attachment. The only caveat is that that the message waiting icon and red light indicator on the physical Cisco phone will not turn off until you delete the message using the campus voicemail system (x7840). The email subject will read "Message from <Name>" if it is from a Colgate campus extension, but only "Message from <Unknown Sender>" will show in the subject if it is from off campus. Double-click the.wav file to play the audio file in your web browser (I am using Firefox, but it should work in Safari, Chrome, and Internet Explorer, as well as on most mobile devices with a built-in media player).
