As a courtesy to the Palm Beach County School District employees, the Division of IT is now providing District Google Mail access for personal mobile devices. Although we do not have the staffing to accept calls to our IT Service Desk, we ve provided some self-service functionality to assist employees: TrainU self-help videos - COMING SOON Documentation available through TrainU A user forum where users can post questions and our user community can assist each other You will need your District Google Mail username (e.g. john.doe@palmbeachschools.org) and password to complete the activation process. Go to the appropriate section for your personal smartphone device and follow the setup process. When prompted for your password, go to section E to retrieve your password. Contents: A. A. Steps to setup an Android Mail Connection In order for this process to work effectively, your personal mobile device must meet the following requirements: - Must have Android 2.2 or later If you already own a personal Gmail account: You must first add your personal Gmail account to the phone before you can connect the District email account. This is due to a required connection to Google Talk which the District does not support at this time. 1. Setup your personal Gmail account on the phone 2. Follow the instructions below to setup your District account 3. Open the All Apps screen 4. Click on the Gmail icon 5. Select Add a Google Account 6. Select Already have a Google Account Sign In 7. Enter your palmbeachschools.org user account (e.g. john.doe@palmbeachschools.org). 8. Enter the password [Refer to section E] 9. Choose Create Account and wait for the process to complete If you have a personal email account other than Gmail, or only want to add the District Google mail connection withou ut enrolling in a personal Gmail account: 1. Open the All Apps screen. 2. Click on the Mail icon. 3. Choose Other (POP3/IMAP) 4. Enter your palmbeachschools.org user account (e.g. john.doe@palmbeachschools.org). 5. Enter the password. [Refer to section E] 6. In Protocol choose IMAP 7. For the IMAP server enter email.palmbeachschools.org 8. Choose Create Account and wait for process to complete 2 Page
Section B. Steps to setup an iphone Mail Connection In order for this process to work effectively, your personal mobile device must meet the following requirements: Must have operating system of 4.3 or later Device must not be jail-broken 1. Open the Settings application on your device's home screen 2. Open Mail, Contacts, Calendars 3. Tap Add Account 4. Select Microsoft Exchange 5. In the Email field, enter your full District Google Account email address (e.g. john.doe@palmbeachschools.org). [You may see an "Unable to verify certificate" warning when you proceed to the next step.] 6. Leave the Domain field blank 7. Enter your full District Google Account email address as the username. [e.g. john.doe@palmbeachschools.org] 8. Enter your Google Account password. [Refer to section E] 9. Tap Next at the top of your screen wait for the server option to appear 9a. Choose Accept if the Unable to Verify Certificate dialog appears. 10. Enter m.google.com in the Server field 11. Press Next at the top of your screen again 12. Select the Google services (Mail, Calendar, and Contacts) you want to sync Unless you want to delete all the existing Contacts and Calendars on your phone, select the Keep on my iphone option when prompted. This will also allow you to keep syncing with your computer via itunes. If you only want to sync the My Contacts group, you must choose to Delete Existing Contacts during the Google Sync install when prompted. If you choose to keep existing contacts, it will 3 Page
sync the contents of the "All Contacts" group instead. If there are no contacts on your phone, the latter will occur -- the contents of your All Contacts group will be synced. Important : If you remove a service that was previously synchronized, all existing data will be removed from your device, although iitt will still be available on the Google server. By default, only your primary calendar will be synced to your device. You can sync additional calendars by visiting the following page from any web browser: https://www.google.com/calendar/iphoneselect Google Apps users can go to: https://www.google.com/calendar/hosted/palmbeachschools.org/iphoneselect Select the calendars you'd like to sync, and click Save. The selected calendars will display on your device at the time of the next sync Determining which calendars to sync: Google Sync allows you to choose up to 25 Calendars with the Calendar app on your Apple device. With Google Sync, only the Contacts in your My Contacts group are synchronized with your device from your palmbeachschools.org account. T To o select which calendars to sync to your Apple device, follow the steps below: 1. Open the Safari browser on your device and go to http://m.google.com/sync. 2. Sign in with your account and select your device from the list of devices you've setup for Google Sync. 3. Bookmark this page so you can return to it easily. If you use Google Apps, follow these steps: 1. Open the Safari browser on your phone and go to http://m.google.com 2. Click on Google Apps user at the bottom of the screen 3. Enter the domain name of palmbeachschools.org 4. Click the Sync icon in your domain area (this ssection ection has a green background) 5. Section C. Steps to setup Blackberry Mail Connection In order for this process to work effectively, your personal mobile device must meet the following requirements: Must have operating system 4.5 or later Note: Mail may not be received real-time; you may need to use the refresh option to retrieve new emails immediately To install the Blackberry Gmail Sync App: 1. Using your smartphone browser and go to Google mobile on your smartphone (i.e. m.google.com) 2. Scroll and select Gmail under '...Individual Products' 3. Select 'Install Now' 4. After the installation, to the Gmail application and enter your full District Google Account email address as the username [e.g. john.doe@palmbeachschools.org] 5. Enter your Google Account password. [Refer to section E] To install the Blackberry Calendar and Contact sync: 1. From the device, go to m.google.com/sync 2. Choose Install Now 3. Choose Download 4. After the download is finished, choose to add it to your Trusted Application Status 5. Click Yes and it will be installed. 6. Go to the Google Sync icon on the device 7. Enter your full District Google Account email address as the username. [e.g. john.doe@palmbeachschools.org] 8. Enter your Google Account password. [Refer to section E] 5 Page
Section D. Setup for Windows Mobile Mail Connection In order for this process to work effectively, your personal mobile device phone must meet the following requirements: Must have operating system of 7 or later 1. Open Active Sync on the device. 2. Enter your District email address (e.g. john.doe@palmbeachschools.org) as the user name and uncheck obtain server settings automatically. 3. Enter m.google.com as the server address 4. Select This server requires an encrypted (SSL) connection. 5. Enter your full District email address as the username (john.doe@palmbeachschools.org) 6. Enter the password (see password section below) [Refer to section E] 7. Uncheck Tasks from the sync menu. 8. Finish 6 Page
Section E. Steps to retrieve your Google Mail Password for Mobile Devices ONLY What is the Google Self-Service Password Reset program? In order to connect your mobile device to the District email system, you will need to know your Google username and password for mobile devices. You will enter your username and password in the appropriate place when setting up your personal mobile device. [This section is strictly for mobile device setup: The username and password will not log into your District email account.] Consider the following: - Network user name and password will not change as a result of this process - Do not share or give out the password - Do not write your password down on paper - Passwords are case sensitive - Passwords may contain the capital letter O in addition to the number zero 0 Steps: 1. Open an internet browser and type portal.palmbeachschools.org in the address bar at the top. 2. On the Portal bar, click on the icon as displayed below: 3. This will display an agreement screen where you must agree in order to obtain your new Google mobile device password. Please read the terms carefully and ensure that you understand them. 7 Page
4. When the I Agree button is selected, your username and the new password will be displayed for your record. You will use this email address and password to program your mobile device to connect to the District email system. Note: Each time you click on the I Agree button, this will reset the Google Mail mobile device password. If you ve previously set this password on a device, that device can no longer log into Google Mail until the new password has been entered on the device. If you have more than one device, please have all devices available during the setup process. This will enable you to use the same password and avoid having to reset the password again at another time. 8 Page
