What s new? fsaatlas 7.5.0 includes several new enhancements to the application, technology updates, as well as fixes to several issues reported by our clients. This section provides you with an overview of some of the featured updates included as part of fsaatlas 7.5.0, and a list of changes made to the User, Advisor, and Technical guides in this release. For a complete list of defect corrections and enhancements, refer to the Defect/ Enhancements Resolved tables in the following sections of these release notes. Updated configuration and technology requirements This section describes the configuration and technology requirements. If you are upgrading from a previous version of fsaatlas, you can use the new install wizard delivered with this release. Refer to Chapter 3 Installing or Upgrading fsaatlas of the 7.5.0 Technical Guide for details on using the install wizard to perform an upgrade. A new server utility (ServerUtil.exe) is delivered in this release. This new utility manages the installation and configuration of the Web server, database and services. The remaining components are now managed within the Enterprise Manager of the application. Application Configuration Settings formerly accessed through the fsaatlasconfig.xml file, are now available to users (with assigned permissions) from the Configure Application Settings link on the Enterprise Manager screen. Starting with fsaatlas 7.5.0, the application requires Microsoft SQL Server 2005 (minimum SP3) and Microsoft Windows Server 2003 (minimum SP2) as prerequisites for the database and operating system software. Application/Web server: Microsoft.NET Framework 3.5 SP1 is now required starting with fsaatlas 7.5.0. Microsoft.NET Framework 1.1 is no longer supported. SEVIS 6.7 Enhancements This section describes the new features and enhancements that are added as a part of SEVIS 6.7 to fsaatlas 7.5 The SSN, Tax ID, License Number and License State fields are no longer available for selection while configuring the PFS settings for Create Student, and Personal Info Update events. Enterprise Manager: A new SEVIS Configuration setting SEVIS Email - Address Type dropdown field has been added to the Configure Application March 2011 fsaatlas 7.5 5
Settings that allows the user to identify the email address to be sent to SEVIS. Refer to the Chapter 7 The Enterprise Manager of fsaatlas User Guide for more information. The Dependent Email and Primary Email fields are added to the Add Dependent, Update Dependent and Create Student events on the Configure PFS Settings page. Refer to the Chapter 7 The Enterprise Manager of fsaatlas User Guide for more information. Report Writer: The Dependent Email field is added to the list of available fields in the Record Nav - Dependents tab in the Report Writer. Refer to the Chapter 5 The Report Writer of fsaatlas User Guide for more information. The primary email address formatting rules have been expanded to include up to six additional values after the., while editing the email address on the Edit Info screen on the Address tab. The Primary Email and Dependent Email address are included as a part of Batch Events processing. The newly added Dependent Email address is added to the SASEV.xsd and SASStudent.xsd file. Refer to the Chapter 10 Student Campus Datalink XML fields, and Chapter 11 Scholar Campus Datalink XML fields of the fsaatlas Technical Guide for more information. The Primary Email field is added to the Create Student and Personal Info Update events. The value in this field depends on various factors. Refer to Chapter 16 F & M SEVIS Events in the fsaatlas Advisors Guide for more information. Enhancements This section describes the new features and enhancements for fsaatlas 7.5 Ad-Hoc E-mail: Users now have the ability to compose and send an ad-hoc e-mail message to a single student or scholar from Record Navigator. Manage E-mail Blasts: The Manage E-mail Blast link on Enterprise Manger allows users with assigned permissions to manage e-mail records generated using the E-mail Blast functionality including the ability to view e-mail history and content, and stop erroneous e-mail blasts from being sent. Delete Record: The Delete Record link on Enterprise Manager allows users with assigned permissions to permanently delete a record from the fsaatlas database. Configure Application Settings: A new Application Configuration screen replaces the application configuration settings previously defined in the severutil.exe and fsaatlasconfig.xml files. Users with permissions can access this new screen from the Configure Application Settings link on the Enterprise Manager screen. 6 fsaatlas 7.5 March 2011
Campus Datalink: Enhancements include improved sorting and filtering on several fields on the Campus DataLink Events, New Individuals, and Batch Manager screens, the edition of new links and fields on the Campus DataLink Events, New Individuals, and Batch Manager screens, the ability to import e-mail addresses for student records, the ability to submit/handle blank content tags, and user interface improvements including the ability to control the number of records that can be displayed at one time. Additionally, several new fields have been added/ enabled to the Campus DataLink XML process. Refer to Chapters 10 Student Campus DataLink XML Fields and Chapter 11 Scholar Campus DataLink XML Fields in the 7.5.0 fsaatlas Technical Guide for a complete list of fields. Report Writer: Enhancements include the ability to report against several fields in fsaatlas, the ability to filter and search reports by name, and changes to report output including the removal of the timestamp from date fields. E-mail: Enhancements include the ability to display the history of e-mail sent to an individual, via e-mail blasts, the ability to send an ad-hoc e-mail to a single student/ scholar, the ability to create new e-mail alert types including a happy birthday e- mail, and improved sorting capabilities for e-mail alerts. Content Tags: The addition of several new content tags for letters and e-mail. Refer to Chapter 18 The Content Tag Guide of the 7.5.0 fsaatlas Advisor s Guide for a complete list of fields. With this release, the timestamp from the date fields in the report output has been removed and just the date is present. With this release, the Report Name has been added to the Report Filter screen to provide users with the ability to filter/search for reports based on report name using wildcard searches. With this release, the Major field has been added to the Advanced search menu in the Record Navigator for Report Writer. With this release, users now have the ability to send a single e-mail to a student/scholar. With this release, users now have the flexibility to choose/configure 3 possible combinations of address fields to send an e-mail alert. These fields are: Current, Permanent, or Mailing. With this release, the number of characters that can be entered in an e-mail message text has been increased to 4,000 characters. Previously, there was a 3,000 character limit. With this release, users can now sort the list of alerts alphabetically, in ascending/descending order, by name, alert type, and number of days. Users can also sort the list of alerts by the creation date. With this release, in E-mail Alert History, users now have the ability to do a reverse sort on the column headings in ascending and descending order. With this release, an E-mail alert is now generated when I-20 or DS2019 is downloaded. Users can now create e-mail alerts for the following: Happy Birthday End of OPT/CPT employment Months left in program When either I-20, DS2019 forms are downloaded With this release, under the Datalink Events, View Students tab, a count option has been added to allow users to count new students. With this release, when looking at Campus DataLink errors users now have the ability to click on name of an existing individual and be taken to that individuals record in Record Navigator so that the error can be corrected. With this release, when displaying Campus DataLink records users now have the ability to control how many records are displayed at a time. For example, users can display more than 200 records at a time. Records are color-coded in grey and white to help distinguish changes from one record to the next. With this release, the following fields have been added to the Campus DataLink screen: Security Department and Profile Type. With this release, fsaatlas 7.5.0 is certified against SQL Server 2005 SP 3. With this release, support for secure SMTP e-mail is provided. With this release, users now have the ability to report against the following information in fsaatlas: Other Forms History SEVIS Events J-1 Site of Activity Tasks Last Session Checkbox Work Authorization fields Contacts Documents Open Doors fields of Specialization With the release, the system now displays the history of e-mail messages sent to an individual via e-mail blasts. With this release users now have the ability to delete old system data- for individual fsaatlas students/scholars records including: CDL records, Report records, E-mail Alert records, and form letters. Sorting and filtering is enabled on the Campus DataLink Event, Campus DataLink New Individuals, and the Campus DataLink Batch Manager screens. When a user clicks on a specific column/ field the results are sorted by the selected column in ascending order. Additionally, users can enter multiple filters from the filter list drop down icon next to each field. Filters can be cleared at any time by deleting the text in the filter box. Some of the fields users can now sort on include: Notes, Education Level, New Value, Old Value and Campus ID. For a complete list of fields and additional details on enhanced sorting and filtering capabilities refer to Chapter 9 Campus DataLink Instructions of the 7.5.0 fsaatlas Technical Guide. In this release, following fields to the Campus DataLink XML/ process have been added/enabled: Open Doors information - Academic level fields, Other Organization Funds Name, and Secondary Minor. Additionally, the Mailing Address field now accepts international addresses. Chapter 18: Content Tag Guide Chapter 19: E-mail Alerts & Blasts Changes have been made to the following chapters in the version 7.5 Technical Guide: Chapter 1-5: This manual has been rewritten to consolidate the upgrade steps into a single section. Chapter 3 documents the steps to upgrade an instance of fsaatlas from version 7.3.5 or 7.4.0 to version 7.5.0. The chapter includes step-by-step instructions as well as a checklist that should be followed to ensure a successful upgrade of your instance. Chapter 6: Configuring the fsaatlas Environment Chapter 9: Campus DataLink Instructions Chapter 10: Student Campus Datalink XML fields Chapter 11: Scholar Campus Datalink XML fields Chapter 12: Manage Application Configuration Settings Chapter 16: Manually Upgrading fsaatlas Defects resolved The following table lists the summary of the defects resolved in fsaatlas 7.5: Defect # 1-1KRDVV 1-1LK3ES 1-304HNE 1-310ACW Description With this release, Report Writer reports now have headings that contain the system name rather than the display name for all custom fields. Previously, when an e-mail alert was sent, it could only be copied to the Academic Department Admin of the scholar but not the student. Now the system allows users to assign the Academic Department to the Student s profile tab like it does with the Scholar s profile tab. With this release, users can now clear e-mail alert history through the application interface. With this release, users can now import e-mail addresses for student records in Campus DataLink. Defect # 1-3CH6EY 1-3P3FAA 1-3WV7FD Description Previously, when the system contained two students (both with unique IDs) with the same first and last name but different middle names, only one student name displayed but both ID's displayed in Campus DataLink. In this release, this behavior is corrected. Previously, Campus DataLink did not process data for newly created custom fields that were defined as a Mandatory type. In this release, this defect is corrected. With this release, Campus DataLink no longer compares the incorrect job title when processing job title information. 1-4Z2212 With this release, no error occurs when editing an existing Edit OPT Employment record (pre-sevis 6.0) that has a value greater than 250 characters for the Course Relevance and Remarks fields. 1-3TYS57 1-3HQFQ9 Previously, when Departments were imported through Campus DataLink, the Department name values did not convert to the corresponding Department s primary key number. This caused users to receive a runtime error when navigating to the Profile tab for a scholar record. In this release, this behavior is corrected. With this release, Campus DataLink sorting and filtering capabilities have been improved providing users with the ability to sort by an individual column as was previously possible in fsaatlas version 7.2.1 and earlier. 12 fsaatlas 7.5 March 2011
