4 Introduction At Sartorius the central IT department CA-IS provides a standardized central IT services. All connected client computers require the equivalent standard configuration for each service. The Sartorius Global Mail system provides mailboxes on-premise and through the Cloud, but all systems are combined in one global mail system. The following document describes how to configure a Sartorius mailbox in the Microsoft Office365 cloud on a non-standard client pc. Requirements The following working steps require mid-level IT know-how and local administrator permissions on the client pc. The client pc has to comply with the system requirements for Microsoft Office 365: http://onlinehelp.microsoft.com/de-de/office365-enterprises/ff652534.aspx The client pc has to comply with the system requirements for Microsoft Office 2010: http://blogs.technet.com/b/gray_knowlton/archive/2009/12/07/office-2010-system-requirements.aspx The client computer has to have installed a proper and updated Antivirus protection and the automatic Windows Update service should be activated The following sources are required: o Office365 system setup package o Legal Office2010 setup source (i.e. dvd) A valid Microsoft Office2010 company license key (MAK) is required.
5 Installation Important: For the following installation tasks are local admin permissions required! Log on the client pc using a local administrator account. Install Office2010 Accessing a mailbox requires the program Outlook 2010 as a part of Office2010. You have to install this in minimum. If on the computer has been installed already a previous Office version then you have to replace it completely with the Office2010 setup (a mixture of different Office version is urgently not recommended). Insert the resource CD (or other media) Execute the file \setup.exe Accept the license agreement and click Continue. For installing the complete Office2010 suite select Install Now (recommend) To install dedicated programs and components select Customize Wait for the installation progress. Enter the corporate license key when requested. Click Close on finish.
6 Install the Office365 system package Open in the browser the address http://ca-is.sartorius.com/o365/ Depending on your operating system download the file Microsoft_Off365_32/64.zip for 32/64 bit. Extract the archive file on your local hard disk Open the extracted folder Install the Wrapper tool: Execute the file \phat_wrapper_2.1.0.8_32_xx.\wrapper.msi (Double Click) Install the Office365 package. Execute \_Install.vbs. (Double Click) On the start screen click OK. Wait for the setup finish and click OK. Update the Windows system: Open Windows Update and check online for the latest updates
7 Install all important updates Using Outlook (Anywhere) Configure a new Outlook installation If you haven t used before a Sartorius mailbox on this computer then you have to configure Outlook for accessing the Sartorius mailbox. Otherwise go to the next chapter. Make sure the computer is connected to the Internet Start Outlook. If you start Outlook the first time then the Configuration Assistant starts. Click Next. Otherwise close Outlook. o Open the Control Panel o Double Click on Mail o Click Add to create a new profile. o Type in a name i.e. Sartorius. Click OK. On the next windows select Yes to configure an E-mail account. Click Next.
8 Outlook starts the auto account setup of an e-mail account Type your Name, your correct E-mail address and your valid Sartorius password. Click Next.
9 The configuration wizard establishes a connection to the server. This can take a while. Wait until the configuration is finished. Click Finish. Start your Outlook If you have already used the Sartorius mailbox in your Outlook installation then just open Outlook. Outlook will ask you for credentials. Enter your valid Sartorius user and password and enable the option Save password. Click OK.
10 Using the Office365 mailbox in Outlook In the next step Outlook will open your mailbox. Enter the user initials as needed and click OK. Outlook should show in the information bar Connected to Exchange and start the initial synchronization of all mailbox data. After the initial synchronization Outlook is successfully configured for using the Sartorius Office365 mailbox. Outlook works in the cached mode (required for Office365) and connects via HTTPS to the server. You can connect your Sartorius mailbox in Outlook from anywhere. You just need a proper Internet connection. Outlook Web Access (OWA) Another flexible access to your Sartorius Office365 mailbox is Outlook Web App. It is a Web-based mailbox access. Supported are the most of popular browsers. Recommended for a full functionality is Internet Explorer 8 or higher. Open your browser and enter the address: https://webmail.sartorius.com Enter your user name like first.last@sartorius.com and your valid password Click on Sign In
11 Now you will be redirected to your Office365 mailbox After finishing your work click on Sign out in the upper right corner. For reconnecting to OWA close the browser and repeat the step above.
12 Legacy Public Folder Access Exchange Public Folders are no longer available in your Outlook. If you use public folders in your daily business then please contact your local IT team and request a migration of the concerned folders. Nevertheless there is still a read only access to the legacy public folders available: Open in your browser the address https://ex2003.sartorius.com/public/ Sign in with your Sartorius account and password Now the public folder tree will be shown in the browser
13 Select a folder to see the content After finishing your work click on Log off in the upper right corner and close the browser window. Password Management Your Sartorius account is subject to the Sartorius IT security policies. That means the following: Your password will expire every 90 days. The minimum length of your password is 8 characters You can change your password only once per day The new password has to be different to the last 5 passwords before When your password has been expired then Outlook will ask you for your credentials again and again at the next startup. You cannot change the password in Outlook! Please do the following: Optional: To make sure that you enter the correct password you can open OWA (https://webmail.sartorius.com). If you get the error message The user name or password is incorrect then your password has been expired definitely. In the address field type in the address https://setpwd.sartorius.com and press Enter Type in 1 st field your Sartorius domain user account using the syntax Sartorius\firsname.lastname, i.e. Sartorius\my.name In the password field enter your current valid password Make sure the option I want to change my password after logging on is activated
14 Click the Log on button After a successful login you have to change your password On the next page you have to enter the following data: o Field Old password : Your current valid password o Field New password : A brand new password o Field Confirm new password : Enter again the new password Click the button Change Password After a successful password change you see a confirmation page Your Password was changed, Click on Continue In case of an unsuccessful operation the appropriated error message will be shown, click on Continue and repeat the previous steps again The next page will confirm the successful password change, for security reason the browser window will be closed in 10 seconds
15 Click OK on the popup window for closing the browser Now you have changed your password. For further logins to the Sartorius Global Network you have to use the new password.
