Documation s Document Management solution provides online access across the business and also through secure portals for customers, suppliers and partners. With the option to retrieve direct from your business application, ERP, HR or CRM systems, you have the information you need at your fingertips. Documents are archived according to current business practice and retention policies, and available online via line of business systems, the internet or desktop. Documation s Document Management incorporates a range of features which can be selected and configured to meet business requirements.

Document Management Scan Index/OCR Store Retrieve Line of business systems Audit and history trails Capture Documation s Document Management capture component incorporates email capture, scanning, and import and EDF (electronic document filing) capture, ensuring consistent and fast processing for all documents regardless of original format. Document capture can occur centrally or at the location at which documents arrive so that delays are minimised and work is shared. High speed scanners can be used at central locations whilst at other locations, such as branches, existing equipment including multi-function devices can be used to capture paper documents. Similarly, emails and other electronic documents can be captured, en-masse or selectively. Indexing and OCR (optical character recognition) The key information to be used for subsequent document retrieval is input into the solution via manual indexing or captured using OCR (optical character recognition) technology. Index fields are configurable for each document type and determined by the data within the document. Documation offers a range of features to help improve the speed and efficiency of manual indexing pick-lists, online validation, for example. OCR is an automatic data capture system which can interpret information contained in any document type. The software is simple to use and has the capability of intelligent learning, enabling the system to handle any document.

Published by the British Standards Institute, BIP 0008 describes the procedures to be used throughout the lifetime of a document, and which can be used in a court of law to demonstrate that a document retrieved from electronic storage is an authentic reproduction of the original. Retrieval Documents are available online to authorised users 24/7 from anywhere in the business. To aid retrieval users have access to a variety of search facilities, such as free text search and wild cards. Once a document is displayed, users have the option to see a full audit trail and the workflow history for that document. Users may also add comments, and indexes may also be amended during retrieval to ensure complete record accuracy. Displayed documents may be emailed, printed or faxed directly from the screen. Document retrieval can be through a Documation facility or via an integrating system. In addition, Documation s Ultralink, is a powerful codeless integration product, which enables clients to link between systems, retrieve documents and transfer information from and into third party systems. Access security Document Management incorporates flexible security features allowing for authorisation to be defined by department, role, operating company, down to document type and individual document. Backlog and legacy system scanning Document Management can incorporate the option to back-scan historical documents and import from legacy document management systems. Functionality exists for these documents to be automatically recognised and indexed, thus creating a powerful facility through which to search archives even by the use of document content. Integration Document Management integrates with any ERP, CRM or line of business system, enabling you to leverage on IT investment across the organisation.

Integration eforms Store Enable securely stores and manages all documents regardless of format, enabling compliance with standards such as BIP 0008, and providing comprehensive audit trails and histories. Delivery Delivery creates and delivers outgoing documents, through from constructing the communication to retrieving recipient details and sending via the most appropriate route email, fax, letter, etc. Enable is designed to integrate seamlessly with any line of business system, ERP, HR and CRM application, with information posted automatically from Enable and documents retrievable from either environment.
