KNOWLEDGE BASE - COMMUNICATING WITH STUDENTS AND PARENTS Communicating with Students and Parents Campus Instruction and the existing Campus Tools provide a number of ways you can communicate directly with students or their parents/guardians. Message Center Tools With the release of E.1426 at the end of June, you can send three types of messages from the Message Center itself, including a Class Message, a Grades Message, or a Missing Assignments Message. Class Messenger Message Type: Select Class Message from the list. User Group: This dropdown list allows you to save message templates to your user account or a user group to which you belong. Template: This dropdown list displays a list of templates you have created and saved. To create a new template, select <new> from this list. Delivery Devices: Inbox places a note in the parent/student's portal inbox that a new message is available, and the text of the message. It does not deliver attachments. Email sends an email to the parent/student's email address on record (entered in Census > People > Demographics). Delivery Date/Time: The day on which the Message should be sent, and the time messages will begin to be delivered. The time will save with the templates. If you want messages to always go out immediately after Send is selected, the template should be saved with this field blank. Message Subject: This is the Subject line of the email, and the blue type that will display in the Parent/Student portal inbox. Message Body: The body of the message. Add Email Attachment: Displays when Email is selected as a Delivery Device. See Add Email Attachment Screens below. After completing the message, select Next to select the recipients of this message. Add Email Attachment Screens: When selected, the user s browse for file dialog opens. When the user selects the file to use as an attachment, Class Messenger begins uploading the document. Selecting Recipients Use the All recipients from section(s) mode to Recipients, as defined by class rosters. At the bottom of this screen, you can select all Students, and/or all Parent/Guardians of students, in the selected rosters. The Specific recipients from section(s) mode presents a Section(s) drop list. Use the Guardians/Students radio buttons to toggle between the students and Guardians, as defined by the roster of the selected section. Move a name from the contact list on the left, to the recipient list on the right, by selecting the word Add. In the example presented below, a student has been added to the recipient list, and the student s guardian has been added to the recipient list. The student s name displays in blue type, in both selections. After selecting recipients, select Next to summarize and preview your message, and to view the recipient details.
Summary and Preview Select Review Recipients to view and edit delivery details for each recipient. When you are satisfied with your message and recipients for this message, select Send.
