Updated: January 9, 2009 1 Overview This TechNote provides instructions for configuring a Web Ambassador program to automatically forward exam images and radiology reports to a Referring Physicians EMR (Electronic Medical Records) system. This process enables a physician to easily view images and reports in the EMR system used in the physician's office. This TechNote also provides instructions for enabling EMR integration via HL7 in Referring Physicians offices. 2 DR Systems Integration with Referring Physician EMR Systems The DR Systems options for delivering images and/or reports to a Referring Physician s EMR (Electronic Medical Records) include: Web Ambassador. Delivers results from Web Ambassador to an EMR in-box. The Web Ambassador option is best for communities where a large number of independent referring physicians use a variety of EMR Systems. HL7. Delivers results directly from DR Systems via HL7. The HL7 option is best where there are many physicians in a large group sharing an EMR. Page 1 of 6
3 Delivery via Web Ambassador Web Ambassador can be configured to automatically forward exam images and reports to a Referring Physician's EMR system. Referring Physicians can easily view images and reports in the EMR system used in their offices. Note: Web Ambassador EMR Integration requires DR Systems RIS/CIS/PACS Release 8.2 or later. PACS Administrators Instructions for Setting up Web Ambassador for EMR Integration To enable EMR integration from Web Ambassadors in Referring Physician offices: 1. Referring Physicians install and validate Web Ambassador on the Referring Physician s desired personal computer. 2. Referring Physicians contact their EMR vendor and request the integration with DR Systems. In most cases, the EMR vendor must perform a small amount of development work to process the reports and/or exam files, plus the associated XML demographics files that will be forwarded to the EMR system from DR Systems Web Ambassador software. 3. Referring Physicians provide the EMR vendor contact information to the PACS Administrator at the hospital or imaging center. 4. The PACS Administrator calls DR Systems Customer Support and provides the contact information for the EMR vendor and the referring physician. 5. DR Systems provides a sample of the XML demographics file to the EMR vendor. The demographics file is sent with each report and/or each set of image files. Images are sent by DR Systems as DICOM files. Reports may be sent as either PDF files or Microsoft Word (.DOC) files. 6. The EMR vendor completes any required development work to process the reports and exam files from DR Systems. 6 Referring Physicians: Set up a shared directory on the office network that is accessible to both Web Ambassadors and the EMR system. Ensure that Web Ambassador has Write and Modify access to the shared directory. 7. The PACS Administrator contacts DR Systems Customer Support to request the EMR integration configuration setting. 8. The PACS Administrator enables the EMR integration user right for each participating Referring Physician. Page 2 of 6
Referring Physician Instructions for Setting up Web Ambassador for EMR Integration To enable EMR integration from Web Ambassador, each Referring Physician must complete the following steps to set up Web Ambassador: 1. Start Web Ambassador. 2. Open the Exam Receive Options dialog and click the EMR Preferences button. Page 3 of 6
The EMR Preferences dialog box opens. 3. On the EMR Preferences dialog box, specify the following: Name of the EMR vendor. Check appropriate options and indicate locations, depending on the type of items you want to copy to the EMR in-box. You can copy: - Reports - Montages - All images 4. Start receiving exams and reports. You can receive files: Automatically Manually 5. Confirm that the reports and/or exam files have been correctly integrated into the EMR system. Note: Each physician or staff member in a practice must have a user name and password to log in to Web Ambassador. Page 4 of 6
4 Delivery Directly from DR Systems via HL7 EMR Interface To enable EMR integration via HL7 in Referring Physician offices: 1. Referring Physicians contact the EMR vendor that provides the EMR. Inform the EMR vendor that the hospital or imaging center wants to enable EMR Integration with DR Systems. Obtain the name of a technical contact at the EMR vendor. Provide the hospital or imaging center PACS Administrator the EMR contact information. 2. The hospital or imaging center PACS Administrator provides DR Systems the EMR contact information. 3. DR Systems and the EMR Vendor work together to validate the interface. Generally, no software changes are required by DR Systems or the EMR vendor. DR Systems will provide sample HL7 ORU results messages for testing 4. The hospital or imaging center: Establishes a secure communications link to the EMR system at the referring physician's office and Provides DR Systems the IP address and port of the EMR system. 5. DR Systems activates ResultsOut and works with customer to complete the validation. Note: A given instance of ResultsOut can send to only one IP address and port.
