What Does GIS Centric Mean? In the context of asset management, the GIS is the repository of the asset database The asset data is not duplicated as another set of tables in the computerized maintenance management system (CMMS) The system directly leverages GIS capabilities including map, geometry and geocode services
Why Use a GIS Centric System? Saves money by leveraging the GIS GIS offers open and low cost methods to share information with others Spatial analysis is inherit in the system, so assets can be analyzed in new and different ways We have to map the asset information using our GIS anyway GIS Cloud solutions readily available
Timeline 11/2011 Public Works Seeks New CMMS Solution 2/2012 Pilot Project-Upgrade of Existing System 9/2012 Scope Modified to Include GIS Centric 12/2013 Request for Proposal Released 3/2013 Contractor Selected-Cityworks & Woolpert 8/2013 Surface Water Management Implemented 6/2014 Streets, Traffic and Facilities to Begin 2015 Parks
Key Work Process with Cost Reductions GIS Staff Work orders, service requests and condition information is already mapped. Asset layer database modifications are only applied to the GIS Implementations are quick if the GIS Data models, and preferably the data, are in place GIS asset data is available to contractors through the GIS Cloud as a feature service (ArcGIS.com or Amazon EC2 instance) Maintenance Staff Can quickly find answers by browsing a map Can launch work orders or service request from a map or geocoding service Reduce or eliminate paper work, and quickly prepare reports for NPDES requirements or budget forecasts.
How Work is more Effective The map becomes accurate and trusted Work can be organized spatially for inspections Work can easily be reported by geographic areas Condition information can be spatially analyzed for hot spots or relationships with other layers The power of a map communicates information to a diverse audience
Database and Computer Server
Asset Geodatabases Started with two layers for linear and point features Ended with 35 layers, most layers match a work process Several efforts to GPS inventory beginning in 2003 As-built work process currently in place We use ArcGIS attribute assistant

Challenges The GIS Asset Database needs to be complete and accurate Work processes need to be in place to keep the data accurate Old routines need to be broken The system is very reliant on skilled GIS staff We don t have enough of skilled GIS staff
Successes Work is automated Questions are answered quickly The end users are happy Our long-term software maintenance costs were reduced Contractor maps are easily produced (i.e. ditch repair, pipe repair, commercial inspections)
Next Steps Currently upgrading to Cityworks 2013 Roads/Traffic are next Facilities/Parks after that
