What is Device Management? In an enterprise environment, Device Management (DM) is the practice of leveraging software solutions to better manage large fleets of network laser printers (LPs) and multifunctional products (MFPs). Specifically, IT professionals can remotely monitor device status/activity and configure settings from any Intranet-enabled computer. For instance, you can view device status, establish global parameters to match corporate policy, e.g., duplex output, black-and-white or color, paper tray default, etc., as well as automate meter collection/submission, service alerts and low toner notification. As digital imaging technology becomes more sophisticated, IT departments are under increasing pressure to keep pace. In general, DM solutions can reduce that burden by centralizing and automating otherwise manual tasks, thereby providing you with enhanced visibility into device usage and efficiency. What Ricoh s DM solution, @Remote Enterprise Pro, does is take device management to a whole new level. Indeed, with 24/7 access to accurate and timely device data, your IT staff can optimize many aspects of device administration, saving time and money. With @Remote Enterprise Pro s comprehensive suite of utilities, device administrators can learn how employees are using printer/mfp assets, whether those assets are located around the corner or around the globe. With an unmatched feature-set, @Remote Enterprise Pro provides metrics that can reveal costly inefficiencies, including over- and/or under-utilized devices. For instance, if some devices in the fleet are handling a workload that exceeds recommended monthly volumes, measures can be taken to align the correct devices with the appropriate applications. And with device status feedback readily available, error conditions, such as low toner or paper conditions are easily identified, maximizing device uptime and workgroup productivity. 5
While there are many benefits to implementing a DM solution strategy, such as @Remote Enterprise Pro, one of the most powerful motivators is the potential to institute a proactive versus reactive service model. Reactive Service Model If a critical service event is encountered, an end-user typically contacts the help desk. Regardless of why the device is down, productivity is compromised. And if a technician is dispatched, will the right tools and parts be on hand? If service dispatch misdiagnoses the problem, will time and money be lost waiting for a second visit? Proactive Service Model If a critical service event is encountered, an alert is automatically triggered; the DM solution transmits an email message, including a description of the problem. The end-user does not have to place a call. A technician is alerted, sometimes before the end-user realizes there is an issue. As such, a proactive service model offers - Eliminates the need to initiate service (or toner replenishment) calls. - Prompt response to service alert; repairs are completed faster, increasing device uptime - Uninterrupted workflow; reduced disruption to daily operations, boosting office productivity 6
What is @Remote Enterprise Pro? @Remote Enterprise Pro (@REP) is a scalable, enterprise-level DM solution that meets today s demanding workflow challenges by centralizing device monitoring and management of large fleets of Ricoh and non-ricoh network laser printers and MFPs. @REP is comprised of two modules: @REP On-Site and the @Remote Connector option. @REP On- Site gives you local access to device status and counters, service and toner alerts (via email) to the in-house device administrator, as well as the ability to batch-configure devices. All administrative tasks are performed using a standard web browser; no special client software is needed. When paired with the @Remote Connector option, available services are expanded to provide added visibility into Ricoh-made device populations, e.g., Web-based Fleet Reports and Green Reports, automated email service and toner alerts to an external service provider, and on-time meter collection/submission. The ability to perform more sophisticated remote firmware update is also supported. Intelligent Device Monitoring & Management Our Unique Advantage What distinguishes @Remote Enterprise Pro from other DM solutions is the Utilization->Optimization loop. @Remote Enterprise Pro not only provides on-going device utilization data as do other DM solutions but also supports your initiatives to fully optimize fleet operation. With fleet utilization metrics available through the @Remote web portal, device deployment can be arranged to address any inefficiencies and help meet cost-reduction goals. For instance, something as simple as setting device defaults to Duplex (2-sided) output can dramatically reduce paper consumption. Utilization data may also reveal large volumes being output on higher cost-per-page legacy color devices. 7

Feature Highlights With @REP On-Site, and the @Remote Connector option, IT departments can automate a wide range of common device management and maintenance tasks. @REP On-Site Device Batch Configuration Batch Configuration enables you to apply device settings to multiple devices, at one time, using a standard web browser; no special client software is needed. You can configure, for example, network settings, paper tray settings, and more. The same settings are applied to all targeted devices. You can configure multiple batch configuration tasks, which is useful when creating different configurations for sets of printers, or staggering the configuration execution time if you are configuring a large number of printers. Printer Management List Display Settings Display settings are easily selected to meet your exact requirements. Select the display items in the desired order, for instance, Printer IP Address, Serial Number, Printer Model, etc. Simple drag-and-drop operations allow you to change the order of displayed items on the fly. In addition, you can specify the number of devices to display per page, based on the selected items. Automatic Device Discovery & Status Polling To reduce the need for extensive IT support during the installation process, @REP performs an automatic discovery of all MIB-compliant devices, identifying basic information about all Ricoh-made and non-ricoh printers/mfps (across specific IP ranges and network segments). Standard display attributes include print counters. 11
Note: Once discovered, device status is detected using a highly-optimized method of polling for both Ricoh and non-ricoh devices, providing prompt error detection which is required in enterprise environments. Furthermore, you can configure how frequently @REP polls the devices, and the length of time it waits for a response. For example, you may choose to initiate status polling prior to start of the work day. Ricoh devices generate a SNMP trap, allowing @REP to immediately identify any error conditions. Job Logs, Access Logs, and Device Counters @REP s Log Management feature allows you to view all job logs for the registered Ricoh devices. Job logs are records of device operations by user, such as printing, making copies, scanning, and sending faxes, which are all recorded in the log. To perform further analysis on the data, you can export log data (.csv file) to another application, e.g., Microsoft Excel. Access logs are also available, providing records of access results for registered devices, e.g., login, logout, and setting events. (Job Logs and Access Logs are collectively known as Device Logs.) In addition, @REP also collects device counters. Counters include information, such as the number of color pages printed and the number of transmitted faxes, which can be manually exported. Device Floor Plan Mapping The Floor Plan Mapping feature lets you associate specific devices to locations on a.jpg floor plan, and then monitor device status from the map view. Visual color symbols are used to indicate the device s status, allowing easy status monitoring and fast resolution of error conditions. Ricoh Driver Deployment A print driver packaging tool is available for deployment of select Ricoh device drivers. The package is an executable (.exe) file that contains all of the files and settings needed for distribution to end users. Note: Also see Complementary Solutions. Email Service Alerts (In-house Device Administrator) Streamline service with automatic alerts. Upon critical error detection, @REP sends an email to the internal administrator that you identify detailing the event. Users no longer need to report errors, and administrators do not have to diagnose the error over the phone. 12
Email Toner Alerts (In-house Device Administrator) Manage toner inventory with automated toner alerts. The software notifies device administrators when a low toner status is detected, ensuring sufficient toner stock inventory, thus maximizing device uptime and workgroup productivity. Device Firmware Update (Basic/Internal) Maintain high uptime with remote firmware updates. @REP s Firmware Management feature makes it possible to check for and install recently-released upgrades remotely over the network either immediately or scheduled at a later time. And through the interface, you can view available device firmware and update older firmware versions, as needed. All Printers List Support personnel can click on any listed device to reveal its current condition, including paper, toner, memory level and configuration information. Early warnings, such as low toner or almost out of paper, as well as conditions that indicate a halted device, e.g., paper jam, no toner, cover open, etc. are also displayed. @REP then emails the alert to the appropriate IT staff member. Device Groups The Group feature enables you to manually registered groups, which are displayed on the Directory tab. When a group is selected, all of the devices registered with that group are displayed. @Remote Connector Option @REP enables you to achieve the ideal blend of in-house management and outsource support by adding the @Remote Connector option. IT departments can reduce printer related support calls, improve response times, automate manual processes and lower the cost of supporting enterprise-wide printing. Web-based Fleet & Green Reports The @Remote Connector option gives you access to a secure website where you can view Fleet Reports and Green Reports. Usage data is automatically aggregated and available to any authorized user. Should further analysis be required, you can drill down into report details, and export data to, for example, a spreadsheet application. Visual reports include Fleet Population, Utilization by Device, Trending Data, and reports on your environmental impact. 13
Fleet Report Benefits: - Secure cloud portal that gives you on-going visibility into fleet population and utilization, with updates available 24/7. - Reports help administrators recognize under- and over-utilized devices, so systems can be placed in the most appropriate areas. - Provides intelligence to let the user optimize fleet size to generate maximum productivity from the organization s current technology investment. - Supports drill-down into report details, allowing users to scrutinize page counts, page sizes, duplex versus simplex, black-and-white versus color, color coverage ratio, and other granular metrics for compatible devices. - Enables data export (.csv file) for further analysis. Note: Fleet reports are available for most vendors networked devices. Green Report Benefits (for Ricoh-made devices): - Tracks a variety of environmental metrics related to how much energy and paper each managed Ricoh device consumes. - Administrators can see the percentage of duplex or combine print jobs, which significantly cuts paper consumption and expenses. - Reports can be customized with local data, such as the cost of a single sheet of paper or a kilowatt of electricity; you can estimate how much electricity devices consume monthly. - Graphs help you track progress on environmental initiatives, such as Duplex utilization. - Indicates how much time is spent in energy modes. Note: Green metrics are directional rather than literal. Email Service & Toner Alerts (External Service Provider) The @Remote Connector option streamlines service by enabling Ricoh-made devices to issue email alerts directly to the service provider, not the internal device administrator or help desk. For critical service events, the service providers receive the alert, along with the device s recent service history. Not only does this relieve IT burden, no new infrastructure investment or skillset is required to take advantage of this service. Automatic Meter Collection & Submission With the @Remote Connector option installed, manual collection of device counters is replaced by automatic meter collection and submission to your service provider. In the background, your service 14
provider can set up automatic collection and submission of device meters on a preset schedule. The device then securely delivers actual device usage data to the service provider, ensuring accurate invoicing. Device Firmware Update (Advanced/External Service Provider) Maintain high uptime with remote firmware updates performed by your service provider. @REP s Firmware Management feature makes it possible to check for and install recently-released updates remotely over the network either immediately or scheduled at a later time. Since the update is performed by your service provider, IT staff is relieved of the task. Data Security In contrast to @REP On-Site, where device data remains on your site, @REP with the Connector option communicates beyond the firewall. As such, the communication between the devices and @REP server is encrypted. What s more, the transmission of meter data or a service alerts uses HTTPS protocol, along with data encryption. Indeed, the @REP system is designed with multiple levels of security: - HTTPS Protocol; Certificate Exchange (RSA 512-bit encryption) - Data Encryption (between device, @REP server & hosted data site using triple DES 168-bit key) - ISO 27001 Certification (Ricoh has deployed IT security procedures using ISMS) Fleet Visibility What Comes Next? With the @Remote Connector option you gain visibility into the fleet population and utilization by device, vendor, model, etc. Once you have obtained that valuable information, what do you do with it? Complementary Solutions Web Based Driver Installer (WBDI) WBDI is a user-friendly, self-service software solution that enables direct IP printing with pre-configured print drivers that users can download from a searchable website. When the user selects a driver, it is easily installed to their computer. Furthermore, your IT department can package groups of drivers by facility, department, floor or other criteria. WBDI works with virtually all printer makes and models. Benefits: Eliminates the need for expensive print servers. Makes print drivers available to your users, thus reducing IT support time and costs. Enables IT to quickly deploy large numbers of new printers and/or computers. Reduces network traffic associated with printing via print servers. Improves productivity by reducing the time needed for a user to connect to a device and print. Pre-configured settings, e.g., B&W/duplex, lowers output costs and environmental impact. Frequently Asked Questions Q. What does @Remote Enterprise Pro On-site do? A. @REP On-Site provides centralized monitoring and device management for your entire enterprise of networked Ricoh Family Group (RFG) laser printers and MFPs. This server-based solution gives your IT support personnel the information and control they need to maximize uptime and lower support costs. A single instance of @REP can manage up to 5000 network Ricoh-made devices. Locally-installed server-based software for monitoring and managing MFPs and printers. Collect page counters from each device by function, color and black-and-white or total print meter for other manufacturers devices. Perform print driver installation/packaging. Receive real-time device status, including paper, toner, configuration and early warnings, such as "Low Toner, "Almost out of Paper," etc. Alerts can be automatically emailed to internal device administrator. Mapping function allows the user to manage devices visually, based on their location on a floor plan, with color indicating the device's status. Q. What does the @Remote Connector option do? Furthermore, the @Remote Connector option provides you with access to a secure web-based portal to monitor aggregated fleet data and monthly trend reports. Reports include fleet population, utilization, trending and environmental metrics, as well as other reports and options for drill-down analysis and data export. Important: @REP On-Site software can be used with or without the @Remote Connector option. Q. How is the @Remote Connector option purchased? A. The @Remote Connector option is priced by device license, which is based on the number of Ricohmade (not third-party) devices to be managed by the Connector. Device licenses are available in three levels, 500, 1000, and 5000 devices. A service fee is applied for installation. Maintenance and support is also available, which is recommended to ensure the highest level of system performance and customer satisfaction. Glossary of Terms Authentication Authentication refers to the process of verifying a user's identity, and allowing him/her access to the system. @REP includes a built-in authentication system, and supports several external authentication systems, such as LDAP and Active Directory. Device - A "device" is a laser printer or multifunctional product (MFP) connected to the network. Though the term generally includes routers, hubs, and other network devices, "device" in this guide is limited to network-connected printers and MFPs. Discovery Discovery refers to the process of automatically detecting devices connected to the network, and then registering them with @REP. DM (Device Management) DM is enterprise software that enables the monitoring, managing and servicing of intelligent devices over the Internet. Using a DM solution, device administrators and service providers can monitor device population, utilization and costs from anywhere in the world. HTTPS (Hypertext Transfer Protocol Secure) A standardized web protocol that encrypts and decrypts user page requests and pages returned by the Web server. ISMS (Information Security Management System) A set of policies concerned with information security management or IT-related risks. The governing principle behind ISMS is that an organization should design, implement and maintain a coherent set of policies, processes and systems to manage risks to its information assets, thus ensuring acceptable levels of information security risk. ISO (International Standardization Organization) Refers to ISO 15408, the set of evaluation standards for security products and systems. The United States, Canada, Germany, United Kingdom and France combined separate criteria into a single set of IT security criteria, called Common Criteria. IT (Information Technology) Refers to those individuals involved in the use of technology to manage and process information, especially in large organizations. MIB (Management Information Base) A database of device information that describes the state of a particular class of digital system that can be managed using SNMP. There are public MIBs and private MIBs. MFP (Multifunctional Product) Also called Multifunctional Device (MFD), refers to an office system that integrates two or more core functions, e.g., Copy, Print, Scan, Fax, etc. 22
OS (Operating System) The most important program that runs on a computer. Every generalpurpose computer must have an operating system to run other programs. Operating systems perform basic tasks, such as recognizing input from the keyboard, sending output to the monitor, keeping track of files and directories on the disk and controlling peripheral devices, e.g., printers. SNMP (Simple Network Management Protocol) A secure protocol that is used to retrieve device counters (maintenance/accounting information) from the printer or MFP. SSL (Secure Socket Layer) Refers to an encryption protocol that encodes the transfer of data, e.g., meter readings, when communicated over the Internet. TCP/IP (Transmission Control Protocol/Internet Protocol) The set of standards (protocols) for data transmission and error correction that allow the transfer of data from one Internet linked computer to another. 23
