Junk mail filtering Outlook contains tools you can use to manage any suspected junk mail you might receive. Junk mail is also often referred to as spam. Another form of unwanted email is called phishing. Phishing emails try to trick you into giving up personal information, computer login details or other sensitive information. To help you spot potential junk mail, spam and phishing emails you can read through the guide located on the IT Services website. The tools allow you to block emails you detect as unwanted. Over time, Outlook will accumulate suspected and blocked junk mail in the junk e-mail folder. You are also able to mark emails which are not junk as safe and also tell Outlook never to block senders which you have verified as safe. Blocking a sender To block the sender of a junk, spam or phishing email: Select a message in your inbox from the person you want to block Click the junk button in the delete section of the home tab of the ribbon Choose the first option from the menu block sender A pop up box will appear to warn you that you will block a sender - OK To block a sender, select an email from that sender in your inbox Click the junk button Click the first option, block sender
Select OK this will block the sender so that all future emails from them will go straight the junk email folder Checking the junk e-mail box It is good practice to occasionally check the junk mail folder in case Outlook has marked an email as junk in error. Here s how: In the navigation pane click the junk e-mail folder Check the emails in the list to see if they are really junk In the navigation pane click the junk email folder Observe and evaluate the emails in the list
Marking as not junk When a message from the junk e-mail box which you have identified as not junk is listed: Select the email you wish to mark as not junk in the junk e-mail folder In the delete section of the home ribbon click junk Select not junk Make sure the box next to the address is ticked for messages to be blocked Untick this box if you wish to only make an exception for this one email Click OK Select the email you wish to mark as not junk in the junk email folder In the delete section of the home ribbon click junk Select not junk Untick this box if you wish to only make an exception for this email
Never blocking a domain (@domain.com) If a whole domain is repeatedly placed into junk (the domain is the part after the @ symbol for example joe@example.com, tara@example.com and dave@example.com all come from the domain example.com) you can choose never to block the whole domain: Select an email from the domain you wish to mark to never block in the junk e-mail folder In the delete section of the home ribbon click junk Select never block sender s domain (@example.com) A pop up box will appear that says the sender of the selected message has been added to the safe senders list click OK Select an email from the domain you wish to mark to never block in the junk e-mail folder Click junk Select never block sender s domain (@example.com) Click OK
Marking a group or mailing list as safe If a whole group or mailing list is blocked and you wish to allow all senders to be added to your safe senders list: Select an email from the group or mailing list you wish to mark as safe Click the junk button on the home tab of the ribbon Select never block group or mailing list this will open the add to safe list dialogue box Tick the boxes next to addresses you wish to mark as safe Click OK Select an email from the group or mailing list you wish to mark as safe folder Click the junk button Select never block group or mailing list Select email addresses you wish to add to your safe list Click OK
