A step by step guideline for filling up online AEP Management Information System (AEP MIS) 2014 15 for KVS/NVS System Brief Introduction 1. The objective of the AEP Management Information System (AEP MIS) is to systematically collect information related to key performance indicators, analyze the data and provide timely feedback to further improve programme performance. The monitoring data also helps in understanding whether the programme is meeting its larger objectives of responding to the programme related concerns of different stakeholders (including, students, teachers, principals and parents). It also enables to identify gaps in programme implementation and take timely corrective measures. Besides providing a good benchmark of the progress made under the initiative; the information will provide evidence based inputs for both the content and approach of the program to enhance its impact and take well informed decisions at the policy and implementation level. 2. For the last few years, Jawahar Navodaya Vidyalayas (JNVs) and Kendriya Vidyalayas (KVs) have been providing information on programme progress in hard copies. The monitoring data of academic year 2013 14 was used to recognize school performance related to the AEP. It encouraged the schools that were recognized and also served as a motivating factor for all schools to continue to work on AEP and report their achievements. We recognize that an important component of a well functioning MIS is the feedback loop. It has been difficult to provide timely feedback on the paper based reporting as all schools are not able to submit the reports in a timely manner. This delays data entry and as a result there is a lot of time gap between submission of reports and meaningful feedback for recognizing performance as well as providing feedback for improving performance which somehow defeats the overall purpose of MIS. 3. Hence, for the academic year 2014 15, it has been decided to operationalize a web based platform to ensure that not only are the data received in a timely manner but relevant feedback also reaches schools promptly. The attached proforma is an annual reporting format which should be endorsed by the Principal and submitted online once in an academic year. This year s online monitoring will form the basis of recognizing school performance. Inputs received from school will further help in improving the AE programme. PLEASE NOTE THAT ONLINE REPORTING WILL COMPLETELY REPLACE PAPER BASED REPORTING. 4. It is expected that the web based platform will further enhance the engagement and ownership of the regional offices in supporting the programme. They will be able to review the performance of schools in their region and provide timely feedback as well as support to further improve school performance. 1

5. It is advised that schools keep all records required to fill the AEP MIS data readily available and provide accurate data through the online link. We have attached the hard copies of the online form for your perusal to enable you to prepare for filling the format. However, please note that there are several drop down menus and hard copies will not show all the options. The hard copy of the form is meant to guide you to identify and keep the necessary information readily available to fill the forms online. After filling the format, Nodal teacher/ Principal must review the format to ensure that responses have been filled in for all the questions and information provided at different places is consistent. The guidelines for filling the formats online are given below. Step 1: How to register Each participating school will have to register online on the portal www.aeparc.org by providing a valid e mail id with a simple process mentioned below. Please visit www.aeparc.org and click to login/register at top right hand corner of the site and click. You will find a dialogue box like this. Create new account Request new password Username * Enter your Adolescence Education Programme username. Password * Enter the password that accompanies your username. Log in If you have not registered, click Create new account and fill out certain details. We would strongly encourage the school principal to register. NOTE THAT THE USER NAME SHOULD BE THE SCHOOL S EMAIL ID. (For example email id: kv_nmr@yahoo.co.in as user name) PLEASE REMEMBER THE USER NAME FOR FUTURE USE. The school principal is also requested to provide: email address, sex, designation, city and school s name. Then click create new account. Other details will be sent to your mail once approved by the system administrator. (Maximum 2 working days are required for the approval.) Step 2: Filling up the format online After completing the registration process you can go to AEP MIS via aeparc.org. Please make sure that you have internet connection and uninterrupted power backup. The form has 2 sections. The first section covers the School Introduction and the second section covers 2

Progress of Activities in the Academic year 2014 15. All fields in the form are mandatory. Please note that the information you are providing is taken by the computer system and will not be disclosed in public domain. The information will be used only for the academic purposes under the AEP intervention. Under AEP MIS first section of the Annual AEP Monitoring form click on it to fill the form. Section A: School Introduction Form Q. No Questions Guideline 0 Academic year April 2014 to March 2015. All the information that you provide us will pertain only to the academic year April 2014 March 2015. 1 Name of the school Name of the School should be given in full using the text without any abbreviations or acronyms. 2 5 Complete postal address and district Please enter the postal address of the school location, PIN Code, District and State/ UT name. 6 School System Select either KVS or NVS 7 Regional Office Once KVS or NVS selected ROs will be shown automatically. Please select the respective RO. 8 Phone number with STD code Please enter the phone number of the school. 9 Mobile number of the Principal Please write the mobile number of the Principal. It will not be shared in public domain. 10 School E mail address Please write the correct e mail id of the school for records and future communication. 11 School Type Please select one of the three options available. 12 Total number of teachers in school 13 AEP master trainers in the school Please provide total number female and male teachers in the school. Please provide total number female and male teachers in the school selected as master trainers trained by National Resource Persons. 14 AEP Nodal teachers trained Please provide total number female and male teachers in the school trained for 6 days duration at AEP trainings. 15 Name of the Principal Please provide the name of the principal. 16 Most recent AEP sensitization received by Principal Please provide the month and year of the most recent AEP sensitization received by Principal 3

Details of AEP Trained Nodal Teachers 17 Availability of training and resource materials for master trainers and nodal teachers 18 Availability of peer facilitators manual Please fill the details of the trained nodal teachers available at your school and the information on most recent training month and year. For adding more than one teacher, click on the button Add Teacher. You can also delete the teacher by clicking the button Delete Teacher if you have added the teacher by mistake.. Master trainers and nodal teachers are provided a copy of the manual during training programs.. Peer facilitators are provided a copy of the manual during training programs. Enter the information from class 8 to Class 11 both for girls and boys 19 26 Total number of students and sections 27 30 Number of peer facilitators Enter the information for peer facilitators from classes 8 11. II. Training in guidance and Fill the information with respect to teachers counselling offered by trained on guidance and counselling offered NCERT/RIE by NCERT/RIEs. For adding more than one III. For the class VIII, IX, X and XI the data need to be filled for individual classes separately. assemblies held on AEP themes. Special sessions, PTA orientation etc. Please provide information on the number of sensitization sessions held with parents in response to question 11 and approximate numbers of parents oriented in response to question 12. Specific activity options including, role play, debate, poster making, creative writing, slogan writing have been provided. Please provide the necessary information on month and date of organization of the activity/ies held in the academic year April 2014 to March 2015 and the number of sessions held.. If an additional activity, was organized, please provide the details in response to the question: Any Other Number of school students who participated at regional/national level activities held during the academic year April 2014 to March 2015 to be captured. Success of the AEP has been defined under five criteria. Please rate the programme in your school by clicking on the appropriate option for each of the five criteria. In this section, the information on AEP classroom transaction to be filled in sectionwise for classes VIII XI. To complete the detailed information of all the classes i.e. VIII to XI is mandatory and to be filled at one go provide the month and year of organization of essential 30 activities that have been listed. At the end you can print/ download the report once submitted. It gets easier after the first time! Happy reporting!
