1. Finding an exchange possibility To search for an LLP exchange possibility please click here. You can search a field of study through the use of (some of) the available filters (country, study field, ). - Do not select Continent - Select your country - Select home institution - The exchange programme is Erasmus Student Exchange - Select your study field - Academic year is 2014 2015 - Now click on the box show exchange details to see the fields of study matching your search criteria. Exchanges marked with a green LED light are open for application, while those with a red LED light are not accepting applications on this moment. Example: Incoming mobility 2
2. Apply and complete the online application: between 21.02.14 & 30.05.14 To apply for an exchange please click on the green LED next to your choice (see example above). The online application form (see example below) will become available. Please fill in all the mandatory fields marked with a red asterisk (*). To continue, click on the button Send application. After sending the application, you will receive an e-mail with the subject line Confirmation of the application. Please click on the link at the end of this e-mail, in order to register your application on the Erasmus University College online mobility database. Please check if you have entered your correct email address! Example: Incoming mobility 3
3. Create your applicant account (register) Step 1 of 2 The link in the Confirmation of application e-mail, will ask to confirm your date of birth. Step 2 of 2 Click on the Continue button. The online registration form will appear. To create your applicant account, choose a login name and password. Enter them in the dedicated fields and click on the Continue button. Please note that for security reasons your password must be six symbols long and contain at least one digit and one upper case letter. Save or remember your username and password as you will need these for future login during the application process. Online portal Upon successful registration you will receive an automatic e-mail with the subject line Confirmation of registration. To continue your registration, click on Direct entry to Online portal to start completing your online application form. If you wish to finalize your online application at a later stage 1, you can access your account via the link in the Confirmation of registration e-mail, and by using your chosen login and password. mail also contains important information regarding the next steps to the application, so please take your time to read it carefully. 4. Complete your personal data When consulting your online mobility account, you will see an overview of the steps that you need to follow to complete your application. Click on Complete personal data, to fill in personal data regarding your contact details. Please fill in all mandatory fields and click on Create to proceed with your application. Incoming mobility 5
5. Upload the required documents After your personal data have been registered, click on Back to the application workflow to return to the workflow and complete the remaining steps of your application. In order to complete the application, it is recommended to complete each step in the given order. Passport photo and academic records Please upload: - a passport photo (maximum size of the picture is 300x300 pixels and 1Mb disk space); and - your academic records (preferably in English) Incoming mobility 6
Learning Agreement Once the passport photo and academic records are uploaded, and the application form is printed, you will be able to start completing the Learning Agreement, by clicking on Complete Learning Agreement. Please start preparing your Learning Agreement as soon as possible since it may take some time to put together an accurate one. Information on the subjects for the different study programs organized at EhB, open for Erasmus students please consult the website, where you can also find the e-mail address of the Erasmus coordinator that you can contact for more information on the study program. Click on the icon next to No courses found! Please select the left icon to enter a new course. For each course you will have to fill in the mandatory fields (marked in white). You also need to add the equivalent courses from your home university that will be replaced by the courses you choose at Erasmus University College. This is an important indication for the academic Erasmus coordinator at EhB in order to give advice on available courses. When you are done, click on Create. You can add more courses by clicking on Enter next record. Example: Incoming mobility 7
When you have finished adding all courses, you can return to the workflow by clicking on the Reload Application Workflow button on the top right side of the screen. 6. What is next? The learning agreement will be verified by the Erasmus coordinator of the faculty you have applied for. When approved, a formal check will be done by the international office. Once your learning agreement is accepted by Erasmus University College Brussels, you will receive an e-mail confirming that your application has been accepted. You will be asked to print the learning agreement, which your international coordinator must sign and stamp. Then you need to upload the kearning agreement in Mobility Online. At this stage you will be informed on accommodation possibilities in Brussels. Once arrived in Brussels, you will have the possibility to make changes to your learning agreement during the first 4 weeks of your stay. These changes will have to be registered in Mobility Online and a new learning agreement will be signed and uploaded as well. At this stage, it will no longer be possible to make changes to the learning agreement! We look forward to welcoming you in Brussels! Incoming mobility 9
