PowerPoint Basics version XP Opening a Presentation To start a new presentation, click Blank Presentation in the panel on the right side of the screen. To edit an existing presentation, choose from the list. Setting Useful Toolbars Choose View >Toolbars. Most commonly used: Standard, Formatting, Picture, Drawing Page 1 of 10

Undo/Redo The icons for the Undo and Redo arrows are on your Standard toolbar. Note: You can undo all of your actions until you save your work. Once you have saved, you can undo only those actions performed after your last save. Choosing a Slide Layout To select a layout in the right Panel, choose Format > Slide Layout. Note: If you change your mind and want a different layout, select the slide, choose Format > Slide Layout, and choose a new layout. If you have text or graphics already on your slide, they will move according to your new layout choice. Formatting (changing) Text Highlight the text you want to format, and use your formatting toolbar to make changes. Page 2 of 10

Using Design Templates Choose Format > Slide Design. To select a design, single click it. The design you chose will be applied to all slides. To apply the design to only one slide, select the slide in the lefthand panel. Then click the arrow on the right of the design and choose Apply to Selected Slide. Adding a New Slide Choose Insert > New Slide, or click the New Slide icon on the Formatting toolbar. To delete a slide, select it in the left hand panel, and press the delete key on your keyboard. Adding Clipart Choose a slide layout that includes clipart, and double click. Then click on the Insert Clip Art icon. Page 3 of 10

To add clipart to a slide with no clipart box, choose Insert > Picture > Clip Art. Searching for Clipart BASIC SEARCH Type a topic in the Search Text box. Click Search. Click on an image to insert it. Note: All clipart shown may not be available on your computer. To start a new search, click Modify. SEARCHING COLLECTIONS & MEDIA TYPES You can check or uncheck clip art collections in which to search. Page 4 of 10

WORKING WITH CLIP ART To select clipart, single click on it. It will display a border with circles on each side and vertex. Adding Text Boxes To add additional text boxes to a slide, click on the Text Box icon on the Drawing toolbar. Or under Insert, select Text Box. Click and drag to create a text box. It will change size as you type. Page 5 of 10

Adding Slide Transitions Definition of Slide Transition: effects that happen when you go from one slide to another Choose Slide Show > Slide Transition. Select a transition from the box in the right panel. You can control the speed and add a sound effect. You can advance slides manually, It will be applied to the selected slide. To apply to all slides, click the Apply to All Slides button. or automatically advance after a specified number of seconds. NOTE: If you wish for all slides to advance manually, choose Apply to All Slides. A small star under the slide number indicates that a transition has been applied to the slide. Page 6 of 10

Continuous Looping To set up a presentation to run manually and repeat, first, set up all slide transitions to advance automatically. To set up a presentation to run manually and repeat, choose Slide Show > Slide Transition. Place a check in Automatically After, and enter the number of seconds each slide should be displayed. Then choose Slide Show > Set Up Show. In the Slide Show Option, place a check in Loop Continuously until Esc, then click OK. Adding Animations Definition of Animation: effects that happens to the different parts of one slide Choose Slide Show > Custom Animation. Select an object on your slide. In the right panel, choose the Add Effect button, and make a selection. Page 7 of 10

NOTE: If you wish to choose a different animation, you must remove the first one by clicking the Remove button. A small grey number indicates that an animation has been applied to the object. To reorder the animations, you can drag them to the desired order in the right-hand panel. To add sound to an animation, click the arrow in the animation list and select Effect Options. Use the drop down arrow to select a sound. Page 8 of 10

Arranging your Slides You can rearrange your slides by dragging them around in the left hand panel. Or you can click the Slide Sorter icon at the bottom of the screen, and drag the slides into the desired order. When in Slide Sorter view, double click any slide to return to normal view. Viewing your Show To view the slide show from the beginning, choose Slide Show > View Show, or press the F5 key on your keyboard. To view the slide show from the current slide, choose the start show button at the bottom of the screen. Press the Escape key on your keyboard to end the show at any time. Saving your Show Under File, select Save As. Type the name, and select the saving location. To save changes while working, under File, select Save, or click the Save icon on the Standard toolbar. Note: Although the Save icon looks like a Floppy Disk, it does not save to the Floppy disk. It will save to the last location you saved to. Printing your Show Under File, select Print. It will automatically print one large slide per page. If you want to print multiple slides on one page, in the Print What box, select Handouts. Then select the number of slides per page. Page 10 of 10
