ShopTheFloor Bulk Upload Spreadsheet Instructions The bulk upload process is for uploading batches of products via a spreadsheet. For brands that have a lot of products, this method is faster than entering one product at a time. However, using the bulk upload method does require some upfront planning. This document is an overview of the process. The main steps required for the bulk upload process are uploading product photos and completing a spreadsheet template. To Get Started Go to Manage Showroom and click on Start Bulk Upload. 1

Step 1. Uploading Product Photos This process must be done before uploading the spreadsheet. Tip: For the best product presentation results, use large, high-resolution photos (max 10MB per photo) in.jpg format. To upload photos, click on the Upload Bulk Photo placement. This will open a new window where you can locate product photos. Multiple photos can be selected by using the Shift key to select a block of photos or using the Ctrl button to select specific photos for uploading. Tip: Prior to uploading, place all of the photos in a designated folder so they re easy to find. 2

Once you ve selected all of the photos you want to upload, click on the Open button and the photos will begin to upload. You can monitor the uploading process by watching the progress bars. Once all of the photos have been uploaded, thumbnail images of each photo will be presented on the Photos page. Tip: Make sure that you select at least one photo for every item you plan on uploading as each product requires a photo to be successfully uploaded to the site. Photos remain on this page until you upload a spreadsheet. Once a spreadsheet referencing these photos has been successfully uploaded, the photos will be removed from the page. Any remaining photos on the page are either items not included in the uploaded spreadsheet or items that have loading errors. Step 2. Creating the Product Spreadsheet After product photos are uploaded, move to the Upload Product Spreadsheet section. Here you can click on Download Spreadsheet Template to download a template that has image names pre-populated, one per row (each row corresponds to one product). This is to help establish the image to product mapping. If you prefer, you can remove the pre-filled content, and save it as a blank template. You can skip the Download Spreadsheet Template step if you prefer a blank template and have one saved already. The spreadsheet is in.csv (comma separated values) format and must be saved in this format for uploading purposes. Formatting such as bold or italic font will not be retained when the spreadsheet is saved and will not affect the presentation of the product information on the site. Information can be typed or cut and paste into the spreadsheet as long as there is no html. Tip: Unlike regular Excel spreadsheets, when saving or closing.csv formatted spreadsheets you will be asked to save the spreadsheet multiple times. Other than annoying, this is normal. Just make sure that you click on Yes when asked if you want to save the spreadsheet in.csv format. 3

Mac Users using Microsoft Excel How to save your file: People using a Mac version of Microsoft Excel should save their files with "Windows Comma Separated (.csv)" format. Click "File > Save As...", then choose the format "Windows Comma Separated" (see below). When you open the spreadsheet there will be 25 columns (A Y). Expand the width of each column to see the column names. You will have to expand the width of each column each time the spreadsheet is opened as.csv format spreadsheets don t retain column widths. Here is an explanation of each column in the spreadsheet. All required fields are noted below. All other columns are not required and can be left blank. Column A: Category (required field) Mens or Womens or Juniors or Kids or Dual Gender The entry must be typed in exactly as presented with a capital letter and without the quotes. Column B: Sub-Category (required field) Apparel or Footwear or Accessories. The entry must be typed in exactly as presented with a capital letter and without the quotes. 4

Column C: Product Category (required field) Find the table and column below based on the Category and Sub-Category selected in Column A and B, choose a Product Category name from the list given in the column. For example, if you have entered Womens and Accessories in Column A and B respectively, you should look at the Accessories column in the Womens table, and select one out of the list of category names in that column. Important: The entry must be typed in exactly the same form as presented in the list with any capital letters and any /. Category reference tables start on the next page. 5

Column D: Brand Enter the brand name of the product. If this column is left blank, your company name will be used as the brand name. Note: The brand name entered here has to match with the brands your registered with MAGIC. For example, if you enter Kate Spade, but your MAGIC registration record doesn t have Kate Spade as a brand you represent, you will see an error. Column E: Product Name (required field) This is the name of your product, not the style or SKU. Column F: Description This is any additional information you would like to present about your product. Column G: Style ID (required field) This must be a unique style ID for a product. If the same Style ID already exists, the product will not be uploaded. Column H: WS Price This is the wholesale price of the product. The entries in this column should be numbers and decimals only without $ (e.g. 125.00). The entry should be in $USD. Any entries without decimals will be automatically presented with.00 (e.g. 125 = $125.00 or 125.1 = $125.10). Although wholesale price is not a required field, it is highly recommended as it enables buyers to create orders with cost implications. Column I: MSRP This is the manufacturer suggested retail price. Formatting requirement is the same as WS Price. Column J: Material This is for any information about the composition of your product. Column K: Origin This is to designate where your product was manufactured (e.g. Imported, Made in U.S.A., etc.) Column L: Season/Collection This is to designate the season or collection of your product. You can create a collection and manage existing collections in Manage Showroom->Manage Collections. Each collection is identified by the name. If the season/collection name entered here matches with an existing collection, then the product will be added to that collection. If the name is new, a new collection will be created automatically. You can later edit the properties of the collection under Manage Showroom->Manage Collections. If you leave this field blank, the product will not be added to any collection. NOTE: There are two collection names reserved for system use Showroom and Immediate. Showroom holds all of your published products. Immediate contains products that are immediately available for sale. If you enter Immediate in this field, the product will be automatically added to Immediate. If you enter Showroom, it will be ignored. Column M: Colors (at least one color is required) Colors must be entered in the column separated by a comma (e.g. Blue, Red, White). Column N: Sizes (at least one size is required) 12

Sizes must be entered in the column separated by a comma and can be alpha numeric (e.g. 2,4,6,8 or xs, XL, 2XL). Columns O - Y: Photos (at least one photo is required) Enter the name of the photo(s) for each product, one per column. Up to 10 photos per product can be uploaded. Make sure to include the file extension along with the photo file name (e.g. blue_shirt.jpg) otherwise the photo will not be able to be matched to the photos uploaded in the Photos section. The photo entered in column O will be the default photo for the product, but you can change the presentation order of the photos after the upload process. Step 3. Uploading the Spreadsheet Once the product spreadsheet has been created and saved, the next step is to upload the spreadsheet. Click on the Upload Spreadsheet button. This will open a new window for you to locate and upload your spreadsheet. This process is similar to the window you see when you upload photos on the Photos page. When the spreadsheet has been located and selected, click on the Open button and the spreadsheet will start to upload. When the spreadsheet has completed the uploading process, products will be successfully uploaded or rejected due to errors. At the bottom of the page there will be messaging about the status of the upload. The message(s) will indicate the number of products upload and any errors. Example: If there are upload errors, you need to open your spreadsheet and make any necessary corrections and re-upload the spreadsheet. If you go to the Photos section, you will also notice that any photos that were for the products that had errors will still be there. Important: When you make corrections to the products with errors, before you upload the spreadsheet, remove all of the items that were successfully uploaded and only include the corrected items in the spreadsheet. Otherwise, you will see error messages that product with the same style ID already exists. This will not affect the products already uploaded, but removing the successful products from the spreadsheet will avoid confusion. 13

Step 4. Review and Publish Note that after bulk upload, products are not published to your showroom yet. You can go to the Product Dashboard page to review each product, make additional changes, and publish.
