HOW TO: INSERT A JPEG IN AN EMAIL. Have you been wanting to use marketing materials from Legal & General America but don t know how? Here s the answer. WHAT? Email is one of the fastest ways to send promotional messages to brokers. Used effectively, it s a powerful communications tool. It s particularly valuable when used to reinforce face-to-face or phone communications. HOW? This guide will help you learn how to insert promotional JPEGs into the body of an email, include a message from the sender and add your agency logo, marketing group and other contact information. If this is not your default email system, you can still use the instructions as suggested search words when using your system s help screens. HOW TO INSERT JPEGS IN THE BODY OF AN EMAIL These instructions are based on Outlook 2007. The easiest way is just to open an email from Legal & General America. Right click on the image and select copy then open a new email message and select paste Or right click Paste, Or use the Control key and the V key. If you keep the image selected you can center it on the page just as you would typed words. Note: Sometimes network restrictions or spam filters keep the recipient from seeing the graphic when inserted this way. There is another option. See the next page. 1 P age
Another Option: Open a new email message. Create a hyperlink. In the body, type these words: If you do not see the graphic below, click here. Go back to the email sent by LGA, and click on the word here. 2 P age
A browser window, in this case Internet Explorer, will open with the JPEG image shown. Highlight the address with your cursor (this is where it was posted on the LGA server). Right click, and then select copy. 3 P age
Go back to the unfinished email message. Click on the Insert tab. Highlight the word here with your cursor. Click on Hyperlink button. This window will open. See how it says here in Text to Display. Position your cursor in the Address field and right click paste (or use the Control key and the V key). If the address doesn t show up, as shown here Go back to the browser window and copy and paste it again. 4 P age
Go back to the browser window and right click on the JPEG. Select Save Picture As. Note: You can also do this with any JPEG posted to the www.lgamerica.com website. Go to Marketing Forms and save the JPEG of your choice as a picture and follow the instructions from here on. The Save Picture Dialogue box will open. In this case, it automatically opened the My Pictures folder, but you can save it anywhere you want by opening the dropdown menu and choosing the location here. The JPEG form number appears as the file name but you can change it if you want here. The file is automatically being saved as a JPEG; make sure yours saves this way. Click Save. 5 P age
Go back to the unfinished message. With your cursor positioned after the text, hit Enter on your keyboard to add some blank lines below the text. Select the Insert tab. Select Picture. The Insert Picture dialogue box will open. Select the JPEG. Click insert. 6 P age
The JPEG will appear in the body of the email. Since the text above it was centered, the JPEG should be, too. If not, with the JPEG selected, click the Center button. Now the agency can add text of its choosing below the JPEG. Select the Message tab. Click the Enter key a couple of times to position your cursor below the JPEG. Add the text. By highlighting the text it can be changed to any font installed on your PC. The font size can also be changed As can the color. Note that the text is flush left. If you like it at left, you might want the move the JPEG and text at the top back to left as well. If you want the text centered under the JPEG, more steps are required (see next page). 7 P age
To center text under the JPEG, select the Insert tab. Select Table. Select one cell so the table will be one cell wide and tall. Right click on the table arrow icon. Select Table Properties. 8 P age
In the Table Properties dialogue box, under Alignment, select Center. Click OK. To make the cell as wide as the JPEG, position your cursor on the left or right border and drag it to the left or right margin of the JPEG. 9 P age
Position your cursor inside the table cell and type the message. You can change the font or font size or font color just as you can in any MS Office document. See page 6. If you want to get rid of the border on the table, make sure you ve selected the table cell and then select the Design tab. Then select Borders And then No Border. 10 P age
You can add hyperlinks as you type in your email body text. As long as you type the entire address, and hit the space bar or enter key after the address, the link will be automatically active. You can add an agency logo by following the same steps as you did to enter a photo (see page 6). Remember you are still inside the table cell. If the logo doesn t align where you want it to, select the Format tab. Select Text Wrapping. Select Square or In Line with Text. This will allow you to position the logo where you want and the text will wrap around it. 11 P age
Add contact information as you would any other text. Legal & General America requires you to include your agency name as it appears on your Banner or William Penn contract, your address and your marketing group affiliation. Phone numbers, email links and website addresses are up to you. You can make the logo a hyperlink to the agency website or any other address. Select the logo. Select the Insert tab. Select the Hyperlink button. Type the agency website in the Address field. Click OK. DON T FORGET TO ADD A CATCHY SUBJECT LINE TO ENCOURAGE BROKERS TO OPEN THE EMAIL.
