Contractor Labor Entry & Approval 1. Navigate to https://ecomm.carletonls.com/contractlabor 2. LOGIN / REGISTRATION a. You will be presented with a login screen. i. If you already have registered, enter the email address and password you created. ii. If you can t remember your password, click the Forgot Password? link. 1. You will be prompted to enter the email address you registered with. 2. An email will be sent to the address entered, along with a link to re-set your password iii. If you haven t previous registered, click the Register link. 1. Enter your email address. This email address must be on file with our HR department. If you get the message Email address not found. Contact HR to verify email address on file., contact the HR department to verify or correct the address on file. 2. Enter a 6 to 20 character password. No restrictions, other than the length apply, but it is recommended that you create a secure password by mixing case, including letters and numbers and punctuation. 3. Re-enter your password for confirmation. 4. If account registration is successful, you will be directed to the Login page. 3. HOURS ENTRY a. Immediately after logging in, you will be presented with a calendar. i. Click anywhere on the week that you wish to enter or review hours for. Note: You cannot enter hours for future periods. ii. Use the < button to navigate to previous months.

b. After selecting a date, you will navigate to the current time card. i. Card shows projects and tasks entered with required comments and hours with daily subtotal and total hours entered for period. ii. To add new hours, click the + button in the lower left portion of the grid. 1. Begin by selecting a project. This can be done by selecting the correct value from the Project dropdown. This list contains ALL possible projects that are currently available. As this list is large, you can also narrow down the selection by using either of two search methods a. Enter Text & TAB allows you to type in a portion of a project name. As you continue typing, the list of available projects narrows to those matching your search string. When you find the project you want, select it with the mouse, then TAB off of the search box, which will then populate the Project. Repeat the same steps to select the appropriate Task.

b. Recent Projects shows only the projects that you have charged labor against for the past 90 days. If you typically charge to the same projects week after week, using this list will show a more manageable list. After selecting the appropriate value from this list, the Project and Task dropdown lists will be populated with appropriate values. 2. Enter the applicable value from the Task dropdown. 3. Clicking on the Work Date box, will bring up a calendar. While the calendar displayed will show an entire month, you will only be able to click on values for the current work week. a. Click the < or > buttons to navigate to the previous or next months for weeks that are split over 2 months. 4. Enter Hours. Hours can be entered in tenths of an hour, if needed. 5. Select the Type of hours, Regular or Overtime. The application will not prevent you from entering an incorrect value, so be sure that you select the type that applies to your situation, to prevent delays in approving your time for payment. 6. Enter Comments. This is required and must be between 10 and 100 characters in length. You may have a requirement to put special information in this box, such as an ID number, or GL account. Verify with your Cobham coordinator on the precise nature of how this field should be populated for your situation. 7. Click Submit to save your entry or Cancel to abandon. iii. Edit previous hour entries, by first selecting the row from your time card, then clicking the pencil icon in the lower left grid. 1. Make changes as you would for a new entry. Note that if you change the Project field, you will also be required to make a new selection for the Task field as these fields are related. 2. Submit or Cancel your changes as with a new record. iv. Delete previous entries by clicking the trash can icon for the applicable row on your time card. 1. You will be asked to confirm your deletion. v. When you have completed making entries for the week, you must post your hours by clicking the Post Week icon on the lower left portion of the grid. 1. Your time card cannot be approved for payment until you have posted your hours. 2. Once you have posted your time card, no further changes can be made to the time card unless your supervisor reverses the post, so be sure not to post until you are confident that your hours are correct for the week.

4. OTHER UTILITIES a. Click the Change Date link at the top of the page, to review your time card for previous weeks. In addition to the summary of hours, each time card shows approval status for the period. b. Click your name in the Welcome message at the top of the screen to review your profile. From this page, you may also change your password for the application. c. Sign Out when you are finished with the application to ensure maximum security for your labor data. 5. APPROVAL (Supervisors and Directors Only) a. After logging in you and selecting a week ending date per above, you will see either a Select Proxy screen or an Approval Summary screen depending on your situation. b. If you are presented with the Select Proxy screen, select a value from the dropdown by beginning to type in the name of your proxy, or hit the space bar to see all proxies available to you. Choose your value and click the Submit button. c. You are now at the Approval Summary screen. This screen recaps all persons that you are responsbile for approving and cards are grouped by the following i. 0 Zero Hours: No time card entries exist for this person ii. 1 Entered: Time card entries exist, but have not been posted iii. 2 Posted: Time card entries have been posted. They are now ready for Supervisor approval iv. 3 Supervisor Approved: Time card has been approved by supervisor. Time card is now ready for Director approval v. 4 Director Approved: Time card has been approved by director. Time card is now complete for entry/approval phase and will be available to finance to faciliate payment.

d. You can view time card detail for any row by double-clicking on the applicable row. The time card summary for the applicable contractor will be in view. i. From the time card summary, you can 1. Post the week by clicking the Post Week button on the lower left portion of the grid. This normally would be a function of the contractor, but can be performed by the approver when needed. A time card cannot be approved until it is posted. 2. Reverse the week posting if corrections are needed and the time card has already been posted by the contractor. Do this by selecting the Reverse Post button on the lower left portion of the grid. After reversing, the time card can be edited by the contractor, yourself, or any applicable proxy. 3. Once satisfied with the time card, click the Return to Approval Summary button to return to the Approval Summary. e. From the Approval Summary, you can approve the card, by selecting the appropriate row, and clicking the Approve button on the lower left portion of the grid. Note that the Approve button only appears when the record is Ready, ie, the record has been posted for supervisor approval and supervisor approved for director approval. f. Once a record has been approved, either supervisor or director, it cannot be reversed except by contacting the appropriate person in finance. 6. If you are a proxy for other approvers, you can return to the Select a Proxy selection page by clicking the Change Proxy button above the Approval Summary.
