Click here to view larger work area To View a larger work area click the button that looks like 2 squares in the right corner of the active widget. This will hide all the inactive widgets. You can also click the arrow in the top corner of the Related Items bar to hide it. After clicking both, your screen will look like this. Page 2 of 14
Inbox The default widget is the Inbox, it shows any tasks and messages that you have received from other ASC employees. Click the Messages tab to view any sent messages and their status. Page 3 of 14
Timecard To make the timecard widget active click the widget and then drag the mouse to the middle of the screen. If done successfully the timecard widget will appear and your screen will look similar to this. You can maximize the work area using the same steps covered above. Page 4 of 14
Once you have the timecard open you will be able to see your schedule on the left, the punches recorded by Kronos in the middle and the shift, daily and time period totals on the right. Hovering your mouse over any of the red alert icons will show the comment associated with that alert. For example, the alert icon above shows this student has an unexcused absence, this means they were scheduled but according to Kronos they never worked. This widget can be useful in making sure that your timecard is correct before payroll processes. If you notice any issues with your timecard call your manager. ESS Calendar The ESS Calendar shows your schedule in an easy to read format. Page 5 of 14
To change the time period click the arrows on the right or use the drop down You can also switch to a daily or full month view by clicking one of the three choices at the top of the calendar. OPEN SHIFTS On the ESS Calendar widget you can see the red box for each day that has open shifts. Double Click the red box and click REQUEST OPEN SHIFT A list of all open shifts for all ASC locations is available Page 6 of 14
Request to Cover The Request to Cover widget is used to get coverage for your shifts that you can t work. When you open the widget your screen will look like this. Next, click on the Request to Cover Shift link. When the popup box opens enter the date that the shift is on. Click the date box to enter the date using the popup or simply type in the date. If you don t have a shift on that date you will receive the notice No shifts found Page 7 of 14
If you have a shift on that date the popup will fill in the shift field with your first shift on that date. If you have more than one shift select the drop down arrow and pick the correct one. Next click whether you are looking to have the full shift covered or specify the hours the other person is covering. If you select full shift you can skip the start and end entries and just click Next. If you select specify hours then you must enter the start date/time and end date/time then click Next. Make sure that the information listed is correct. Then select the employee that is covering your shift from the drop down list. Page 9 of 14

If your request will break any rule violations you will get a notice. You will have the option of trying another request, where you can select someone else to cover, or you can send the request anyway. REALIZE THAT THE UNIT MANAGER HAS FINAL APPROVAL ON ALL COVERAGE REQUESTS. THE SHIFT IS NOT COVERED UNTIL THEY APPROVE IT. MANAGERS HAVE THE ABILITY TO DENY THE COVERAGE REQUEST FOR ANY REASON INCLUDING RULE VIOLATIONS. If the request was sent your screen will look like this. Click Save & Close to exit the popup. You will receive an email to the email address we have on file in payroll that states the employee has accepted your request. You can also see it under messages in the Inbox widget. Accepting a coverage request If you have any pending requests you will receive an email to your email address on file, or you can see them in your Kronos inbox when you sign in. To view a request double click on it. This will open the Request to Cover popup screen. Click Next. Page 12 of 14
This will bring you to the details for the selected request. Notice the rule violation at the top of the screen. Review the information to make sure that it is correct and then select the accept or decline buttons. If need to, you can also add a message. Then click Next If you see this screen your response has been successfully submitted to the manager. Click Save & Close to exit the popup. Page 13 of 14
When the request is approved or denied, you will receive an email to the email address on file, or to be able to see the message from the manager in your Kronos inbox click messages. If approved, the shifts will automatically be added to or removed from your schedule! Page 14 of 14
