4 Q. What is the Bell Personal Vault? The Bell Personal Vault is a secure and private online storage space located within the Bell broadband network that is at the heart of your digital lifestyle. It is a single and centralized repository to which you can back up your personal files, upload your online media, access and retrieve your files from anywhere with an Internet connection, and share media with family and friends at home or overseas. Q. What is Bell Personal Vault Backup Manager? The Bell Personal Vault Backup Manager is an easy to use desktop client application that offers a painfree way for you to automatically back up files to the online Vault, which is safeguarded within the Bell Personal Vault broadband network. Whether it's last month's vacation photos, last year's tax return or your extensive music collection, the Backup Manager lets you "set and forget" the files to be automatically backed up so that you don't have to worry about losing your precious photos or important documents to a hard drive crash, computer virus or accidental deletion. Q. What is Bell Personal Vault Online Content Manager? The Bell Personal Vault Online Content Manager is a web interface that contains a set of integrated personal media management mini applications and productivity feature widgets that sit on top of the underlying Vault server technology. The Personal Vault Online Content Manager offers a one stop location for you to centrally manage, personalize, share and experience the personal media that has been backed up to the Vault using the Bell Personal Vault Backup Manager and/or uploaded to the online Vault using the web upload tool. Q. What is the difference between backing up and uploading? Though technically backing up and uploading files and folders are the same, a backup is typically performed when automatically sending large sets of data to the Vault using Bell Personal Vault Backup Manager, while uploading files typically constitutes manually uploading smaller subsets of media content as needed using the Bell Personal Vault web upload tool. Q. What is a Vault Account? A Vault Account is a provisioned service and allocation of Vault storage space. For help registering for a Vault account, see How do I register for a Vault account?
5 Bell Personal Vault Online Content Manager Questions Q. How do I register for a Vault account? To sign up for a vault account: 1) Click Sign up now. 2) On the Registration page, type in both, your first and last name. 3) Type in your e mail address and confirm it. 4) Type in your password and confirm it. Your password must be at least 8 alphanumeric characters by default. 5) In the security box, type the words you see in the distorted image. If you cannot read the letters, click the refresh button provided to display a new photo. 6) Check the tick box once you have reviewed the Terms and Conditions. 7) Click Sign Up. You will receive a welcome e mail as confirmation. Q. I ve registered for a vault account, how do I sign in? Once you have registered your account you can sign in to your account. To sign in: 1) Enter your address and password in their respective fields. 2) If you want to save your address and password information to your computer, select the Sign in automatically box.
6 The next time you go to the sign in page, you do not need to enter your address and password again. 3) Click Sign In. Q. What if I ve forgotten my password? If you have forgotten your password you can retrieve it, or get a new one by clicking Forgot Password? on the sign in page, and following the instructions given by your service provider. Q. How do I sign out? If you are signed in you can sign out of your account at any time. To sign out: On any page, click Sign Out. The next time you access the Sign In page, you will need to provide your address and password. NOTE: You may be automatically signed out after a period of inactivity. Q. What is a backed up computer? Backed up computers contain the files and folders that are part of your backup list. The backup list is the list of files you have selected for backup with Bell Personal Vault Backup Manager. For more information, see Bell Personal Vault Backup Manager Questions. Q. What is an uploaded folder? An uploaded folder can contain files that you have uploaded manually to the Vault. You can create a new, empty, uploaded folder by clicking Create Folder. To create a new, empty, uploaded folder: 1) Click Create Folder. 2) Enter the folder name in the Folder Name box. 3) Click OK. Q. What is the difference between a backed up computer and an uploaded folder? Uploaded folders are folders that contain files uploaded manually by you to the Vault. Uploaded files and folders can be deleted and renamed at any time. Backed up computers represent the backup list
7 you have selected using Bell Personal Vault Backup Manager, they cannot be deleted or renamed to make certain that they continue to be backed up securely. Q. How do I upload files? To upload files to the Vault: 1) In uploaded folders, click Upload Files. 2) Click Browse PC to select files. 3) In the popup window, select the files you want to add and then click Open. You can select multiple files by holding down the Ctrl key and selecting the files you want to upload. 4) In the Upload Files dialog box, specify a folder name by doing any of the following: Click the drop down box to select an existing folder name. Enter a new folder name. 5) If you want to collapse the list of files to be uploaded, click Hide List. To return to the full file list click Show List. 6) Click OK. To add more files, click Browse PC and select more files to be uploaded. To remove a particular file from the upload list, click Remove. To remove all files from the upload list, click Clear List. A progress bar will appear to track your progress as your files are uploaded. A confirmation message is displayed once the upload is complete. If you want to upload more files click Upload More, otherwise click Finish. Q. How do I backup files? Backing up files is handled by Bell Personal Vault Backup Manager. For information regarding Bell Personal Vault Backup Manager, see Bell Personal Vault Backup Manager Questions. Q. Where can I download Bell Personal Vault Backup Manager? To download Bell Personal Vault Backup Manager: 1) From the Vault homepage, click Backed Up Computers 2) Click Get Backup Manager.
8 3) On the Download the Bell Personal Vault Backup Manager page, click Download Backup Manager and follow the installation instructions. Q. What is a shared file/folder? Files and folders that you have stored in the Vault can be shared with others by invitation, so that friends and family can view and enjoy them. You can share files from both your backed up computers and uploaded folders. Q. How do I share a file or folder? To share a file or folder: 1) Select the file(s) or folder(s) which you would like to share and click Share. 2) Specify the e mail address for each recipient by doing any of the following: In the To box, type the e mail address of your intended recipient(s). If you want to add multiple recipients, add a comma to separate the e mail addresses. If the e mail address exists in your contact list, it will be appear in the drop down for quick selection To remove a contact, click the adjacent X. For information on contacts, see Contacts. 3) Specify the subject of the e mail in the Subject box. 4) Modify the message (optional). 5) Click OK. A personalized e mail invitation will be sent to that includes a sample of the shared content and an URL recipients can follow to view your shared file(s) or folder(s). Q. Why can t I share music files? Due to digital rights management issues, you cannot share music files. Q. Someone has shared inappropriate content with me, what should I do? If you feel that someone has shared inappropriate or abusive content with you, you can send an Abuse Report. To report abuse: 1) Click Report Abuse.
9 2) In the dialog box, fill out your name, address and an optional message. 3) Click OK. Q. How do I stop sharing my files? If want to stop sharing some of your files (unshare) you can do so from Manage Shares. Note that once you have unshared files, links from previous shares will become void. To unshare files: 1) From Manage Shares, select the shared content you would like to stop sharing and click Unshare in the contextual action panel. 2) In the confirmation dialog box, click OK. Q. What is a contact? A contact is a person with whom you can share your files and folders. Contact information can include their name and address. Your contacts can be managed from Contacts. Q. How do I manage my contacts? Your contacts can be managed from Contacts. You can add, edit and delete contacts from your contacts list. To add a contact: 1) Click Add Contact. 2) In the Add Contact dialog box, enter your contact s name and address in their respective fields. 3) Click OK. To edit a contact: 1) Select the contact you would like to edit and click Edit on the contextual action panel. 2) In the Edit Contact dialog box, revise the name and address of your contact in their respective fields. 3) Click OK. To delete one or more contacts: 1) Select one or more contacts. 2) Click Delete in the contextual action panel.
10 3) Confirm that you would like to delete your selected contact(s). When you send invitations to a new contact, that contact s information is automatically added to your contacts list. Q. What is the contextual action panel? The contextual action panel features a thumbnail of your selection and provides a list of the contextual actions available for the file(s) or folder(s) you have selected. In the case of photos or videos, the thumbnail will depict either the last photo you selected, or a video still from the last video. Depending on what file types you have selected different contextual actions will appear in the contextual action panel. For example if you have selected photos, the View Slideshow option will appear. If multiple file types are selected, tabs delimiting the file types will appear at the top of the contextual panel. Navigating between tabs will display contextual actions for that file type. For example if you have selected both photos and music files, you will be able to access actions such as View Slideshow and Play Music by clicking the Photos tab and Music tab respectively. Q. How do I listen to my music? You can play music in your default media player, which is dependent on the default program settings for your computer. To play music: 1) Select the music file(s) you would like to listen to. 2) On the contextual action panel, click Play Music. NOTE: When you play files in a folder, the order is based on the sort order. Q. How do I play a slideshow of my photos? You can play a slideshow, in a browser embedded media player. The slideshow includes, play/pause, next and previous, full screen and close buttons. To play a slideshow: 1) Select the file(s) you would like to view. 2) On the contextual action panel, click View Slideshow. If you have given a photo a description, the description will be displayed when hovering over the photo as it is being shown in the slideshow. NOTE: When you play files in a folder, the order is based on the sort order.
11 Q. How do I watch a video? You can watch a video in a browser embedded media player. To watch a video: Double click the video file. NOTE: When playing large videos in Internet Explorer 7, you will need to wait for the video to buffer before the video is streamed to the embedded media player. During this time you should not click on any other links or buttons within the page as browser latency may be experienced. Q. What is a favorite file? Favorite files are files selected by you and given a special favorite status. When you are in folder view you can filter your files so that only your favorites are displayed. To make a file a favorite: Select a file and click Toggle Favorite in the contextual action panel. Q. How do I add tags to my files? Tags can be added to both uploaded and backed up files. To add tags to a file: 1) In the file view contextual action panel window, click Add Tags. 2) Type in the tag(s) you wish to apply in the Tags box, or click the dropdown and select from a list of your tags. 3) Click OK. To remove a tag from a file click the X adjacent to it, in the metadata section of the file view contextual action panel. Q. How do I print a file? If the file(s) you have selected are photo files, the Print option will appear in the contextual action panel. To print one or more files: 1) Select the photos that you want to print and click Print on the contextual action panel. 2) A new window will open displaying copies of the all of the photos you have selected. 3) Click Print to print the photos or Close to close the window and make a different selection.
12 Q. How do I change the folder cover? You can select a photo or video as the cover image for a folder. If there are no photos or videos in a folder, then an icon is used as folder cover. To set the cover: 1) Open the photo or video you want to set as the cover. 2) On the contextual panel, click Set as Cover. Q. How do I download a file? You can download your uploaded and backed up files from the Vault at any time. To download a file from the Vault: Select a file and click Download. In the file download dialog box, save the file to your computer. Q. How do I delete a file or folder for the Vault? You can delete uploaded files and folders at any time. Backed up files and folders however cannot be deleted, and can only be removed from the Vault using Bell Personal Vault Backup Manager to ensure that your backup list is preserved and that your files continue to be backed up securely. To delete and uploaded file or folder: 1) Select one or more uploaded files or folders that you want to delete. 2) In the contextual action panel click Delete. 3) In the dialog box click OK. Q. How do I move a file? You can move an uploaded file to a new or existing uploaded folder. Moving a file does not take up more of your storage quota, but rather changes its location in the Vault. Backed up files cannot be moved in order to preserve the backup list, and ensure that your files continue to be backed up securely. To move an uploaded file to a new or existing uploaded folder: 1) Select one or more uploaded files. 2) On the contextual action panel, click Move.
13 3) Enter the name of the uploaded folder where you want to move the file(s) in the Destination Folder field. You can specify a new folder name, or select an existing one from the drop down list containing the names of all of your and uploaded folders. 4) Click OK. Entering a new folder name will create a new folder of that name to put the file(s) you wish to move. Q. How do I copy a file? Both backed up and uploaded files can be copied, to a new or existing uploaded folder. Copying a file increases your storage quota, by the size of that file, and a copy of the file remains in its source folder. To copy a backed up or uploaded folder to a new or existing uploaded folder: 1) Select one or more backed up or uploaded files. 2) On the contextual action panel, click Copy. 3) Enter the name of the uploaded folder to which you want to copy the file(s) in the Destination Folder field. You can specify a new folder name, or select an existing one from the drop down list containing the names of all of your uploaded folders. 4) Click OK. Q. How do I rename a file or folder? All uploaded files and folders can be renamed, however, backed up computers, and their files and folders cannot be renamed as to preserve the backup list and ensure that your files continue to be backed up securely. An in place rename folder/file option is available so that you can rename the current uploaded folder/file without leaving the page. Clicking on the edit icon prompt you to enter a new name and save it. beside the folder/file name will To rename an uploaded file or folder: 1) Click the edit icon. 2) Type the new name of your folder and click Save.
14 Q. How do I conduct a search? You can conduct a search at anytime using the global search, located in the top right corner of the browser. To conduct a basic search: In the global search box, type in one or more search terms and click the magnifying glass icon. To conduct an advanced search: 1) Click the drop down arrow next to the search box. 2) Do any of the following: Choose whether to search based on Full text or Tags only. Select what type of file you would like included in your query, either, All, Photos, Videos, Music or Documents. Select which folders you would like to be searched, such as Backed up computers or Uploaded Folders. If you want to search for specific tags, click the Tags drop down next to the search box to display a list of all of your tags in alphabetical order. Clicking a tag will conduct a search for all of the files tagged with that keyword. Q. Where can I find help if I m stuck? If you are stuck you can find help on all pages and dialog boxes by clicking Need help? or the help button Q. How do I change my screen name? To change your screen name: 1) Click Preferences. 2) Under Account Settings, next to your name, click Change. 3) In the Change Name dialog box, enter your new screen name. 4) Click OK.

Q. How do I change the Personal Vault Online Content Manager language settings? To change your language setting: 1) Under User Preferences and next to Language, click Change. 2) Select your preferred language from the drop down. 3) Click OK. Q. What does it mean when the storage use widget is amber? If the storage use widget is amber, this means that you are nearing your storage quota and have used up most of your allocated storage space. If you want more storage space, see How do I get more storage? Q. What does it mean when the storage use widget is red? If the storage widget is red, this means that you have reached your storage threshold. You will not be able to upload more files to the Vault until you delete other files from the Vault or get more storage. If you want more storage space, see How do I get more storage? Q. 16 Q. Why does the storage use widget show that some of my storage quota is taken up even though I have yet to upload or back up any files? A small amount of storage space is taken up by default when a vault account is created. This is attributable to the creation of two directory folders, which cannot be removed. Bell Personal Vault Backup Manager Questions Q. What is a backup list? A Backup list is a list of folders and files you have selected to be backed up manually or automatically by the Bell Personal Vault Backup Manager. Q. How do I backup files? You can select the files that you would like to backup, by either We suggest, or You pick. To add files to your backup list, click Add files to your Vault. To add files via we suggest: 1) On the We Suggest tab, select any of the following categories: My Documents, My Pictures, My Music, My Videos, and Contacts. NOTE: If you select and Contacts, make sure that your e mail program is shut down. For example, close down Microsoft Outlook so that the e mail and contact files can be accessed by the Bell Personal Vault Backup Manager. 2) Click Send to Vault to start sending your files to the Vault for safekeeping. To add files via you pick: 1) On the You pick tab, expand and collapse folders by clicking them to access the files and subfolders you want to select/deselect. 2) Do the following: Select the box next to the file or folder you want to back up. If you select a folder, all files and subfolders will also be selected. Clear the box next to the file or folder you do not want to back up. If you select a folder, all files and subfolders will also be cleared.

What does it mean to Remove files from my Backup list? You can remove your files and folders from the Vault, in the case you no longer need specific files or want to free up space. Removing files permanently deletes them from the Vault; they will no longer be backed up by Bell Personal Vault Backup Manager. Q. How do I remove files from my backup list? To remove a file: 1) On the Backup Summary, click Retrieve or remove files from your Vault. 2) Click the Remove tab. 3) Select the files and folders you want to remove in the Vault. If you select a folder, all files contained in that folder are also selected. 4) Click Remove. Q. What does it mean to Retrieve a file? The Bell Personal Vault Backup Manager allows you to retrieve your data and personal media from the Vault back to its original location on the same computer or to a new location on another computer. You have the option to select which computer files to view and restore from a drop down menu of all the computers that have had the application installed on it using the same Vault account. You also have the option to replace files on the computer with the retrieved files in the case of two versions of the same folder or file existing; this would constitute a retrieval or restoration of the files back to its original location. Retrieved files remain as part of your Backup list and will continue to be backed up by Bell Personal Vault Backup Manager. Q. How do I retrieve files from the Vault to my computer? To retrieve files: 1) On the Backup Summary, click Retrieve or remove files from your vault.
18 2) On the Retrieve tab, select the computer folder that contains the files you want to retrieve from the Viewing Files From box. If you have multiple computers supported on your account, you can select which online storage folder to access. 3) Select the files and folders you want to restore to your computer. If you select a folder, all files contained in that folder are also selected. 4) By default, Bell Personal Vault Backup Manager does not overwrite files on your local computer that have the same name and location as the files in your online storage. Bell Personal Vault Backup Manager skips any file that is already present on your computer. If you want to overwrite existing files on your computer with the ones from the Vault, select the corresponding option. 5) Click Retrieve. Q. How do I make Bell Personal Vault Backup Manager start when my computer starts up? If you would like Bell Personal Vault Backup Manager to start up when you start your computer, do the following: 1) On Backup Summary, click Settings. 2) On the General tab select Start application on computer startup. This ensures that your files will be backed up regularly. Q. How do I change my backup schedule? To change your backup schedule: 1) On the Backup Summary screen, click Settings and then click the Schedule tab. 2) On the Schedule tab, select how often you want to send your files to the Vault in the Frequency box: 3) Click Save. Daily (every 24 hours) Weekly (every 7 days) Monthly (every 30 days) Your files will be backed up on a regular basis as specified on the Schedule tab. If you want to send your files to the Vault now, click Run Backup Now.
19 Q. How do I change my notification settings? By default Bell Personal Vault Backup Manager keeps you notified concerning all progress alerts, the current status, feature updates and messages. If you do not want these notifications you can set Bell Personal Vault Backup Manager to run silently in the background, so that you are only notified when action is required. To change you notification settings: 1) On the Backup Summary click Settings. 2) On the Notifications tab, select either Notify me, or Run silently in the background. Q. How do I change my password? To change your password: 1) On the Backup Summary screen, click Settings and then click the Password tab. 2) On the Password tab, click Change password > 3) This will launch Bell Personal Vault Personal Vault Online Content Manager, where you can change your password. You can choose how much of your computers resources, and network bandwidth to allocate to Bell Personal Vault Backup Manager. To change the Computer resource use: 1) On Backup Summary, click Settings. 2) On the Advanced tab, under Priority Options select what computer resource you would like to allocate to Bell Personal Vault Backup manager: Lower Normal Higher 3) Once you are done, click Save. To change the Network bandwidth use:
20 1) On Backup Summary, click Settings. 2) On the Advanced tab, under Priority Options select what network bandwidth use you would like to allocate to Bell Personal Vault Backup manager: Lowest Low Medium High Highest 3) Once you are done, click Save. Q. What are the Exclusion Options? The exclusion options allow you to exclude temporary folders and files from your backup list, and from taking up your storage quota. By default temporary files and folders are included in your backup list. To exclude temporary folders and files: 1) On Backup Summary, click Settings. 2) On the Advanced tab, select Exclude temporary folders and files. 3) Click Save. Q. What are logs? Logs are detailed records of your backup activity. Logs can contain information concerning recent backups, retrievals or removals. To manage your log settings: 1) On Backup Summary, click Settings. 2) On the Advanced tab select which of the actions you would like logs kept for. 3) Once you are done, click Save. I ve backed up my computer, how do I access my media? To access your backed up media, click Access your media online to launch Bell Personal Vault Online Content Manager. For more information, see Bell Personal Vault Online Content Manager. Q. I ve added/removed some files from the Vault via Personal Vault Online Content Manager, but the storage use indicator on the Bell Personal Vault Backup Manager backup summary doesn t show the changes. It takes some time for Bell Personal Vault Backup Manager to register changes to the Vault that have taken place through the Personal Vault Online Content Manager. As such, the storage use indicator may not reflect your immediate storage use. Q. When I tried to use Bell Personal Vault Backup Manager with a different windows account than the one I used to install it, I can t see my files on retrieve or remove. If you have more than one user on your computer, only the user that installed Bell Personal Vault Backup Manager will be able to see the correct backup lists. When logged in, other users will see incomplete or incorrect backup lists related to their domains. Regardless of which user is logged into the computer, while running, Bell Personal Vault Backup Manager will monitor and backup the files selected by the user that installed it.
