Introduction hotelbeds.com has launched a new alternative to our usual sales process Liberate enables you to offer to your clients the option to pay directly to the hotel during their stay instead of at the time of reservation. What is Liberate? Liberate S.L.U is a new company within our group that distributes accommodation via tour operators and enables them to provide to the final customer the option of reserving now but paying the hotel directly during their stay. A flexible system!

The sales process for Payment at hotel Pay special attention to the currency displayed in each step of the booking Make an availability search as always, the hotels that offer the liberate option are highlighted in green with the phrase Payment in hotel The currency shown at this stage is always the same as Pay to Hotelbeds (, or $) In the case of selecting a hotel outside the countries operating with these 3 currencies, the prices will be indicatives.

Payment The client s credit card should be included here to guarantee the reservation. There are 3 occasions where the Hotel can make use of the End-Client s credit card prior to its arrival: 1. In the case of a Non Refundable Fare (NRF), the hotel has the option to charge the amount of the booking right after the confirmation of the booking. 3. To verify the validity of the Credit Card by doing a 1 test.

Commission breakdown The currency shown at the commission breakdown is the currency agreed by the TTOO (, $, ). In this shown example, the TTOO is Spanish, therefore the commission is paid in EUR.

1 Modifications / Cancellations In the event of modification or cancellation, the client must contact the TTOO and never directly with the hotel. The TTOO then makes the modifications/ cancellations via www.hotelbeds.com following the process: 1. Go to your bookings pannel. 2. Search your booking. 3. Modify or cancel online. 2

The price shown in Liberate is unchanged. The Hotels introduce their rates directly in Liberate which are automatically reflected on www.hotelbeds.com. This is the final price that the End-client has to pay at the hotel, therefore no modifications can be done to the price. Administration adaptation Client will need to create a new account on your accounting system for Liberate, now as a client (Liberate will now become a debtor at client s level) Client will receive invoices of commissions to be perceived (self-invoiced by Liberate), with reporting file in excel to get clear tracability of possible amendments in bookings Client will collect the commissions every 1 st and 3 rd week of every month (30d after invoice created and dued) Client will always have the possibility to contest a payment by addressing specifically its requests to: ap.liberate@fscad.com Client will be required to provide a bank-account to allow Liberate to do its payments. Are you an XML Client? Do a simple XML implementation ü Identify the product in the SAME EXISTING XML accommodation. 1. The version Tag should be added to the header of the requests. Modify client system in order to be able to recognize direct payment contracts in the XML response. 2. Manage currencies (currencies at availability and validation). ü Capture the credit card detail in a secured protocol (to be transmitted via the XML-Liberate does not record the CC details) CC details are required to secure the bookings and charge the final clients if no-show. ü ü Adapt your web 1. FAQ 1. How does Liberate work for the TTOO? The TTOO books through www.hotelbeds.com and prints the voucher with the final price and Hotel details, which they then give to the End- Client. 2. How does Liberate work for the End-Client? 1. The End-Client makes the reservation in the TTOO and guarantees the booking with their credit card. 2. Liberate automatically sends the booking details to the Hotel. 3. The End-Client pays the Hotel directly. The amount and the Hotel s currency are indicated on the voucher. Note: the Hotel cannot charge any payment before arrival, only in the following cases: a. To charge the cancellation fees (if applicable). b. In the case of a Non Refundable Fare (NRF), when the hotel has the option to charge the booking right after the confirmation of the booking. c. To verify the validity of the Credit Card by doing a 1 test. 3. How does Liberate work for Hotels? 1. The Hotels introduce their rates directly in Liberate which are automatically reflected on www.hotelbeds.com. The TTOO will benefit from the best prices and last minute deals. 2. The End-Client is billed in the currency of Hotel that appears on the voucher. 4. How does Liberate work in case of any modifications or cancellations? In case of modification or cancellation of bookings before the arrival date, the End-Client must contact the TTOO. If by chance the End-Client liaises directly with the Hotel, the Hotel will refer to the TTOO to make the change via www.hotelbeds.com. 5. How does Liberate work in case of No Shows? In case of No Shows, the Hotel will inform in writing immediately after the arrival date and the TTOO s commission will be calculated based on the cancellation fee. 6. How does Liberate work in case of fraud? In case of fraud, the Hotel is responsible. The Hotel can check the validity of the Credit Card with the 1 test before the arrival of the End-Client. If the Hotel discovers that the Credit Card is fraudulent, the Hotel must immediately notify Liberate of the cancellation of the booking and Liberate will inform the TTOO. 7. Can the TTOO offer all Hotelbeds hotels with Direct Payment in the Hotel? No, not all Hotels accept the form of Direct Payment. When the Hotel offers both types of payment, it is highlighted on www.hotelbeds.com. Note: Our current portfolio reaches 6,500 hotels offered with Liberate. By September 2012 our target is 10,000 hotels. 8. Can the TTOO include other services with the Hotels that accept Direct Payment, in the same booking? No. Direct Payment bookings cannot be combined with any other service.

9. Can the TTOO control their bookings on www.hotelbeds.com? Yes. The TTOO can keep track of active and past bookings on www.hotelbeds.com, as well as the commission earned on each. 10. How does www.hotelbeds.com show the Liberate hotel prices? Depending on the stage of the booking process. At availability the price is shown in, or $. At validation & confirmation, Hotelbeds shows the final price in the currency of the hotel. The voucher will appear in the Hotel s currency and will be the amount payable by the End-Client. Can the Hotel charge a payment before the arrival date of the End- Client? No. The Hotel is legally obliged to only charge the amount of the booking on the arrival date or departure date. There are only 3 occasions where the Hotel can make use of the End-Client s credit card prior to its arrival: a. To charge the cancellation fees (if applicable). b. In the case of a Non Refundable Fare (NRF), when the hotel has the option to charge the booking right after the confirmation of the booking. c. To verify the validity of the Credit Card by doing a 1 test. 12. Does Liberate offer the TTOO a Customer Service? Yes. Liberate Agency Assistance is available by phone: +44 (0) 8712 848 280, from Monday to Friday between 9am and 7pm, and on Saturdays from 9am till 1pm. 13. What is the TTOO s commission when using Liberate? Liberate guarantees the commission for the TTOO based on the commission levels with the new form of Direct Payment in the Hotel. Please address to your KAM for more information about the commission levels. Note: If the Hotel has a local currency, the commission will be calculated using the exchange rate on the booking date. 14. Can the TTOO get more commission through bookings via Liberate? Yes. The Hotels with Direct Payment can offer promotional deals on www.hotelbeds.com that allow the agency to receive an extra commission. 15. How does the TTOO enter their bank details for the payment of the commission? The TTOO must download and complete the form clicking on the banner in the main page or in the administration section on the website, print it and send it by email 0034 971 408 681 / admon@liberatetravel.com 16. How often does Liberate pay the TTOO? Liberate payments are made twice a month (the first and third week). Payments are based on the total of the invoices 30 days in advance. 17. What happens to the TTOO if the Hotel does not pay the commission? Liberate guarantees the payment of the commission to the TTOO when the End-Client has ended their stay at the Hotel. 18. How does Liberate invoice the bookings? Liberate will make the invoices on behalf of the TTOO, two days after the arrival date. If Liberate has already made the invoice and afterwards the Hotel notifies a modification or No show, Liberate will make a complementary invoice for the difference between the final price and the original booking.
