Birthday Party Information Pack! The Windmill Studio Centre is based in Ruislip Manor directly opposite Kwik Fit with ample parking in the public car park just to the rear of the building. Even though our party venue is a Listed Building having to keep its history look from the outside, inside it is clean and modernised throughout with air conditioning, mirrors and sprung floor. We also have EFX lighting which gives great ambience to all parties. It is advisable to read our Terms & Conditions before booking a party. All our prices include VAT so there are no hidden extras unless you require adult refreshments or Jimmy the JAMtots Bear, both being optional. Party Bags and the birthday cake are not included in the price. You can have a minimum of 10 or a maximum of 40 children for a majority of our parties, but the price does increase 1.50 or 2.00 per head, depending on the party theme, for every child once you have 21 children or over due to extra staffing required. Even though our parties are structured, they are also informal and a lot of fun! Included in the party price is the venue, two Party Leaders or more, depending on the number of children attending, freshly prepared party food served cold, invitations, decorations and music to suit the party theme chosen, party lights, party games, dancing, team fun, props and party prizes for all ages from 4-10 years. Our party leaders will accommodate to the ages of all children attending and will keep the birthday child and party guests entertained throughout. Our Baby & Toddler Parties, ideal for 1-4 year olds, include soft play, ball pool, other suitable play equipment for these age groups and musical movement with props, pass the parcel, plus an option of games if older children attending. Glitzy Glamour Makeover Catwalk Parties include gentle make-up, painted nails, costumes, clothing, accessories and catwalk modelling. Slumber Parties include a chocolate fountain, nails, make-up, dancing and mad games. Mini Make-Up & Boogie Parties are designed for the younger girl who still wants a little bit of glamour as well as, dancing, fun and games, so does include gentle make-up and nails. Crafty Parties include a great selection of creative crafts so children can use their artistic skills in a fun party way, finishing off with pass the parcel, Mad Hatters Tea Party includes face painting, Pinatas, dancing fun and games plus our NEW! Frozen in Wonderland, though boy friendly and not just for winter, this party is full of fun, dancing and games, as well as Frozen themed face painting and a flowing white chocolate fountain. As you will see from our Parties Available list, we have many parties to choose from with something for everyone! All you provide is the cake, candles and serviettes (or foil) you would like the cake wrapped in plus the party bags. We recommend Pritzalula s for birthday Cup Cakes, whatever the size, colour or design, which are available at affordable prices. One parent must stay with their child if 3 years or under. For older children, parents are very welcome to stay if preferred but can also leave their child with our leaders and party parents. If staying, however, must appreciate our parties are for children, first and foremost. We do have an Adult Menu available which can only be served and consumed in our reception area. We do not permit any adult refreshments in to our party studio at any time apart from our baby and toddler parties if the children attending are babies 4 years, but refreshments must be consumed within our eating area allocated. During any Glitzy Glamour Makeover, Slumber or Crafty Party our Adult Menu is available and again served in the reception area, but we only permit 2 adults to be in the party studio at one time due to the nature of these parties. However, we invite all parents to come and watch the Glitzy Glamour catwalk modelling display, 15 minutes before the end of the party when an audience is required to clap and cheer! We are happy to pencil in your booking and hold it for 7 days under no obligation. This gives you the opportunity to pop down to see the venue at a convenient time, if unfamiliar. Invitations are issued once we have received confirmation of your booking. Our invitations are suitable for all of our parties with a choice of two, one with Fancy Dress and one without. However, if preferred, feel free to use your own. Balance of payment confirming names, numbers, dietary requirements, adult refreshments etc., is required no later than 7 days prior to the party. You can pay by cash, card or cheque payable to The Windmill Studio Ltd. All cheques must have your full details on the reverse. TERMS AND CONDITIONS 1. Definitions A Baby a child less than six (6) months old The Company the Windmill Studio Limited The Client the Party hiring the Company The Conditions these Terms and Conditions The Contract the Hire Contract overleaf and these Conditions The Deposit a payment of the agreed fee as set out in the Booking Form The Event the function as described in the Booking Form The Studio a suite designed for the Event at The Windmill Studio 106A Pembroke Road, Ruislip, Middlesex HA4 8NW 2. Applications These conditions form part of the Contract and are accepted fully by the Client when confirming booking of the Event. 3. Booking Arrangements and Payment (a) Applications and any other correspondence relating to the Event should be made in writing to Judy McPhee at The Windmill Studio Centre, 106A Pembroke Road, Ruislip, Middlesex, HA4 8NW; or email thewindmillstudio@gmail.com (b) A provisional booking may be made personally or by telephone or by email, but unless confirmed within seven days from the date of the original notification shall be cancelled without further reference to the prospective Client. Once the date is confirmed the Company will not transfer the date; (c) The Company and Client shall agree the circumstances and Schedule of the Event upon the parties entering the Contract; (d) (i) The tariff within the Event Information Sheet sets out the details in respect of our charges. No later than seven (7) days before the Event the Client must present to the Company a list in writing of all the names, ages, allergies or dietary requirements, details of any infectious illness or injury recently suffered of ALL children that will be attending the Event together with details of any adult refreshment required as selected from the Company s menu. It is emphasised that the list must include the details as set out above of ALL children attending the Event including any siblings and all babies and such number will be included within the cost; (ii) At this time the final balance of the account must be paid. The Company accepts cash, cheques and card payments (not American Express). The Client is requested to write their name and address on the back of any cheque that is presented; (e) Any reduction in the number of children attending the Event does not entitle the Client to a reduction in the agreed contract price. However if the number of children is increased from the list the Company will make additional charges. (f) Once paid; the deposit, confirmed children attending, confirmed adult refreshments, Jimmy the JAMtots Bear, there are strictly NO refunds or transfers. (g) Once the deposit has been paid, unless a full 14 days is given in advance, any party cancellation will be charged priced @ the minimum of 10 children for the theme confirmed. 4. Catering (a) The Company provides basic children s party food, ie cold drinks, sandwiches and other snacks which are freshly prepared by Company staff. In order to comply with all Food Hygiene Regulations such food must be prepared and served by Company staff; (b) All food is nut free but other allergies are not catered for within the basic package. Clause 3(d) emphasises the need for all allergies to be disclosed. We will use our best endeavours to accommodate all dietary requirements provided the required notice of seven (7) days is given; (c) All food consumed on the Company s premises must be supplied by the Company, no other food of any kind is permitted on the premises including any that is required by any of the guests for dietary purposes. The only exception to this is the Birthday Cake provided by the Client for their child. However the cake is not to be consumed on the premises. (d) Special arrangements can be made for Baby Parties; (e) In order to comply with Health & Safety Regulations all adult refreshments must be consumed in the reception area. A breach of this term could lead to the Company being prosecuted. 5 Entertainment Entertainment is provided by the Company in accordance with the activity booked by the Client as set out in our Information Pack. 6. Health and Safety (a) Smoking and alcohol are prohibited on the Company s property; (b) Fire exits must not be blocked or impeded in any way; (c) The Client and persons attending the Event must comply with all instructions given by the Company s staff; (d) Any make up used in our Glitzy Glamour Makeover Parties, Slumber or Mini Make-up & Boogie Parties are designed for children only and is gentle on their skin. However if a child suffers from eczema or other allergies then it must be emphasised on the guest list (as set out in clause 3(d). Due to Child Protection Rules no change of clothing is permitted on the Company s premises. Children must attend appropriately dressed for the event; (e) The Company will not be liable for any allergic reaction caused to any guest however or whenever caused if the Company has not been notified in writing of the allergy prior to the Event; (f) Buggies can only be left in the foyer area of the Company s premises and are not permitted in the Party Studio. Clients and guests are however welcome to bring into the Studio baby carry seats and if required we can provide suitable baby bouncers and bumbo chairs upon request; (g) All children three (3) years and under must be accompanied by a parent or guardian. A parent or guardian shall be present and available for their child and our staff throughout the Event. 7. Photography The Company has no objection to the Client taking photographs or video recordings of the Event. The Client may permit his/her guests to do the same. However the Company objects to the use of such photographs or video recordings being used either commercially or used for public display. 8. Liability (a) The Client will be liable for all damage caused by his/her acts or those of any child which they have brought on to the premises due to default or negligence. In order to assist in this respect the Client should ensure that all children wear suitable shoes; (b) The Client shall be responsible for ensuring all persons attending the Event shall behave in a seemly manner and comply with all instructions given by the Company s staff. If the unseemly behaviour is such that in the opinion of the Company s staff it is disruptive to the Event, the Company retains the right to eject unseemly or unruly guests or children; (c) The Company will not tolerate rude or abusive language or behaviour to staff and in the event of such occurrence retains the right to determine the Event and to keep all monies received in respect thereof; (d) The Company is not liable for a Client or his/her guests personal property. The Client and the guest must take care of all personal items whilst on the Company s premises. The Client indemnifies the Company for all claims made against it irrespective of type unless such claim is based upon the negligence or breach of contract of the Company s contractual responsibilities. 9. Force Majeure The Company shall not be liable for any failure in its performance of any of its obligations under the agreement caused by factors outside its control. Should such circumstances arise the Company will give written notice to the Client at the earliest opportunity. 10. Regulations The Company does have in place regulations regarding the use of the property, a copy is attached herewith and incorporated into these Terms and Conditions. 11. Applicable Law This Contract is subject to the law of England and Wales and the parties subject themselves to the jurisdiction of the English courts.
Adult Food / Drinks Menu For Children s Parties Even though our Birthday Parties are all about children first and foremost, we are parent friendly here and we are happy to provide a choice of light refreshments for parents, family or friends who may be staying during the party. If this is of interest to you please confirm how many adults will be attending and choice of menu when you pay the balance for your party which is required no later than 7 days prior to the party. You are very welcome to mix the menus below if preferred and when paying for your adult refreshments, our reception team will always advise or recommend on numbers you should cater for. However, all adult refreshments will be served in the reception area and under no circumstances will we permit any hot/cold drinks or food, including snacks, to be taken in to the party studio, due to Health & Safety, whether it is from this adult menu or our vending machines, unless a Baby or Toddler party where the children are all very young. Even then adult refreshments must be consumed in the designated area of the party studio and at the allocated time set by our party leader. The Windmill Studio Centre can accommodate up 40 children for all parties apart from Glitzy Glamour Makeover & Soft Play for Babies & Toddlers (see party theme lists for permitted numbers). Our Party Leaders have the authority to do this, so please respect their requests as this is first and foremost a children s party. c All adults must refrain from talking on their mobile phone in the party studio and during the party. By all means, if you have to, talk in our entrance hall or reception area. c If you have a younger child who is refusing to join in the party games then please feel free to join in with your child rather than have a chat at the side of the room with another parent or have your child just sit on your lap. This will help not only your child enjoy themselves but will also help the Party Leaders. Remember for many children a party is a new experience! c Siblings are welcome but must be included in the Children s Attending List if they join in any games and/or wish to eat the party buffet. Our Party Leaders are within their rights to charge for an extra child if this is the case and you will be obliged to pay. c Adult food and soft drinks can be provided if required at an extra cost. Please see our Adult Menu for further details. c Would you please ensure that all children wear suitable shoes that will not mark the studio floor and are suitable for playing party games. Anyone with muddy or inappropriate shoes will be asked to remove them. c When the Ball Pool or Soft Play are in use during a baby or toddler party, parents will be asked to remove their child s shoes and socks once entering the party studio. c Special Conditions: If the Birthday Child is unable to make their own party due to ill health or other unfortunate reasons with written proof, The Windmill Studio is within their rights to use their own discretion concerning cancellation or postponement for each or any particular case. c PLEASE NOTE: Our doors open 10 minutes before and close 15 minutes after each party, therefore it is advisable to encourage your guests to arrive on time. However, our party reception is manned throughout. It is important our building is safe and secure throughout all parties, therefore, children are not permitted, whatever age, to leave the party studio without an adult for Health & Safety purposes. c Parking facilities are available in the public car park just to the rear of the building. It is down to the Customer to check parking charges and to inform their guests. The Windmill Studio Centre will not be held responsible for any parking fees.
