1 VIDEO CONFERENCE FACILITIES These facilities belong to Cartrefi Cymru, the largest voluntary organisation providing services to people with learning disabilities in Wales. Established in 1989, the charity has grown to employ over 1000 staff working across Wales. The facilities mean the company can offer excellent training facilities for its own staff and room and equipment hire for other organisations. The facilities available include a video conference meeting room with conference call amenities. We can arrange a buffet and light refreshments according to your individual requirements. 3 Cartrefi Cymru Terms and Conditions for Conference and Meeting Facilities 1. Bookings will only be deemed to be accepted after confirmation in writing has been sent to the organiser of the event. 2. The organiser will be responsible for ensuring the accuracy of the terms of the booking and that all information is communicated to Cartrefi Cymru in a timely manner. 3. The number of delegates must be confirmed at the time of booking. 4. A list of delegate s names must be provided to Cartrefi Cymru at least five days before an event. 5. Access to Cartrefi Cymru s premises will be at the time(s) booked only. 6. Smoking is not allowed on the premises of Cartrefi Cymru. 7. The price of the service shall be the price quoted to the organiser by Cartrefi Cymru at the time of booking and as confirmed in writing. 8. Unless otherwise agreed, all quotations of price will be valid for twenty-eight days from the date of quotation. 9. Cartrefi Cymru will invoice the organiser for all charges directly after confirmation of booking. The organisers will pay Cartrefi Cymru s invoice within twenty-eight days of the date of the invoice. Payment of the invoice may be made by cheques drawn on a UK bank payable to Cartrefi Cymru. 10. If the organiser fails to make payment on the due date then procedures for collection of the debt will be started. 11. Cartrefi Cymru must be advised and give their consent before any special events, e.g. a party, may be held on the premises. 12. In the event of a cancellation, the following charges apply: a. One month or more before the event no charge b. Less than one month but more than two weeks before the event 50% of the total fee. c. Less than two weeks but more than one week before the event 75% of the total fee. d. One week of less before the event 100% of the total fee. 13. Cartrefi Cymru does not accept any responsibility or liability for the loss or damage to articles left on its premises and grounds and accepts no responsibility for personal injury to delegates, visitors or guests whilst on or in Cartrefi Cymru s property unless caused by the acts or omissions of Cartrefi Cymru or it s staff. 14. The organiser shall be liable for any damage caused to Cartrefi Cymru s property contents or grounds by its delegates, agents or employees and shall reimburse to Cartrefi Cymru upon demand all costs incurred as a result of any such damage, expenses and losses. It is imperative, that only the pens and erasers provided are used on the electronic white board. 15. The organiser will ensure that all delegates acquaint themselves with the fire evacuation procedures adhered to by Cartrefi Cymru. After any emergency evacuation, the organiser shall hold a roll-call to ascertain if all delegates are present and provide the Cartrefi Cymru Fire Officer with the names of any missing delegates. 16. If the presenter has special needs, please contact us prior to the date in order for us to accommodate these needs. 17. Please note that the parking at the Cardiff venue is strictly for Cartrefi Cymru office staff only. Users of the Conference/Training facilities will therefore be expected to use on street, or public parking facilities which are available nearby. No terms of this contract will be varied without Cartrefi Cymru s written agreement.
