2 Section 1: Introduction Mission Ellenbrook Extended School Club (EESC) is committed to working in partnership with parents and carers to provide safe, stimulating and enjoyable childcare for children who attend Ellenbrook Community Primary School. We aim to help parents to balance work commitments and family life by providing convenient, affordable and high quality before and after school care during school term time. Background The EESC has been set up by Ellenbrook Primary School s senior management team (SMT) after consultation with parents, and started in September The club is part of Ellenbrook Primary School and some of the staff work in both settings. It is run by the school s SMT and has enjoyed a very successful first few years. Feedback from parents has been overwhelmingly positive. Funding At present, our only source of funding is the fees from parents. The fees have to cover staffing costs, food, equipment, etc. Clubs Available Throughout school term time, we offer a Breakfast Club and an After-school Club every day. Section 2: Practical details Location The clubs are held in Ellenbrook Primary School. We have use of the main hall, an ICT Suite, and a well equipped kitchen. Outside we can use the school playground (weather permitting). Club opening times The clubs are open Monday to Friday during school term times. The breakfast club opens at 7.30am and goes through until school starts. The afternoon club runs from after school until 6.00pm. Who can attend? The club is open to children aged 3-11 years old who attend Ellenbrook Community Primary School. Emergency Contact Number : Please ring during club hours if:- 1) You are going to be late; adult who will collect your child 2)You wish to change the named
3 All other messages and enquiries must be directed to the school office on Booking arrangements Places are strictly limited. Places can be booked for regular use on one or more days per week using the club booking form. The form should also be used to make any changes to regular bookings e.g. to alter the days or times you have previously booked. This will incur a charge of 5.00 per amendment. Subject to availability, you can also book extra / occasional / one-off sessions. This must be done by contacting the club / school office and speaking to a member of staff who will confirm if a place is available for that session. If you request an occasional or extra session and then do not use it you will still be expected to pay for it. Ideally payment for extra / occasional sessions should be made at the time of booking or at the very latest when your child attends the session. There is an additional 5 administration charge for ad-hoc bookings. The 5 administration charge is not a profit making charge it is required to cover the additional administration costs of making amendments / one-off bookings. Once you have a place at the club, it is guaranteed until you voluntarily give it up, or the child leaves Ellenbrook School. If you wish to take up your place at a later date, the admission policy / waiting list will apply. Giving notice: If you no longer require a place for your child you must give a half-term s notice in writing and fees will be payable during this notice period whether or not your child still attends, unless another child takes up the place. This is strictly enforced. Fees and payment The session costs for the Breakfast and After-school are slightly different but our fees are based on approximately 3 per hour and include breakfast and/or snacks. From To Cost per day Cost per week Breakfast 07: After School School 18: Total For Both You will be invoiced half-termly in advance for the sessions you have been allocated. Invoices will be sent out at least 14 days before the end of the school term, and all payments must be made by the first Monday back in school after the half-term. Parents will receive a reminder letter once this deadline has past. If payment is not received within 5 days of this reminder, a 5 admin charge will be added to the outstanding balance. If payment is not received within 5 days of this second reminder,
4 the debt will be passed to Salford City Council Debt Collectors and the child will lose their place at the club. Refunds for the absence of a child can only be given in exceptional circumstances and at the SMT s discretion. Cheques should be made payable to Ellenbrook Primary School. We will also accept most Childcare Vouchers; please see the office for details. Please note that fees may be increased periodically in order to cover the costs of running the club. You will be notified of any increases at least one half-term before they come into effect. Late collection If a child is not collected by 6.00pm, staff will call your contact numbers. If this is unsuccessful, they will try the emergency contact numbers. If no one can be contacted by 6.30pm, Social Services will be informed. The penalty charge for late collection is 5 per child per 10 minutes after 6pm. This is not profit making, this charge will contribute towards the wages of those who have to work late to look after children who have not been collected. Complaints We hope that you will be happy with the service that we provide, however should you wish to make a complaint the school complaints policy will apply. Section 3: What happens at the club? Structure of a typical session (timings are approximate) Breakfast 7.30am Arrive and register. Free play activities art table, puzzles, games, library books 7.50am Breakfast served (see sample menu) 8.40am Tidy up 8.50am KS2 EYFS & KS1 Children are escorted to class by staff After school 3.30pm 3.30pm 4.00pm 4.20pm 5.35pm 6.00pm Children collected from EYFS / arrive from Y1-6 classrooms & registered. All children are offered a drink & fruit/yoghurt on arrival. Indoor and supervised outdoor free play (weather permitting). Snack time. This is a social time when the children sit down together for a snack. Activities continue Tidy up. Latest collection time. Activities
5 We offer a varied programme of activities including: Art table Role play area Construction activities - lego, blocks, etc Indoor and outdoor physical play - football, swing ball, rounders, cricket, hoops, skipping ropes, etc Mathletics and other educational computer games Quiet corner / Reading / Homework Themed activities Organised activities may be on offer but the emphasis is on child-centred and selfdirected play. We have a good range of play equipment including books, games and puzzles. Sample menus (Subject to change please see the notice board for the latest menu) We aim to provide a variety of healthy food from all the main food groups - a mixture of carbohydrates, protein, fruit and vegetables. In the afternoon we provide a snack to keep the children going until they get home, but it is not a full meal. If your child has any special diatery requirements, please speak to the Club-leader or the school office. Breakfast Various cereals e.g. weetabix, cornflakes, rice crispies, cheerios & shreddies Toast After school A selection from the following items: Sandwiches / wraps / pitta bread / crackers Fruit Breadsticks with dips Fresh fruit e.g. apples, pears, satsumas, bananas Fresh vegetables e.g. cucumber, tomatoes Cheese Water / milk Section 4: Staying Safe Accidents and emergencies All current school policies will apply. All accidents and emergencies are entered in the Accident Book / Incident Log. Please note: The school registration form contains an authorisation giving staff permission to act in loco parentis. If you cannot be contacted in time, the Clubleader will invoke that authority to take action to gain appropriate medical treatment for your child. Supervision and collection
6 Children are supervised by staff at all times during club hours, until they are collected by you (or a named substitute). The ratio of staff to children complies with Ofsted regulations. You must give written permission if you wish a child to go home unaccompanied (Y5 & Y6 children only). If your child is attending a one-off event after-school, please inform the Club-leader in advance. Please notify staff in advance if anyone different is collecting your child, even if they are a relative. Children should be collected from the Community Room / Year 6 entrance at 6pm at the latest. If you wish to collect your children before 6pm, you can use the buzzer at the community room entrance. Please see the attached Arrival and Collection of Children Policy for further information. Club rules Staff will use the existing school behaviour management system which is age appropriate. All places are allocated at the discretion of the SMT and can be withdrawn at any time if a child s behaviour endangers either himself/herself or others. 7 Admission policy for Ellenbrook Primary School Extended School Clubs January 2014 General Admissions Policy Applications will be dealt with in the order they are received and places will be allocated by the SMT. The SMT s decisions are final. In order to ensure the club(s) remain viable, it is essential that they run at as close to 100% capacity as possible. As such, our policy will take this into account as a major consideration. Applications to the before and after-school club will be prioritised as outlined below: - 1. Existing users of the club who require the exact bookings in the next term as they ve enjoyed in the previous term, will be guaranteed the same arrangements. 2. Siblings of those who fulfil criteria (1). 3. Children who require a full-time place (10 weekly sessions - 5 mornings & 5 afternoons) will be given priority. The more sessions in a week a child requires, the higher their priority. Once full-time / regular places children have been allocated, the policy below will then apply. 4. Once the deadline for applications has passed, all things being equal, applications will be prioritised by the order they are received. 5. If the club is full, you may wish to be added to the waiting list. When a place / slot becomes available, they will be filled based on criteria (3), and then on a first come, first served basis. There is no guarantee that the specific days requested will be given, but every effort will be made to accommodate parents/carers requests. If existing users wish to make more than minor changes (eg. A reduction of more than 2 slots) to their booking for Autumn term, they will be treated as a new member. Any changes will incur a 5 admin fee. If parents who have had their places confirmed change their mind, they will have to pay for the first half-term in full. If the SMT suspect anyone has abused the Admission Policy to secure a place, we reserve to right to remove your child from the club(s). The SMT reserve the right to take into consideration special or exceptional personal circumstances to allow children to supersede the admissions criteria.
8 ARRIVAL AND COLLECTION OF CHILDREN POLICY Breakfast Club 1. Children will only be admitted from 7.30am when members of staff are on the premises. Under no circumstances should a child be dropped off at school before 7.30am. 2. Children should be handed over to a member of staff directly by the parent/guardian this is a safeguarding issue and is not negotiable. Parents also have to sign their child in. 3. A register will be taken showing the arrival time of every child. 4. Younger children will be taken to class by staff between 8:50am-8.55am. 5. Details of any children expected but who do not show up will be referred to the school office by 8.45am. After School Club 1. A staff member will collect all children attending the Club from their classrooms at 3:30pm. 2. After-school club children attending a different club (sports / academic etc) at the school should go directly from one club to the other, making themselves known to a member of staff. Younger children (KS1 and below) will be met at the time of the club finishing. 3. When collecting their children from the after-school club, parents should ring the doorbell and wait for a member of staff to greet them. Staff will then handover the child and mark on the register the time they have left. Parents also have to sign their child out. 4. If a member of the after-school club is at a different club (running concurrently), under no circumstances should a parent collect them from the other club without first notifying the after-school club. 5. If a parent/guardian would like their child to be collected (or even met at the door) by anyone other than themselves (eg an older sibling / grandparent) arrangements must be made in advance with the school office.
9 Other Policies All other Club Policies are the same as existing School Policies. These can be found in the on the T:Drive on the school network and the school website ( The only exception is the Safeguarding Policy, a hard copy of which can be found in the photocopier room.
