How to Use the Time Clock - Staff Quick Reference The Time Clock works much like your organization s Customer Portal in that requires a User ID and password and is restricted to you. The Clock allows you to: Enter Hours Worked Enter Notes for Managers See Staff News, Department News, and News entered privately for you. See & Print your Class Schedule. Before you login to the Clock for the first time, your manager will need to provide the following: A User ID - This is usually your email address. A temporary password this is sent to your email address. What time entry method you ll use to enter your time. Where the Clock Login screen will be available. Your staff page is divided into three sections or tabs: News, My Time Card, & Classes. NEWS TAB Logging in opens the News tab first. Management can leave you a personal message under the My News tab. If you have specific Departments, you may see a department-oriented message displayed in the Department News section. The Staff News section displays messages to all staff members. PASSWORD You ll want to change your password to something easily remembered. Click the Password button and follow the prompts to change your password. If you are a Jackrabbit User who has their TC ID linked to their Jackrabbit User ID you must reset your password from Tools > Manage Users & Permissions. MY TIME CLOCK TAB Click the My Time Clock tab to enter time. This page will have small differences depending on the method used to enter time. Clock In / Clock Out If you are using the Clock In / Clock Out method of entering time, you ll simply click Clock In when you arrive and Clock Out when you leave. The exact time in and out will be recorded for you After you ve clocked out, the Split button will display. Click this button if you need to split time entered between departments. Manual In / Manual Out If you are using this time entry method, you ll enter the time you arrived and the time you left each day. If you work in different departments or need to split time in the same day, use the + button to add another entry for the day. Total Hours If you are using this time method entry, you ll enter the total hours worked in the Total Hours field. If you work in different departments or need to split time in the same day, use the + button to add another entry for the day. Departments If you work in different departments, you can select a department in the Department field. Notes If you need to leave a note for your manager, click the Note icon, type a short note and Save. The Note icon will only display after you ve saved a time entry using the Save button. Saved Notes are available for your manager to read prior to approving time. Deleting a Time Entry Use the Garbage Can to delete a time entry. Tips When entering time, you can shorten 9:00am to 9a. Jackrabbit will convert the format; however this does not work when entering a portion of an hour (i.e. 9:30). Enter partial time as follows: 15 minutes=.25, 30 minutes=.50, and 45 minutes=.75. Staff who use the Manual In/Out Time and Total Hours Entry Methods have the ability to record a time entry after the date worked. A saved Note displays with the word Note. CLASSES TAB Click the Classes tab to display a listing of current classes. Print the list by clicking the Print Schedule link. LOGGING OUT Once you ve entered time entries, be sure to click the Save button and log out by clicking the Logout button on the far right.
