Introduction Welcome to Awards Online, the candidate registration and certification system from Cskills Awards. Submitting your registrations and achievements through this online system reduces the amount of paperwork you need to complete and the turnaround time, because you don't have to post documents to us. If you have any feedback or comments please email your dedicated customer co-ordinator, or cskillsawards@citb.co.uk. Welcome to Awards Online Login This screen allows you to login to Awards Online. Please enter your username and password and then select login. If you prefer, you can tick the Stay logged in option which will allow you to remain logged in to Awards Online all day when you have closed your browser window, so you don t have to re-enter your details throughout the day. When logging in for the first time you will be prompted to change your password. Your new password must be at least six characters long with one character being non-alpha/numeric, for example! or *. Forgotten username/password If you have forgotten your password select forgotten username/password and you will be asked to type in your centre number and select submit. You will be given your centre s super user contact name(s). Please contact one of your centre s super users who will be able to re-set your password. Page 4

Home My account This area is for you to set the preferences linked to your account. Unit certificates There are two options: Always and Only when requested. Always a certificate of unit credit will print for every candidate each time they complete the qualification unless otherwise indicated on the achievement screen. Only when requested a certificate of unit credit will only print when you tick the box in the achievements screen. Mailing name All certificates are sent to the address recorded against your centre. This field allows you to mark the envelope for your attention, or a colleague s, to ensure you receive them promptly when they are delivered to your centre. Registration result file and achievement result file If you would like your registration and achievement data passed back to you electronically you should select: Generate as tab separated for tab separated data files Generate as comma separated for comma separated data files If you do not want a data file set to do not generate. Batch reference prefix This field will allow you to set a short prefix to the batch reference which is automatically generated if you do not enter your own when creating a batch of registrations. Administration Users This screen is for use by centre super users only. Centre super users can create and edit users here. The filters on this screen allow you to easily locate your users by entering criteria such as the forename, surname or email address, and you can also filter on your active or inactive users and different user roles if you wish. To create a new user select the create new user button, you will then be required to type information into the relevant fields and tick the permissions you wish to grant the individual. The account name field is not able to be typed into as this will be system generated, when happy with the details provided select the save user button to accept the information. The login will be created which consists of a W followed by the user s initials and then the centre number. Page 6

User Account If you wish to reset a user s password select on the edit user link in the create/edit users screen and then select the reset password to default button super users can reset a password for a user to the default. The default password is always apples!. Centre super users can also change the permissions for a current user, for example from read only to read and write access. The user role of Trainer is an option which will provide the user with access to only the Documentation tab for the purpose of viewing qualification specifications and secure training documents. Please see the access related to each user role below. Centre QA Staff This section allows you to manage the staff at your centre. Here you are able to add additional staff and also view, edit and remove existing staff members. Awards Online will retain any information you add against staff so you will only need to enter additional information when updating your existing staff member s qualifications or job roles at your centre. You will also have access to reports detailing all of the qualifications and job roles a staff member is registered for at your centre. Staff list search You can search your staff records using a range of parameters. Once a search has been conducted you can filter these records using the filter option on the right hand side. Add new staff This screen allows you to add any new members of staff to your centre. Click New Staff Member button. You can find an existing staff member by inputting Surname and either Registration Number or Date of Birth and clicking the Find button, if a number exists this will populate on screen, if not a number will be created. The fields on the form that are mandatory are marked with a red asterisk (*). Page 8

Following submission of the form a confirmation message is shown on screen. Letter print Following the successful registration of a staff member, you will be able to access the letter confirming registration by clicking the Letter link. Please ensure that when you print the letter, the Actual size setting is ticked to ensure this prints in the correct format. Centre super users can access the letter multiple times however a Centre QA user role can only access the letter once of which any edits to that staff member s record must be accessed by the centre super user. Staff member report Following a staff member registration a report is generated where you can view what each staff member is registered for, this can be accessed by clicking the Report link. View / Edit staff This section covers adding new staff roles, qualifications or updating staff details for existing staff members. Locate the individual via the search options, click the View / Edit link. Make any edits to the staff member, ticking the declaration at the bottom of the screen. If any edits are made without the form being submitted these will not take effect. Following submission of any edits a message confirming the updates is shown on screen. Remove staff Remove staff who are no longer working at your centre. Locate the individual you wish to remove and click the Remove link. A message will be shown on screen to confirm the removal of the staff member, click Ok to continue. This staff member can now only be viewed in your staff list when the Include Inactive box is ticked. Page 10

Registration You can register candidates using the candidate registration forms available from our website citb.co.uk/awards, or you can use your own registration documents, for example, your candidate enrolment forms. This screen allows you to enter a batch reference for your candidates. If you do not wish to enter a reference the system will display the batch reference that has been automatically generated for you. If you have set your My Account preference to include a batch reference prefix, the system will generate a unique batch reference with your specified prefix. You can process your candidates in groups if you wish to do so, for example, by class for colleges or by employer. If you are only registering one candidate you can either add them to an existing batch by typing in the batch number or create them in their own batch. Please note: If re-registering a candidate for a performance table funded qualification in a new session of learning, you must use a different batch reference to the original that was used when they were first registered. The purchase order number will appear on your invoice and will give your finance department a reference for the transactions made. This is not a mandatory field. Both fields will accept alpha, numeric and non-alphanumeric data. Selecting submit takes you to the registration screen. If a candidate has been registered previously you can search on any of the combinations of information below: Candidate registration number and surname Unique learner number and surname Unique learner number and date of birth Centre candidate reference. When the details have been entered into the appropriate fields, select the Find candidate button to bring back your candidate s data. Page 11

You now need to enter the remaining registration details for the learner. The centre candidate reference is not a mandatory field but you can use it to enter any other reference your candidate may have within your centre, for example, their enrolment number. As an awarding organisation, we are required by the Office of Qualifications and Examinations Regulation (Ofqual) to capture the Unique Learner Number (ULN) at the point a candidate is registered for a qualification that is on the Qualification and Credit Framework (QCF). As an approved centre you should apply to Managing Information Across Partners' (MIAP s) Learner Registration Service for a ULN for each of your candidates. You must provide us with this number when you register your candidates for QCF qualifications. For more information on the Learner Registration Service and the ULN please visit the website www.learningrecordsservice.org.uk From January 2011 all our qualifications are on the Qualification and Credit Framework (QCF), therefore a ULN will be required for all candidate registrations. Select the delivery method, the qualification your candidate is following and the funding method, then select the Add to batch button. The details for the candidate you wish to register will appear at the bottom of the screen. The two performance table funded options are only available if your candidate is completing a training qualification. For information on performance tables and the qualifications included please visit the website www.citb.co.uk/awards/centres/dfe-performance-tables-/ You can now repeat the process to add more candidates to your batch. If you wish to register the previously added candidate for another qualification, you can select on the candidate name which appears as a link at the top of screen Previous candidate registered this session:. When you need to register a candidate for a QCF unit registration, you should select the appropriate delivery method and qualification in the usual way. If unit registration is permitted for the qualification, the unit registration button will be displayed. Select on the unit registration button to bring up a list of units available for registration within the qualification. Select the appropriate unit registration and select Add to batch and the details for the candidate will appear at the bottom of the screen for the unit registration. If a candidate has been registered previously but you don t know the candidate s details, you must search for these in the candidate record screen. This is to ensure that you do not create duplicates. If the candidate is not registered, enter the data for each field on the registration screen. The fields that are mandatory are marked with a red asterisk (*). Select Tab to move between the fields. The National Insurance Number is not a mandatory field. However, it must be entered to trigger any automatic grant claim forms the employer may be due. Select the appropriate delivery method, qualification, funding method and click add to the batch the candidate registration number will be generated. Page 13

More details This is an optional feature should you wish to record your candidate s home address with our awarding organisation. If you are recording the home address please complete all fields and then select the submit button to save. When you have entered all your candidate details and want to register them with the awarding organisation select submit registrations button. The data is passed to us and, providing all the data is correct, the candidate(s) will be registered and you will receive confirmation in your messages box. Please check your messages to ensure the batch has gone through successfully. You will then be able to access reports and view my documents to download the registration confirmation and invoice. NB The invoice will not be sent as a hard copy. On successful completion of your registration batch, if you have registered candidates on our training qualifications, where a knowledge test forms part of the qualification, your candidates will be automatically fed through to the Test Platform and will be ready for you to create a test sitting whenever you need to. If there is a query with any of the candidates in the batch you will be notified before the whole batch is submitted. The candidate s data is marked with a red circle in the status column. Select on the red circle to view the details and amend as appropriate. To remove the candidate from the batch, submit the rest of the batch and submit the candidate at a later date once the query has been resolved. Page 14

If a candidate has already been registered for the qualification at a different centre we will let you know and, if you wish to transfer the candidate to your centre, tick the Transfer box and then select Update registration. The status column then shows a green arrow to confirm the candidate will be transferred to your centre. The centre that originally registered the candidate will receive notification the candidate has been transferred. With a candidate transfer the candidate will not be registered to your centre until 15 days have passed to allow the original centre to enter any outstanding achievements. For performance table funded qualifications you will see the following message if the learner has achieved at least one unit. Page 15

Before transferring you must make the decision as to whether to transfer the qualification and continue with the performance table funding or change to a non-performance table funding method. Save batch Within the registration screen you can save a batch rather than submitting the registrations. This is done by selecting the save batch button. This function is particularly useful if you are called away from your desk or want to hold the registrations before submitting. Page 16

CSV registration This screen allows you to register your candidates by data transfer. Your customer co-ordinator can provide you with the data file format template. Enter your batch number and purchase order number if necessary and select the file you wish to upload and select submit. Stored batches Stored batches can be accessed through the stored batches section of the registration menu. Batches that have been saved by you, or other users at your centre, can be viewed and accessed from either the My Batches screen, the Centre Batches screen or by carrying out a Search. Once selected you can add further candidates and submit or simply submit the batch without changing any entries. My Batches Only registration batches that were created by you will be listed, and you can open the saved batch by selecting the Select batch link. Page 17

Centre Batches Registration batches that were created by you and other users at your centre will be listed, and you can open the saved batch by selecting the Select batch link. Search You can search for your batch using the batch reference, purchase order number, the date the batch was created and/or the username. Batch status My Batches The Batch status My Batches screen allows you to view a history of all batches you have created. The batch status column shows the following: Saved the batches you have saved and not yet submitted Processing/Pending the batches that are still going through the system Completed the batches that have been submitted and completed successfully Failed the batch has not been submitted successfully and the candidates will not have been registered. The system checks that we can invoice your centre and if there are invoices outstanding or you have exceeded your credit limit the batch will fail. Please contact your customer co-ordinator to resolve this issue and they will then release the batch back to you so it can be resubmitted. The filters on this screen allow you to easily locate your batches based on the status of the batch and/or the date. Page 18

Centre Batches If you are a super user you will also be able to view the status of batches created by all other users at your centre through the Centre Batches screen. This screen will display the name of the user that created each batch. Page 19

Unique Learner Number (ULN) verification at registration At the point that a batch of registrations completes processing (batch status Completed ) the batch will be submitted to the Learning Records Service (LRS) for verification of the candidates ULNs. The status of the ULN verification will be indicated in ULN Verification Status column on the Registrations Batch Status screen, and will be one of the following: Passed The ULN for each candidate within the batch has been successfully verified, no further action is required. Action Required The ULN for one or more candidates within the batch requires further action. Not Submitted The batch has not been submitted to LRS because either the batch has not completed processing, the batch was processed prior to the verification service becoming live, or the candidate within the batch has opted out of providing a ULN. Not Applicable The batch will not be submitted to LRS because the candidates within the batch are not registered on QCF qualifications, or the ULN has been verified on a previous registration for the candidate. ULN verifications requiring action There are other ways in which you can monitor the verification of your candidates ULNs, and easily take action to rectify and re-submit any that require action. A message will be visible in the top right corner of your screen in red if there are any candidates at your centre with ULN verifications that require action. The message is a link which you can select to view the details of the candidates for whom the ULN verification failed to match or partially matched the candidates Personal Learning Record (PLR) held by the LRS. Page 20

When you select the link, the ULN Verifications Requiring Action screen will display those candidates at your centre with a ULN Verification status of either Partial Match or Failed. You can filter on the ULN Verification Status types, the date of verification or your batch reference if you wish. ULN verification status To view the status of the ULN verification for each of your candidates, you can select the link either on the Batch Status screen, the ULN Verifications Requiring Action screen or the ULN Verifications screen (in Candidates tab). Examples of messages that will be display on screen for each verification status are given below with a summary of each, and the action that you will need to take where appropriate. Passed Where the ULN Verification was successful as the candidate information matches the details held by the LRS. No further action is necessary, the message can be closed. Partial Match Where the ULN is correct but specific items of data are not an exact match, the details held on the candidate s record with the LRS are displayed so that you can see the difference between these and the details entered on Awards Online. Where a partial match is identified, you will need to change the appropriate data field and resubmit to the LRS; this change will also be reflected within the candidate s record screen. Following the resubmission, the verification status for this candidate should then be updated as Passed. Page 21

Failed ULN Not Found: Where the ULN entered for the candidate on Awards Online does not exist on the LRS system. The ULN should be checked within the Candidate Record screen, and if previously entered incorrectly should be edited within Candidate Record. Once edited, the updated ULN will be automatically resubmitted to the LRS for further verification. Learner Does Not Match: Where the ULN entered for the candidate on Awards Online does not match this candidate s details held on the LRS system, but does exist for a different candidate, the ULN should be checked within the Candidate Record screen, and if previously entered incorrectly should be edited within Candidate Record. Once edited, the updated ULN will be automatically resubmitted to the LRS for further verification. Following the resubmission, the verification status for this candidate should then be updated as Passed. Third party registrations You will receive a message to state you have third party registrations to accept. These candidates have been input by CITB on their MAYTAS system. The candidate s ULN, as entered on the MAYTAS system, will be displayed on screen, and this should be checked and confirmed as correct, or amended if required. A valid ULN is required for all candidate registrations on QCF qualifications. A funding method is also required to be selected. Please tick the box to accept the registrations. A batch reference number and a centre candidate reference can be entered but is not mandatory. Press accept once all candidates have been selected. You will receive a message when the batch has been submitted successfully and you can then access reports and view my documents to print out the registration confirmation. There will be no invoice to pay as the cost for registration is met by CITB. If there is a reason the registration cannot be accepted, then please email your customer co-ordinator detailing the candidates you require deleting and the reason, and they will action this. Achievements You can use our achievement form template to record your candidate achievements or you can use your own. You must ensure each claim for certification is authenticated by your internal quality assurer. Achievements can be recorded by candidate or by batch. Enter the candidate registration number, centre candidate reference or batch reference and select 'process' to go into the achievements screen. Details of candidate achievements Select the qualification you wish to record the achievements for from the drop down box. The units required for the qualification are shown on the screen. If the qualification requires a health and safety test pass, a box will be displayed in the left-hand column ( H & S result ) and, if the candidate has already passed the test, there will be a tick in the box. You cannot tick this box to record test passes. This data is transferred to the system from the company that carries out the test. Page 23

The Print form link when selected for the candidate takes you to the Notification of Unit Achievements form. When printed this should be completed by a registered Assessor/Trainer who should tick the boxes against the units and endorsements achieved. If a unit has been achieved by exemption then the Assessor/Trainer should place an E in the unit box. To record the achievement of a unit select the box under the unit number. This will take you into another screen listing the endorsements relevant to the unit, if appropriate. Select the correct endorsement(s) and select save. To speed up the process of achieving units within the Mandatory Units group, and where the units do not require endorsements, you have the option of selecting the Achieve mandatory units link to achieve all of those units with one selection. Where a unit has been achieved by exemption the unit exempt box will need to be ticked and then the save button selected. If you select a box in error you can select the box again and it will de-select. If you would like a certificate of unit credit select the box on the far right Unit cert. reqd. The certificate will only show the units achieved so far within the qualification. Select the submit button and the batch will be processed with any queries being highlighted. Once units have been submitted they appear grey on the screen and cannot be amended. Training qualifications achievement of knowledge tests When your candidate passes a unit test on the Test Platform, the achievement of the unit test is indicated by the colour change of the unit achievement box to green. You can also see that the unit test has been passed by selecting the cross hair icon for the unit, which will display a tick against the Knowledge test. Page 24

To record the achievement of the practical elements of the unit select the box under the unit number. On the unit pop up screen, a tick is now displayed in the Unit completed, and as the unit knowledge test has been passed the unit will be coloured green with a greyed out tick in the box. The achievement can then be submitted. Once both elements of the unit are achieved the unit achievement will be displayed in the candidate s record. If you are entering achievements for a batch of candidates that have all completed the same units within the qualification, to make the process quicker you can enter the unit achievements for the first candidate in the batch and then select the Apply to all rows link, to copy the unit achievements to all other candidates in the batch. If the unit contains endorsements you will need to manually select the endorsements for each candidate individually. If the candidate in the first row has achieved any units by exemption, the exempt units will not be copied down to the other candidates in the batch. Any units not achieved can be de-selected by selecting the unit box. Page 25

Where a candidate is registered for a unit registration this cannot be signed off by exemption and the Unit cert reqd box is not populated on a unit registration. Where a candidate is registered on an accredited course, a Course Completion Date will need to be entered once the required number of units has been ticked. Page 26

Submission of achievements to LRS QCF Qualification and unit achievements will be submitted to the LRS system once processing completes in Awards Online. Where the candidate s ULN has previously been verified with the LRS and no changes have been made to personal details the ULN verification will not take place again prior to submitting the candidate s achievements. Where the candidate s ULN has not previously been verified (for example where the candidate was registered prior to the LRS verification service going live) the ULN verification will take place prior to the qualification and unit achievements being submitted to the LRS by Awards Online. You will be able to see whether the ULN verification has taken place following the processing of the achievement on Awards Online (rather than at completion of registration) where the Created by column displays Achievement rather than the name of the user, as below. Any partial matches or failed verifications will have to be rectified before Awards Online will submit the qualification and unit achievements to the LRS. CSV achievements This screen allows you to record achievements by data transfer. Your customer co-ordinator can provide you with the data file format template. Select the file you wish to upload and select submit. Page 27

Candidates There are two ways in which you can search for candidates to see if an individual is already located on the system. Search If you know the candidate is registered at your centre, you can carry out a quick search using the Search tab and you will only need to enter one piece of information, such as surname, date of birth or candidate registration number, or a combination of any of the three. Advanced search If the candidate is not registered at your centre, or cannot be located, you can carry out an advanced search using additional candidate information. With the Registered to centre box ticked, candidates currently registered with you will be searched. To ensure the correct candidate is located, the search data should include surname and registration number. Select Search. If you are not sure whether a candidate has been registered previously, you will need to remove the tick from the Registered to centre box, enter the surname and date of birth, and select Search. View candidate registrations/achievements/test results In the Achievements tab you can view candidate registration and achievements, health and safety test passes, knowledge test results and competence cards issued. If a candidate has been registered for a graded training qualification you will be able to see a grade achieved upon completion. Qualification level grades are determined by a grading algorithm based on all of the unit grades achieved within that qualification. Only graded units achieved after the qualification was registered are included in the calculation. If the incorrect funding method has been registered against a learner or the learner has failed one or more of the units via the test platform against a performance table funded qualification, this can be amended via the Details link. Click change, select the funding method from the drop down list and then click the submit link. Page 29

If one of your learners has failed one or more of the units via the test platform against a performance table funded qualification you can re-register the same qualification and same funding method in a new session of learning. Where units have been achieved the Units link will appear. When clicking this link you can view the unit title, the achievement date and where a graded training qualification, the grade achieved for that unit. For a graded training qualification if any units have been achieved from a previous qualification, these carry over to the current qualification will be displayed as Exempt. They do not form part of the calculation for the overall qualification grade. If you have created a new candidate and wish to edit their personal details you can do so from the Candidate tab by clicking the edit candidate button and making the necessary changes. If you find incorrect data for a candidate you have not originally created, your customer co-ordinator will need to make the amendments. You can email them directly or email cskillsawards@citb.co.uk with the changes required, remembering to quote the candidate registration number. Page 30

For candidates registered on training qualifications with knowledge tests, the test results will be fed back from the Test Platform and will be displayed within the Test Results tab for the candidate. A Test Score is also generated (you will only see a Pass or Fail result in here). It is from this test score that the unit grade is derived and shown within the units link as explained above. A candidate s test history can be viewed by selecting the View link against the test, this will show the date and result of all attempts of the test. Page 31

If a candidate has taken and failed the permitted number of tests (as covered by the fee paid at registration), a request for a resit can be submitted from the candidate s Test Results screen by selecting either Full or Unit (depending on whether the candidate will be resitting a single unit test, or full indicating all unit tests). Awards Online will generate an invoice for the test resit fee for your candidate, and you will receive a message in your Messages Inbox when the test resit request is complete and an invoice has been raised. Your candidate s resit test will then be available and ready for you to create a sitting in the Test Platform. ULN verifications You can access ULN Verification details for your candidates through the Candidates tab. The ULN Verifications screen shows the same information as the ULN Verifications Requiring Action screen. Test/resit requests From the Test/Resit Requests screen, you can request a knowledge test for your candidate (that is already registered on a Cskills Awards training qualification). You can also request a resit of a knowledge test for your candidate from this screen if you need to. To find your candidate and the qualification requiring either a test or a test resit, you can easily filter the list of tests and resits available for request either by candidate s name, registration number, the original batch reference or by qualification code. Awards Online will generate an invoice for the test or resit fee for your candidate(s), and you will receive a message in your Messages Inbox when the test or resit request(s) is complete and an invoice has been raised. Your candidate s tests will then be available and ready for you to create a sitting in the Test Platform. If you wish, you can archive a resit request or Candidate test request by selecting on the archive link against the candidate s test. The candidate s test would then be removed from this screen, and displayed within the Archived Requests screen. The candidate s test can be reinstated on the Requests screen at any time if required and the request for a test submitted. Page 33

Print reports The print report function shows all achievements, health and safety test and cards, so you can print this out to show everything on one screen. In order to generate this report select the 'print report' button within the candidate's record. Page 34

Reports View reports Awards Online gives you access to your centre data when you need it. These reports can be run on request to provide you with the information you need. Candidate HST results report Shows the health and safety passes for candidates who are registered for a qualification at your centre between the date parameters set. Candidate report by qualification Shows the status of your candidates registered, achieved or certificated when their registration date falls between the date parameters you enter. You can run this for all qualifications you offer. Candidate status report Shows the status of your candidates registered, achieved or certificated when their registration date falls between the date parameters you enter. You can run this for specific awards Centre approval report Shows the qualifications for which your centre is approved. Base data report Exports data for each qualification you are approved to deliver into an Excel spreadsheet for use within your own management information systems, as required. Candidate Qualification Grades Report Shows any candidates at your centre that have had a certificate issued for a graded training qualification. Page 35

Reports - View my documents When you receive a message to confirm your registrations have been processed, the candidate registration confirmation report and invoice are accessed through this screen. We will not send hard copies of your invoices. You are responsible for ensuring the financial procedures within your centre are followed so your invoices are paid. Once processed, the achievement confirmation report can be accessed within this screen confirming the units you have recorded for the candidate. The filters on this screen allow you to easily locate your documents based on the document name and/or the date. As an example, you can enter the word Invoice, click the Filter button, and only your invoices will be displayed. Select the Cancel Filter button to return to the full document list. Reports - View centre documents A super user can view all documents for all users at the centre from this screen and can manage them accordingly. The option to filter on document name and/or date is also available. Page 36

Messages Inbox The filters on this screen allow you to easily locate your messages based on the message status and/or the date. As an example, you can select Unread Only, select the Filter button, and only your unread messages will be displayed. Also, if you wish to you can mark all of your unread messages as read by selecting the Mark All As Read button. You can easily keep track of how many messages you currently have in your Inbox, how many are unread and how many are found when the filter has been applied. You will receive a message to notify you when your registration and/or achievement batches have been processed. Choose select against the message to open it. The Contact us function allows you to send a message to your customer co-ordinator. Page 37

Documentation As well as accessing QCF qualification specifications from our Cskills Awards website, you can search for and view the qualification specifications from within Awards Online. In addition, you will have access to the secure training documentation to support you in the delivery of our training qualifications.
