System Requirements Mac OS X 10.5.3+ (Leopard) Intel-based Mac Installation Install the software before connecting the scanner. Insert the CardScan CD. (You may be prompted to login as an administrator.) Drag the CardScan icon to the applications folder. Connect the scanner (the scanner is also powered by USB). Open the Applications folder and run CardScan. In the Setup Assistant window, accept the license agreement by clicking Agree. Enter your serial number (located on the back of the information folder) and click Continue. You can skip over registration if desired. Exploring Features Note: The Help menu provides information for using features of CardScan software. Scanning Grab that stack of cards you ve been meaning to deal with, and scan it! When you insert a business card (face up, width-wise between the guide and the side of the scanner), the motor will start to run and the feeder will take the card. The color scanner uses OCR (optical character recognition) to convert the card information to machine-readable text. CardScan s proprietary interpretive technology reads the information and assigns it to the correct fields. CardScan Executive for Mac User Interface
Review the scanned information and correct anything that the software misunderstood. Suspected errors or extraneous information may appear in the field Other. Once you ve reviewed and if necessary corrected the new contact record, check Verified. At this time, or anytime, you can add information such as Notes, Time/Date stamps or Assign Categories (more below). Scanning errors made are often the same kind of mistakes that you may make when reading a card such as difficulty reading a logo or reading small white text on a colored background. Generally, CardScan software is very accurate. In a stack of cards, you should find that error corrections take a very small amount of time in the entire process. Rather than scanning one card at a time, you can scan a batch of cards. From the menu, select CardScan4Scan Batch and feed each card as the last one exits the feeder. Optionally, you can assign the same category and/or the same notes to this group of cards now or later. When you batch scan, you will want to go back and verify each card in the batch. If you click Unverified in the Scans list on the sidebar, you can display all the cards you need to verify. The scanner will read about 20 cards/minute. So if you batch scan, you can scan 100 cards in about 5 minutes. When you have a vertically oriented/portrait-style card, you can scan it vertically, or let CardScan software automatically turn OCR text as it reads the card. If you need to further rotate a card, you can do so using the Rotate icon in the lower right corner below the card image. You can also scan the back of card if desired. After scanning the front of the card, and while selecting the detail view of that card, select Scan Back of Card in the Card menu. Insert the business card into the scanner with the back facing up. The image of the card back will now be saved. It s also possible to only scan a business card image. For example if you already have a contact in your CardScan data file, but you now want to add an image of the business card. Select the contact and in the card tab select Scan Card Front Consolidating Contacts from Other Sources Beyond scanning, CardScan software also offers handy tools to consolidate your electronic contact data. Drag-and-drop: With CardScan software open alongside a Web page, your email application or other electronic documents that contain contact data, highlight the complete contact data, then drag it over the contact list area of the CardScan software and release. CardScan will create a contact record and assign the data to the proper fields.
Drag-and-drop contact data from electronic documents into CardScan software in one step. In some instances (such as Web pages), you may have to hold down the command key as you click and drag in order to select the contact data. You can also import vcards (File menu). Add contacts manually with New Contact. Organizing Contact Data Categories allow for easy list creation for direct marketing or any kind of outreach to a group of contacts. You can assign one or more categories to a contact. You can create custom categories as well. Assign categories for a contact. In the sidebar, your contacts can be viewed by category. When a category name is in bold type, you have at least one contact in that category. View contacts in different ways: The list view can display contacts alphabetically. Customize your list view under the View menu by selecting the fields you would like shown. In the sidebar, you can view contacts by when you added/changed them (e.g. Today, and Past Week). View business card images: In the top bar, click to view the business card images you scanned in image view. Contacts without associated business cards have a generic business card image.
View business card images in image view. Search using any part of the contact s information using the Search tool in the top right. To filter the search, toggle to a specific category of contacts in the sidebar. Managing Contact Information Print to templates: Using the Print Wizard, you can print to envelopes, labels and other ready-to-use templates. Use the Print Wizard to print envelopes, labels and more. Map addresses: In the contact details pane, click the compass to map the contact s address using your favorite mapping program. In Preferences, you can change the mapping default (e.g. Google, Mapquest). Set your preferences for the mapping application. Visit a Web site: In the contact details pane, click the globe icon to visit a contact s Web site. Email from CardScan software: Click the mail icon in the contact details pane and your default email program will open using the address from CardScan. Email from CardScan software: Click the mail icon in the contact view and your default email program will open using the address from CardScan. Select a group of contacts
in List View, then from the Card menu, choose Send Mail to send an email to multiple recipients. Synchronization Automatically a CardScan data file to your Address Book. In Preferences, click Synchronization and tell Address Book where your CardScan data file is located (.cdb file). Use Preferences to set up automatic to Address Book. The to Address Book is immediate so when you make a change in your CardScan file, it will automatically appear in Address Book. When you make a change in Address Book, the will occur within a few minutes and your CardScan file will be updated with the change. Synchronization to iphone, ipod or MobileMe can be accomplished through settings in itunes and the Mac preferences. If you only want to share some contact information with Address Book, you can opt to Export selected contacts. You will be prompted to resolve any duplicate information.
