2.1 Getting Started as an Account Administrator The Getting Started as an Account Administrator Training Reference Guide is supplemental to the computer-based $$$ ON THE NET Administrator Training Tutorial 2.1: Getting Started as an Account Administrator. For a comprehensive training experience, it is important that the training reference guide be used in conjunction with the tutorial. The Getting Started as an Account Administrator Training Reference Guide provides an introduction to the $$$ ON THE NET system, and a walkthrough of accessing and logging in; setting the Account Administrator password and password recovery options; adding and editing new users; and editing account settings. Shift4 recommends completing the entire Getting Started as an Account Administrator tutorial prior to logging in to $$$ ON THE NET for the first time. NOTE The Account Administrator is generally an upper-management, financiallyresponsible individual and should be the person entrusted with the company finances, such as a general manager or accounts receivable manager. Shift4 strongly discourages making the IT manager the Account Administrator.

Accessing and Logging In Accessing and Logging In The Shift4 Home Page The $$$ ON THE NET system can be accessed through the Shift4 Web page or through the Web address directly. Access $$$ ON THE NET by performing these steps: 1. Enter www.shift4.com or www.dollarsonthenet.net into your Web browser address bar. Some browsers require the URL or Internet address to be entered with a protocol. If this is a browser requirement, enter http://www.dollarsonthenet.net into your Web browser address bar. 2. Accessing and Logging In Book Marking $$$ ON THE NET When accessing $$$ ON THE NET, the system will select the best $$$ ON THE NET server available for use. The server number accessed will be identified in the URL displayed in your Web browser s address bar. When creating a bookmark to the $$$ ON THE NET system, set the bookmark to http://www.dollarsonthenet.net and not to an individual $$$ ON THE NET server to ensure that the fastest server is accessed every login. Accessing and Logging In The Login Page The $$$ ON THE NET system provides immediate access to answers for most everyday operational questions. Help Menu The Help menu on the toolbar offers four ways to access the $$$ ON THE NET user documentation: Context Help Launches a help window with an explanation of the page currently being viewed. Online Documentation Displays the entire $$$ ON THE NET documentation. Printable Documentation Downloads the documentation as an Adobe Acrobat PDF file for printing. About... Accessing and Logging In IN THE NEWS The IN THE NEWS section provides links to Shift4-related news and useful updates. Shift4 Security Policy The SHIFT4 SECURITY POLICY describes Shift4 s commitment to protect and securely process client information. Current System Status The Current System Status section provides up-to-date system information as well as recent or planned system upgrades. Accessing and Logging In Logging In Every login to the $$$ ON THE NET system requires an Account Number, User Name, and Password. Log in to the $$$ ON THE NET system as Account Administrator for the first time by performing these steps: 1. Enter the account number in the Account Number field. The Account Number is the same as the serial number on the Customer Configuration Report provided by the Shift4 Installations department during installation. If the Customer Configuration Report has not been received, please contact the Shift4 Installations Department for assistance. This account number will be used by each user for all subsequent logins on this account. 10 2005 Shift4 Corporation Getting Started as an Account Administrator

Accessing and Logging In 2. Enter administrator or admin in the User Name field to log in as the Account Administrator. The Account Administrator can set up and assign a user name to each user who will access the $$$ ON THE NET system. User names are not case-sensitive. 3. Enter the company account number plus four 9s in the Password field. The initial password for the Account Administrator is the company account number plus four 9s. This password will only be used for the first login and is case sensitive. NOTE Three consecutive attempts to log in with an invalid password will automatically suspend the account for two hours. Any additional failed attempts will suspend the account two more hours until a successful login with the correct password occurs. Password recovery questions and a recovery password exist in the event that a password is entered incorrectly or forgotten. Setting the account recovery options is addressed in the Changing Passwords section and Password Recovery Questions section of this reference training guide. 4. Click Submit after entering the Account Number, User Name, and Password to log in to $$$ ON THE NET. Click Reset to clear all entries and start over. Setting User Preferences Setting User Preferences The User Preferences Page The Account Administrator account should only be used to create other administrator-level users and to access account-level configurations. Once all options are set, and all administrators created, there will be little need to access the $$$ ON THE NET system again as the Account Administrator, so it is important to store the Account Administrator s user name and password in a secure location. Use the newly-created administrator accounts for day-to-day administrative requirements, such as user-creation and merchant access. When logging in to $$$ ON THE NET for the first time, the system will automatically access the User Preferences page. All password changes and password recovery questions can be set on this page. 12 2005 Shift4 Corporation Getting Started as an Account Administrator

Setting User Preferences Changing Passwords $$$ ON THE NET requires that the current password be changed and a recovery password selected upon first login as the Account Administrator. Change the current password and create a recovery password in the entry fields located at the top of the User Preferences page. Select a new password by performing these steps: 1. Enter the default password, the company account number plus four 9s, in the Current Password field. The default password used to log in the first time cannot be used after the initial login; doing so will lock out all users. 2. Choose a recovery password to be used in the event that the Administrator Account password requires resetting. All passwords are case sensitive. Enter the recovery password in the New Recovery Password field and the Recovery Password Verification field. Write it down and store it in a secure location, such as a vault or personal safe. Setting User Preferences 3. Choose a new password that is eight characters in length and alphanumeric for the Account Administrator. All passwords are case sensitive. Enter the new Account Administrator password in the New Password field and the Password Verification field. The other settings on the User Preferences page (e.g., Home Page, Navigation Method, Items Per Page, Font Selection, Draft Printing, Locale, and Other Options) are default settings and do not need to be changed at this time. The customization of these navigation preferences will be addressed during $$$ ON THE NET Audit Training. Change the password settings at any time by going to the Tools Menu and selecting User Preferences to access the User Preferences page. 14 2005 Shift4 Corporation Getting Started as an Account Administrator

Setting User Preferences Password Recovery Questions The bottom of the User Preferences page consists of five password recovery questions and answer fields. Password recovery questions are used to verify identity in the event that the password is forgotten. If the password is entered incorrectly three times in succession on the Login page, the system will randomly choose three out of the five questions to verify Account Administrator identity. Failure to answer three of the five questions correctly will lock the account for 48 hours. Successful answers will log the Account Administrator into $$$ ON THE NET, and the system will immediately access the User Preferences page and prompt for a password change. Set the password recovery questions by performing these steps: 1. Select a question from the Question drop-down menu and enter the answer in the Answer field. Shift4 suggests that the answers to these questions be one or two words in length, easy to spell and recall, and not common knowledge. Answers are not case sensitive. Setting User Preferences 2. Repeat step 1 for each of the five question fields. There are several questions to choose from, so no question or answer may be used more than once. 3. Click Apply, when all settings have been entered. To clear all fields on the User Preferences page, click Reset. Click Cancel to exit User Preferences without saving the settings. Update the password recovery questions at any time by going to the Tools menu on the Toolbar and selecting User Preferences to access the User Preferences page. 16 2005 Shift4 Corporation Getting Started as an Account Administrator

Menus and Toolbars Menus and Toolbars Navigating $$$ ON THE NET The navigation pane is displayed at the top of every page of the $$$ ON THE NET system and offers useful information regarding the $$$ ON THE NET system. The User Name used to log in to the system is always displayed in the upper-left corner. The toolbar is a quick way to access various sections of $$$ ON THE NET system. As with the User Login page, access to $$$ ON THE NET user documentation on the Help menu is available on every page of the system. The current page name is displayed in the upper-right corner. Menus and Toolbars Account Administrator Menus Many menus are available while using the $$$ ON THE NET system and provide useful links to administrative functions. The menus are organized by area of focus, and offer access to account management, security and user maintenance, and Account Administrator preferences. Home Menu The Home menu provides access to the Administrative Home page and the Logout feature. Account Home Pertains to actual use of $$$ ON THE NET, not administrator settings. A warning message will appear if Account Home is selected while accessing $$$ ON THE NET as the Account Administrator. Logout Securely exits the $$$ ON THE NET system. 18 2005 Shift4 Corporation Getting Started as an Account Administrator

Menus and Toolbars Security Menu The Security menu provides access to the User Maintenance page and the User Activity functions. User Maintenance Permits viewing of all users status, restrictions, and permissions, and displays a summary of all users currently configured. User Activity Permits monitoring and tracking of user activity in $$$ ON THE NET with two different features: In/Out User Sessions Displays the most recent logins for each user. User Logs Contains a running total of logins to the $$$ ON THE NET company account, including the user name, date and time of the log in, and user s IP address. Account Menu The Account menu is strictly an Account Administrator menu and is not available to other types of users. Account Settings Allows access to Account Administrator-level settings. The remaining menu selections are advanced management tools and are not necessary for this tutorial. Tools Menu The Tools menu provides access to the User Preferences page. User Preferences Permits customization of user preferences, such as password and recovery password changes, and password recovery questions selection. Menus and Toolbars The Administration Home Page Access the Administration Home Page by selecting Administration Home from the Home menu on the toolbar, or selecting Administration Functions from the Tools menu on the toolbar. The Administrative Home page has direct links to four management tools: User Maintenance User In/Out Session Activity User Logs Data Backups These features can also be accessed by selecting them from the toolbar menu. When logged in as the Account Administrator, the Administrative Home page provides access to additional features, such as Account Settings. 20 2005 Shift4 Corporation Getting Started as an Account Administrator

Creating and Editing Users Creating and Editing Users The User Maintenance Page User Maintenance is a a key component in overall system security and allows the Account Administrator to monitor user activity and generate user settings. The Account Administrator can: Create users View all users status, restrictions, and permissions Display a summary of all users currently configured. Access the User Maintenance page by going to the Security menu on the toolbar and selecting the User Maintenance option. The User Maintenance page will open. Creating and Editing Users Creating a New User The Account Administrator can create new users and set corresponding user permissions to control user access to the $$$ ON THE NET system. User settings available for customization include: User Name, Clerk ID, and Password Merchant permissions User Type $$$ ON THE NET Permissions Card Number and IP restrictions. Create new users and customize user settings by clicking on the Create a New User link on the User Maintenance page. Creating and Editing Users Add users to the account by performing the following steps: 1. Enter a unique user name for the individual receiving access to the system in the User Name field. 2. Enter a Clerk ID for additional identification in the Clerk ID field (optional). 3. Enter the new user s password in the Password and Password Verification fields. Choose a simple and generic password for the new user s initial log in. The password will be changed the first time the user logs in and is case sensitive. 4. Set the User Type. No Access Disables the user account but does not delete the account. Administrator Allows the user access to the Administration menu. Standard Is ideal for the day-to-day operation of $$$ ON THE NET and is suitable for most employees. NetCharge Allows the user access only to the Online Entry menu and Offline Entry menu. The NetCharge user option is intended for customers without POS systems. API Is strictly for server-to-server environments and does not apply to most users. This special user type has no access to the menu options within the $$$ ON THE NET service. 5. Select the merchants this user can access. It is important to ensure merchants are checked, particularly for properties that only have one Merchant ID. If a merchant isn t checked, it is as if that merchant doesn t exist for that account in $$$ ON THE NET. 6. Set the user permissions from the following list: Add sales Allows the user to add new sales transactions. Modify sales Allows the user to modify existing sales transactions. Delete sales Allows the user to remove (void) sales transactions from the batch, but retain the sales transaction information for audit trail purposes. Add credits Allows the user to add new credit transactions. Modify credits allows the user to modify existing credit transactions. Delete credits Allows the user to remove (void) credit transactions from the batch, but retain the credit transaction information for audit trail purposes. Batch submittals Allows the user to submit transaction batches to the bank for settlement. This selection requires sale modification and deletion permissions as well. Creating and Editing Users 7. Check the Mask Card Numbers selection if appropriate. The Mask Card Numbers selection is an additional security tool. If checked, the user will only be able to see the first four and last four digits of any card number. Due to the sensitive nature of card numbers, it is HIGHLY recommended that Mask Card Numbers be turned on for all users. 8. Select Bypass IP address restrictions if appropriate. If Bypass IP address restrictions (access from anywhere) is checked, the user will be able to log on from anywhere, including home. If unchecked, the user is limited to logging in from accepted IP addresses. 9. Click Apply, once the user s settings and permissions have been added. If a mistake is made in entry, simply click Reset and re-enter the required information. Creating and Editing Users Creating an Administrator User $$$ ON THE NET requires that one or more administrators are established to manage the creation and maintenance of user accounts and the corresponding permissions; download the prepackaged backup files for "off-service" storage of data; and periodically review user access logs. The Account Administrator account is not intended for day-to-day use. Therefore, the first new administrative user created should be an administrator type user account to use in lieu of the Account Administrator account. Create an administrator type user by performing these steps: 1. Enter the User Name, Clerk ID, and generic password. Retype the password in the Verification field. The password will be changed when the user first logs in and is case-sensitive. 2. Select Administrator from the User Type drop-down menu. Select the permissions for the administrator account. Shift4 recommends granting administrators all permissions to enable complete audit privileges. Getting Started as an Account Administrator 2005 Shift4 Corporation 25

Creating and Editing Users 3. Select the merchants for this administrator account to access. Shift4 recommends granting administrators access to all merchants to enable complete audit privileges. 4. Select additional preferences from the Other Controls section. 5. Click Apply, once all administrator s settings and permissions have been added. If a mistake is made in entry, simply click Reset and re-enter the required information. Creating and Editing Users Creating a Standard User Following is an example of creating a standard type user for day-to-day operation of the $$$ ON THE NET account. Go to the User Maintenance page and click the Create a New User link. The Create a New User page will open. Create a standard user by performing these steps: 1. Enter the User Name, Clerk ID, and generic password. Retype the password in the Verification field. The password will be changed when the user first logs in and is case sensitive. 2. Select Standard from the User Type drop-down menu. Select the permissions for this user account. In this example, the user is only permitted to add and modify sales, add and modify credits, and perform batch submittals. Getting Started as an Account Administrator 2005 Shift4 Corporation 27

Creating and Editing Users 3. Select the merchants for this user account to access. In this example, the user will only be able to access XYZ Hotel. 4. Select additional preferences for this user account from the Other Controls section. In this example, credit card numbers will be masked for this user. 5. Click Apply once the standard user s settings and permissions have been added. If a mistake is made in entry, simply click Reset and re-enter the required information. Creating and Editing Users Editing User Accounts The newly-added administrator and standard users now appear in the User Maintenance page. Edit an existing user by clicking on the desired user s name to open the Edit Users page. The Edit Users page is identical to the Create New Users page, with one exception administrators are given a Delete button. The Delete button permanently deletes users from the system. This process is not recommended by Shift4. If a user account is no longer needed, set the User Type to No Access to disable the user account, but allow the transactions associated with that user account to remain accessible. Notice that Paul has been flagged as a Suspended User Account. The $$$ ON THE NET service will disable users that have attempted to log in to the system with an incorrect password three times. Only an Administrator can reactivate such a user during the lock-out period. If an Administrator is locked out, only the Account Administrator can reactivate the user. For security reasons, if the Account Administrator is locked-out, only Shift4 can reactivate that user. Contact the Shift4 Support department for information on reactivating the Account Administrator. Getting Started as an Account Administrator 2005 Shift4 Corporation 29

Creating and Editing Users Reactivate a locked-out user by performing the following steps: 1. Go to the Edit User page for the user account being reactivated. 2. Check the Reactivate check box. 3. User Activity User Activity Monitoring User Activity $$$ ON THE NET offers two ways to track user activity: In/Out User Sessions and User Logs. Track user activity by performing the following steps: 1. Select User Activity from the Security menu. 2. Select In/Out User Sessions from the User Activity menu. The User Activity page will appear. User In/Out Sessions Activity documents the five most recent logins for each user. The data is organized under each user name and contains the login and logout date and time; how long the user was logged in; and if the user is currently logged in or did not log out. User Activity User Access Logs User Logs also tracks user activity in $$$ ON THE NET, but provides additional information for monitoring purposes. Access User Logs by performing the following steps: 1. Select User Activity from the Security menu. 2. Select User Logs from the User Activity menu. The User Logs page will appear. The User Logs page contains a running total of logins to a particular $$$ ON THE NET account. The list also contains the user name, date and time of the log in, and IP address from where the login originated. The user logs can be filtered by User Name, Script Name, Remote Address, CFID, or CFTOKEN by clicking on the value to be filtered. To see the details of a particular log, click on the ID number and the verbose log information will appear. This information should only be viewed if inappropriate user activity is suspected or proof of a particular action is required. Setting Account Configurations Setting Account Configurations The Account Configuration Page The Account Configuration page offers a variety of management tools available only to the Account Administrator. When logged in as the Account Administrator, select Account Settings from the Account menu on the toolbar to access these management tools. The top of the Account Configuration page contains the settings for User Account Suspension, Fraud Sentry Notifications, and Unverified Credits. The middle of the Account Configuration page is a large section dedicated to Suspicious Card Usage. Suspicious Card Usage is an advanced administrator tool and will be addressed in an advanced tutorial. The bottom portion of the Account Configuration page allows the Account Administrator to set other Miscellaneous Account Settings, including IT S YOUR CARD settings. Setting Account Configurations User Account Suspension, Fraud Sentry, and Unverified Credits User Account Suspension The User Account Suspension section, located at the top of the page, allows the Account Administrator to identify the recipient of the Account Suspension email notification message. If a user account has been suspended (locked out), an email notification message will be sent to the email addresses entered in the E-Mail To, CC, and BCC fields. If no email addresses are entered, an email will not be sent. Multiple email addresses may be entered on each line. Enter the email addresses for the personnel who will receive the account suspension notifications. Multiple email addresses may be entered on each line by separating the addresses with commas or semicolons. The Shift4 Support department always receives a notification when a user account becomes suspended, and if the situation warrants it, a Shift4 Support representative will call your property. 34 2005 Shift4 Corporation Getting Started as an Account Administrator

Setting Account Configurations Fraud Sentry Notifications Fraud Sentry, a $$$ ON THE NET management tool, scans transaction archives prior to settlement, searching for a matching charge or series of charges, which correspond to each credit transaction. If a valid match is not found, the suspect credit transaction is flagged, an email notification sent, and the settlement batch is either suspended pending further investigation or the batch is settled and a detailed batch summary report is produced for later review. The Fraud Sentry s email alert system for upper management is configured in the Fraud Sentry Notifications section of the Account Configuration page. Enter the email addresses for the personnel who will receive the suspected fraudulent activity notifications. Multiple email addresses may be entered on each line by separating the addresses with commas or semicolons. Unverified Credits The Unverified Credits section allows the Account Administrator to track unverified credits. An unverified credit is defined as a credit that does not have a corresponding charge in $$$ ON THE NET history for that particular merchant. 1. Select the desired detection method from the Detection Method drop-down menu: Disabled Turns the unverified credits setting off. Running Balance Checks credits against the total card history (recommended). Exact Amount Checks credits against history on a one-for-one transaction basis. 2. Select how far back to look for unverified credits from the Maximum Duration dropdown menu. Six months is the default setting. 3. Select a method of enforcement from the Enforcement Method drop-down menu: Silent Sends a Fraud Sentry email but does not alert the user of an unverified credit. Verbose Sends an email and alerts the user of the unverified credit (this requires the user to enter their password before submitting a batch containing an unverified credit). Setting Account Configurations Miscellaneous Account Settings At the bottom of the Account Configuration page are two sections: Aging Warning and Miscellaneous Account Settings. The first section, Aging Warning, is an advanced administrator tool and is addressed in the Advanced Administrator tutorial. The Miscellaneous Account Settings pertain to the Bypass IP Address setting on the Create New User page. Setting Account Configurations Constrain the IP Addresses by performing the following steps: 1. Enter the total number of IP addresses that will be accessing $$$ ON THE NET in the IP Address Restriction Slots field. The IP Address Restriction List will populate itself with the IP addresses that have accessed $$$ ON THE NET. It is recommended that these IP addresses are reviewed from time-to-time. 2. Select the User Type to have override rights from the IP Address Override Assignment Rights drop-down menu. 3. Click Apply once all changes have been made to the Account Configuration page. A Changes Applied message will appear at the top of the Account Configuration page to indicate that all settings have been applied. Logging Out Logging Out Logging Out and Exiting If a browser refresh is performed while logged in to $$$ ON THE NET as the Account Administrator or if there is a connection failure, programming has been added to return you to the last location accessed in the $$$ ON THE NET system. The disadvantage to this programming is that closing the browser or leaving the $$$ ON THE NET site without logging out will allow someone else using the computer to return to the $$$ ON THE NET site and use the system as the Account Administrator. Shift4 has minimized this side effect by shortening the inactivity time-out timer to 20 minutes. While still logged in to the $$$ ON THE NET site, a warning message will appear after 15 minutes of inactivity and again at 19 minutes. After 20 minutes of inactivity, the $$$ ON THE NET system will automatically log you out. 38 2005 Shift4 Corporation Getting Started as an Account Administrator

Logging Out Log out of the $$$ ON THE NET system by performing the following steps: 1. Go to the Home menu on the toolbar. 2. Click Logout on the Home menu. The system will return you to the User Login page. From this page, it is safe to log back in when ready or navigate away from the $$$ ON THE NET site.
