Installing the printer on a wireless network Wireless network ompatiility Your printer ontains an IEEE 802.11g wireless print server. Your printer is ompatile with IEEE 802.11 /g/n routers that are Wi-Fi ertified. If you are having issues with an n router, verify with your router manufaturer that the urrent mode setting is ompatile with g devies, as this setting varies depending on the router rand/model. Information you will need to set up the printer on a wireless network To set up the printer for wireless printing, you need to know: The name of your wireless network. This is also known as the Servie Set Identifier (SSID). If enryption was used to seure your network. The seurity key (either a WEP key or WPA passphrase) that allows other devies to ommuniate on the network if enryption was used to seure your network. If your wireless aess point (wireless router) is using Wired Equivalent Privay (WEP) seurity, the WEP key should e: Exatly 10 or 26 hexadeimal haraters. Hexadeimal haraters are A F, a f, and 0 9. or Exatly 5 or 13 ASCII haraters. ASCII haraters are letters, numers, puntuation, and symols found on a keyoard. If your wireless aess point (wireless router) is using Wi-Fi Proteted Aess (WPA) seurity, the WPA passphrase should e: From 8 to 63 ASCII haraters. ASCII haraters in a WPA passphrase are ase-sensitive. or Exatly 64 hexadeimal haraters. Hexadeimal haraters are A-F, a-f, and 0-9. If your wireless network is not using seurity, then you will not have a seurity key. Using a wireless network with no seurity is not reommended eause it an allow intruders to use your network resoures without your onsent. Note: Make sure you opy down the seurity key and SSID exatly, inluding any apital letters, and store it in a safe plae for future referene. Use the tale provided elow to write down this information. Bypassing seurity warnings during software installation Third-party appliations, inluding antivirus, seurity, and firewall programs may alert you aout the printer software eing installed. This ensures that your omputer is onneted to the aess point. 4 If the aess point does not respond, nothing is displayed. You an use Network Diagnostis to help resolve the prolem. RUN THE WIRELESS SETUP AGAIN 1 From the Finder desktop, doule-lik the printer folder. 2 Clik Lexmark Wireless Setup Assistant. 3 Follow the instrutions on the omputer sreen. Wi-Fi indiator light is still orange When the Wi-Fi indiator light is orange, it may indiate that the printer is: Being onfigured for use on the wireless network Not onfigured in infrastruture mode Waiting to e onfigured for ad ho mode The printer may e unale to join the network eause of interferene, its distane from the wireless aess point (wireless router), or until its settings are hanged. These are possile solutions. Try one or more of the following: CHECK NETWORK NAME Make sure your network does not have the same name as another network near you. For example, if you and your neighor oth use a manufaturer's default network name, your printer ould e onneting to your neighor's network. 14
If you are not using a unique network name, onsult the doumentation for your wireless aess point (wireless router) to learn how to set a network name. If you set a new network name, you must reset the printer and omputer SSID to the same network name. CHECK SECURITY KEYS If you are using WEP seurity A valid WEP key is: Exatly 10 or 26 hexadeimal haraters. Hexadeimal haraters are A F, a f, and 0 9. or Exatly 5 or 13 ASCII haraters. ASCII haraters are letters, numers, and symols found on a keyoard. If you are using WPA seurity A valid WPA passphrase is: From 8 to 63 ASCII haraters. You an find the strength of the network signal on the printer network setup page. Wireless print server not installed You may see a message during installation indiating that the printer does not have a wireless print server installed. If you are sure the printer is apale of wireless printing, try the following: CHECK POWER Make sure the light is on. Communiation not availale message displays when printing wirelessly If you are using a laptop and have power saving settings enaled, you may see the Communiation not availale message on your omputer sreen when you attempt to print wirelessly. This an our if the laptop hard drive has powered down. If you see this message, wait a few seonds and then try to print again. The laptop and printer require a few seonds to power up again and reattah to the wireless network. If you see this message again after you have waited long enough for the printer and the laptop to attah to the network, there may e a prolem with your wireless network. Make sure that the laptop and printer have oth reeived IP addresses. For more information on loating IP addresses, refer to How do I loate IP addresses? on page 18. If the printer and/or the laptop does not have an IP address, or if either has an address of 169.254.x.y (where x and y are any two numers etween 0 and 255): 1 Shut down the devie that does not have a valid IP address (the laptop, the printer, or oth). 2 Turn on the devie(s). 3 Chek the IP addresses again. If the laptop and/or printer still does not reeive a valid IP address, there is a prolem with your wireless network. Make sure your wireless aess point (wireless router) is working, and remove any ostales that ould e loking the wireless signal. CHECK MAC ADDRESS If your network uses MAC address filtering, make sure that you inlude the MAC address of the printer in the MAC address filter list. This will allow the printer to operate on the network. For more information, see How do I find the MAC address? on page 17. 15
Frequently asked questions What is a network? A network is a olletion of devies suh as omputers, printers, Ethernet hus, wireless aess points, and routers onneted together for ommuniation through ales or through a wireless onnetion. A network an e wired, wireless, or designed to have oth wired and wireless devies. Devies on a wired network use ales to ommuniate with eah other. Devies on a wireless network use radio waves instead of ales to ommuniate with eah other. For a devie to e ale to ommuniate wirelessly, it must have a wireless print server attahed or installed that lets it reeive and transmit radio waves. How are home networks onfigured? For desktop omputers, laptops, and printers to ommuniate with eah other over a network, they must e onneted y ales and/or have wireless network adapters uilt in or installed in them. There are different ways a network an e set up. Five ommon examples appear elow. Wireless network examples Four ommon wireless networks are: Senario 1: Laptop and printer onneted wirelessly with Internet Senario 2: Desktop omputer, laptop, and printer onneted wirelessly with Internet Senario 3: Desktop omputer, laptop, and printer onneted wirelessly without Internet Senario 4: Laptop onneted wirelessly to printer without Internet Senario 1: Laptop and printer onneted wirelessly with Internet A desktop omputer is onneted to a wireless router y an Ethernet ale. A laptop and a printer are onneted wirelessly to the router. The network is onneted to the Internet through a DSL or a ale modem. Internet Note: The printers in the following diagrams represent printers with internal print servers uilt in to them so that they an ommuniate over a network. Wired network example A desktop omputer, a laptop, and a printer are onneted y Ethernet ales to a hu, router, or swith. The network is onneted to the Internet through a DSL or a ale modem. Senario 2: Desktop omputer, laptop, and printer onneted wirelessly with Internet A desktop omputer, a laptop, and a printer are onneted wirelessly to a wireless router. The network is onneted to the Internet through a DSL or a ale modem. Senario 4: Laptop onneted wirelessly to printer without Internet A laptop is diretly onneted wirelessly to a printer without going through a wireless router. The network has no onnetion to the Internet. Internet Senario 3: Desktop omputer, laptop, and printer onneted wirelessly without Internet A desktop omputer, a laptop, and a printer are onneted wirelessly to a wireless aess point (wireless router). The network has no onnetion to the Internet. This onfiguration is referred to as an ad ho network. What is a MAC address? A Media Aess Control (MAC) address is a 48-it identifier assoiated with the hardware of network equipment. The MAC address may also e alled the physial address eause it is onneted to the hardware of a devie instead of its software. The MAC address is displayed as a hexadeimal numer in this format: 01-23-45-67-89-AB. Every devie apale of ommuniating on a network has a MAC address. Network printers, omputers, and routers, whether Ethernet or wireless, all have MAC addresses. While it is possile to hange the MAC address of a network devie, it is not ommon pratie to do so. For this reason, MAC addresses are onsidered permanent. IP addresses are easily hanged, so MAC addresses are a more reliale method of identifying a speifi devie on a network. Routers with seurity apailities may allow filtering of MAC addresses on networks. This allows a managed list of devies to aess the network, identified y their MAC addresses. MAC address filtering an help prevent aess on the network from unwanted devies, suh as from intruders on a wireless network. MAC address filtering an also prevent legitimate aess if you forget to add a new devie to the router's list of allowed addresses. If your network uses MAC address filtering, e sure to add the MAC address of the printer to the list of allowed devies. How do I find the MAC address? Most network equipment has a unique hardware identifiation numer to distinguish it from other devies on the network. This is alled the Media Aess Control (MAC) address. 17
The MAC address is a series of letters and numers loated on the ak of your printer. 2 Type iponfig. UAA: XX XX XX XX XX XX 3 Press Enter. The IP address appears as four sets of numers separated y periods, suh as 192.168.0.100. How to loate a omputer IP address using Maintosh 1 Clik Apple menu System Preferenes. 2 Clik Network. 3 From the Show pop-up menu, selet Airport. 4 Clik TCP/IP. The IP address appears as four sets of numers separated y periods, suh as 192.168.0.100. UAA: XX XX XX XX XX XX How to loate a printer IP address You an loate the printer IP address y viewing the printer network setup page. Refer to the User's Guide on the installation software CD for more information on how to print a network setup page. Note: A list of MAC addresses an e set on an aess point (router) so that only devies with mathing MAC addresses are allowed to operate on the network. This is alled MAC filtering. If MAC filtering is enaled in your aess point (router) and you want to add a printer to your network, the MAC address of the printer must e inluded in the MAC filter list. What is an IP address? How are IP addresses assigned? An IP address may e assigned automatially y the network using DHCP. One the printer is set up on a omputer, the omputer sends all print jos aross the network to the printer using this address. If the IP address is not automatially assigned, you will e asked during wireless setup to manually enter an address and other network information after seleting your printer from the availale list. An IP address is a unique numer used y devies (suh as a wireless printer, omputer, or wireless aess point) on an IP network to loate and ommuniate with eah other. Devies on an IP network an ommuniate with eah other only if they have unique and valid IP addresses. A unique IP address means no two devies on the same network have the same IP address. An IP address is a group of four numers separated y periods. An example of an IP address is 192.168.100.110. How do I loate IP addresses? How to loate a omputer IP address using Windows 1 Do one of the following: In Windows Vista a Clik. Clik All Programs Aessories. Clik Command Prompt. In Windows XP and earlier a Clik Start. Clik All Programs or Programs Aessories Command Prompt. 18
How do I attah the installation ale? The installation ale attahes to a USB port on the omputer and to the square onnetor on the ak of the printer. This onnetion allows you to onfigure the printer for a networked or loally attahed installation. 1 Attah the large, retangular onnetor to any USB port on your omputer. USB ports may e on the front or the ak of the omputer, and may e horizontal or vertial. Why do I need an installation ale? When setting up the printer on your wireless network, the printer will need to temporarily onnet to a omputer using the installation ale. This temporary onnetion is used to set up the wireless settings of the printer. The installation ale onnets to a retangular USB port on the installing omputer and the square USB port on the printer. What is the differene etween infrastruture and ad ho networks? Wireless networks an operate in one of two modes: infrastruture or ad ho. In infrastruture mode, all devies on a wireless network ommuniate with eah other through a wireless router. Devies on the wireless network must have valid IP addresses for the urrent network and share the same SSID and hannel as the wireless router (wireless aess point). In ad ho mode, a omputer with a wireless network adapter ommuniates diretly with a printer equipped with a wireless print server. The omputer must have a valid IP address for the urrent network and e set to ad ho mode. The wireless print server must e onfigured to use the same SSID and hannel that the omputer is using. The following tale ompares the harateristis and requirements of the two types of wireless networks. 2 Attah the small, square onnetor to the printer. Charateristis Infrastruture Ad ho Communiation Through wireless aess point (wireless router) Diretly etween devies Seurity More seurity options Range Determined y range and numer of wireless aess points (wireless routers) Restrited to range of individual devies on network Speed Usually faster Usually slower Requirements for all devies Unique IP address for eah devie Yes Yes Mode set to Infrastruture mode Ad ho mode 3 Continue following the on-sreen instrutions. Same SSID Same hannel Yes, inluding the wireless aess point (wireless router) Yes, inluding the wireless aess point (wireless router) Yes Yes Lexmark reommends setting up a network in infrastruture mode using the installation CD that ame with the printer. 19
Infrastruture mode is the reommended setup method eause it has: Inreased network seurity Inreased reliaility Faster performane Easier setup Finding the signal strength Wireless devies have uilt-in antennas that transmit and reeive radio signals. The signal strength listed on the printer network setup page indiates how strongly a transmitted signal is eing reeived. Many fators an affet the signal strength. One fator is interferene from other wireless devies or other devies suh as mirowave ovens. Another fator is distane. The farther two wireless devies are from eah other, the more likely it is that the ommuniation signal will e weaker. The strength of the signal reeived y your omputer an also affet the onnetivity of the printer with the network during onfiguration. When you installed the wireless adapter in your omputer, the adapter software proaly plaed an ion in your system tray. Try doule-liking this ion, and it will tell you how strongly the omputer is reeiving the wireless signal from the network. To improve signal quality, remove soures of interferene and/or move wireless devies loser to the wireless aess point (wireless router). What is an SSID? A Servie Set Identifier (SSID) is the name that identifies a wireless network. All devies on the network must know the SSID of the wireless network or they will not e ale to ommuniate with eah other. Usually, the wireless network roadasts the SSID to allow wireless devies in the area to onnet to it. Sometimes, the SSID is not roadast for seurity reasons. An SSID an ontain up to 32 alphanumeri haraters. How do I find out what type of seurity my network is using? You must know the seurity key and seurity mode to properly set up the printer for use on the wireless network. To otain this information, see the doumentation that ame with your wireless aess point (wireless router), see the We page assoiated with the wireless aess point (wireless router), or onsult your system support person. Note: The network seurity key is not the same as the password for the wireless aess point (wireless router). The password allows you to aess the wireless aess point (wireless router) settings. The seurity key is a WEP key or WPA passphrase that allows printers and omputers to join your wireless network. Can I use my printer on a USB and a wireless onnetion at the same time? The printer an e onfigured in the following ways: Loally attahed (onneted to a omputer using a USB ale) Wireless network Wireless network and loally attahed simultaneously If you want to use the printer as oth a wireless and loally attahed printer at the same time, you will need to run the setup software again and selet the additional onnetion type. How an I improve wireless signal strength? A ommon reason wireless printers fail to ommuniate over a network is poor wireless signal quality. If the signal is too weak, too distorted, or loked y an ojet, it annot arry information etween the aess point and the printer. To determine if the printer is reeiving a strong signal from the aess point, print a network setup page. The Quality field indiates the relative strength of the wireless signal the printer is reeiving. Drops in signal strength an e intermittent, however, and although the signal quality appears high, it may drop during ertain onditions. If you think signal strength is a prolem etween your aess point and the printer, try one or more of the following: Notes: For ad ho networks, adjust the omputer where the aess point is indiated. Ad ho networks have a muh shorter range than infrastruture networks. Try moving the printer loser to the omputer if they seem to have troule ommuniating. MOVE THE PRINTER CLOSER TO THE WIRELESS ACCESS POINT/WIRELESS ROUTER If the printer is too far away from the aess point, it will not e ale to ommuniate with other devies on the network. For most indoor wireless networks, the maximum distane etween the aess point and the printer is approximately 100 feet (30 meters). This distane ould e longer or shorter, depending upon the layout of the network and the limitations of the aess point. REMOVE OBSTACLES BETWEEN THE ACCESS POINT AND THE PRINTER The wireless signal from your aess point will pass through most ojets. Most walls, floors, furniture and other ojets will not lok the wireless signal. However, there are materials that are too dense for the signal to pass through. Ojets ontaining metal and onrete an lok the signal, inluding: Cuile walls Duts Window frames Poles and interior support olumns Metal offie furniture and ainets Elevators Steel doors Walls and other strutural elements reinfored y rear Arrange your printer and aess point so that the signal is not loked y any of these ojets. 20
REMOVE SOURCES OF INTERFERENCE Other types of radio frequenies an ause prolems with the wireless signal on your network. These soures of interferene an ause printing issues that seem to ome and go. Some ommon soures of interferene are: Cordless phones Mirowave ovens Refrigerators and other applianes Bluetooth devies Other wireless networks Motors Turn off these potential soures of interferene where possile. Avoid using mirowaves and ordless phones when printing over your wireless network. If another wireless network is operating in the viinity, hange the wireless hannel on the aess point. Do not plae your aess point on a printer. Printers an also interfere with the wireless signal. ARRANGE THE NETWORK TO REDUCE SIGNAL ABSORPTION Even when the wireless signal is ale to pass through an ojet, it is slightly weakened. If it passes through too many ojets, it an e signifiantly weakened. All ojets asor part of the wireless signal when it passes through them, ut ertain types of ojets asor enough to ause ommuniations prolems. To avoid signal asorption, avoid plaing the following items etween your aess point and your printer: Staks of paper or ooks Multiple walls or floors Crowds of people Ojets ontaining water, suh as fish tanks Plants Plae your aess point as high in the room as possile to avoid signal asorption.
