Overview The purpose of this application is to assist in the removal of electronic documents that may contain PI or PHI located on a PC or laptop that collects such information. If you have questions regarding the installation or use of this program please submit a Request for Technical Support at the following link, http://www.examone.com/compliance-app, or send an email to complianceappsupport@examone.com. System Requirements 1) This application is supported on Windows 7, 8 and 10. A separate package is available for installation on Mac. 2).NET Framework 4 Client Profile needs to be installed (Windows only). If it is not installed on your PC, click this link to install.net 4.0 Download. 3) Previous versions of the ExamOne Compliance App should be uninstalled prior to installing the latest version. To uninstall go to Control Panel, Programs and features, right-click the existing application and choose uninstall. Installing ExamOne Compliance App Note: Depending on your Windows setup, during installation/app startup you may be prompted by User Account Control to allow an unknown publisher to make changes to your computer (see below). Please select yes to allow the application to continue. Click on the following link to Download/Run the ExamOne PHI Compliance Application and select the appropriate installation for your PC: http://www.examone.com/complianceapp Click Next to continue.
Read the License Agreement and select I Agree then click Next to continue. Click Next to install to the default installation path, or you may change the location of the installation by clicking the Browse button. Note: Selecting Disk Cost will display Hard Disk space available for the installation, example below. Click OK to continue with install.
Place a check mark next to Yes,... if you want a shortcut to be placed on your desktop. Click Next to continue. Click Next to begin installation. NOTE: If you are installing with a non-admin account you may be prompted by User Access Control to enter the administrator password. Do so at this time to continue with the installation. You will see a progress bar similar to the one shown below.
Click Close to finish the installation. You should have a Desktop icon: Using the ExamOne Compliance App Locate the icon on your Desktop or in your Start menu that looks like this: Double-Click on the ExamOne PHI Compliance Application icon. You will be presented with the following screen: Fill in all the fields and click Save button. NOTE: If you are an office employee and DO NOT have an Examiner ID, please enter your office number in both the Office Number and Examiner ID fields. After your information has been entered and saved click Close button. You will be prompted with an Opt Out Option and a question about emailing PHI. If your PC or Laptop potentially contains electronic images with PHI or PI, you must click Yes
to continue. If the PC or Laptop you are using does not contain electronic images with PHI or PI, you may click No. You re then prompted about emailing documents that contain PHI or PII. Answering yes to this question will prompt for further explanation. By clicking Yes to either question you will then proceed to the following screen: Click Ok to continue. You may also place a check mark in the box marked Never show this again if you choose not to see this notice next time you start the application.
The application will begin scanning local disk drives only for.tif and.pdf images that are located on your PC. NOTE: Be aware that this is a list of ALL.tif and.pdf images on your PC or Laptop and not necessarily just images containing PHI or PI. Once the scan is complete you will be able to select items on the list and perform one of two actions on the files: Delete Selected Files or Ignore Selected Files. I will provide examples of each in the next section; but before proceeding, read the paragraph below on Viewing A Selected File. Viewing a Selected File If you are unsure of the file contents and want to view it before making a decision to ignore or delete, you can right-click on the file and select Open, or click the View option at the end of the file listing, to review the document. Closing the document will return you to the list of found files. Ignoring Selected Files Since this application searched my PC for ALL.pdf and.tif images there will be some items that I can tell right away will not contain PHI or PI. In the example below, the documents named safety quiz2.pdf and WelcomeFax.tif are associated with another application on the PC and clearly do not contain PHI or PI. I will place a check mark next to each item, then select the IGNORE SELECTED FILES option above the list of files. Selecting the Ignore option prevents those files from being displayed the next time I run the ExamOne PHI Compliance Application. It is important to note that the files are NOT deleted; they are just removed from this list and from showing up on future scans. The following screenshots capture the process for how I chose to IGNORE SELECTED FILES
Checkmarks are placed in front of the file names I wish to Ignore by clicking on the square directly in front of the file. I then select the IGNORE SELECTED FILES button at the top of the screen; I am presented with the following warning: After clicking OK the list of documents will refresh and show that the files I ignored are no longer in the list. Viewing Ignored Files: If at a later date, I want to view the files that I have Ignored I can click the option on the menu bar called Ignored Files then click on Edit. From our example you can see the files I Ignored in the previous section. If I determine that a file was ignored by accident, I can place a checkmark in front of the file name and select UN-IGNORE SELECTED FILES. This will add the file back to the file list for me to take action on.
Deleting Selected Files Since this application searched my PC for ALL.pdf and.tif images, there will be some items that I cannot tell right away whether they may contain PHI/PI or not. In the example below, I have determined that the documents named Image1.tif and Doc1.pdf do in fact contain PHI/PI and need to be deleted from my PC. I will place a check mark next to each item I want deleted, then select the DELETE SELECTED FILES option above the list of files. Selecting the Delete option permanently deletes the files from your PC with NO option to recover. Since the files are deleted they will not appear on the list the next time I run the ExamOne PHI Compliance Application. Additional App Options My Account Click on My Account and Edit to update account information. This would be used to correct any information in the account profile What Next?
