General Information for Version 10 Since this is a Major Data Conversion We recommend that you have your IT Professional perform this conversion and if need be, schedule an appointment prior to the installation with any questions. We strongly recommend a TRIAL CONVERSION be performed on a copy of the RFMS Folder and tested fully prior to the REAL CONVERSION. To create a test company for RFMS version 9, make a copy of the RFMS folder and run the conversion on it. This will allow you to test out the program, This will allow you to: Get a more accurate timeframe for the conversion See the new features of RFMS Version 10 Ensure that custom configuration files, if any, are working. If not we can get the file to the Development Team and convert it before running the real conversion. You can also run reports on version 9 and compare to the trial conversion. Two major considerations for the MS SQL Express Version is database size and user count. If your database is less than 1 GB and you have less than 15 users you can use the MS SQL Express 2005. If you have a database over 1 GB or you have over 15 users you will need to purchase MS SQL Workgroup or MS SQL Standard. You will want to check with your Local IT Professional on which one is more suitable for your environment. Also if installing MS SQL Express manually or if you are using MS SQL Workgroup or Standard, make sure to set for Mixed Mode (SQL Authentication and Windows Authentication). Pointers / Tips 1) Remember Dos RFMS goes away with Version 10 RFMS. 2) Make sure all outstanding receipts have been posted to the bank before running this conversion. 3) If you have any crystal reports or other reporting modules, you will need to rewrite them to use the new database structure. 4) Make sure to run all RFMS Updates prior to doing the conversion and launch to make sure all is fine prior to the conversion. 5) Make sure to run all windows updates on the server making sure to reboot afterwards and checking before Installing SQL. 6) To begin the SQL Installation from our cd run installdb.bat. 7) If running the Manual Installation or you have your own Microsoft SQL installed, make sure to put in Mixed Mode (SQL Authentication and Windows Authentication). 8) Get everyone out of RFMS prior to the Conversion and make a backup of the RFMS Folder. 9 Make sure E-Commerce is stopped at the server, if using this program. 10) We recommend a TRIAL CONVERSION and TESTING for about a week to make sure everything is fine prior to the REAL CONVERSION. 11) While testing out the modules and data, make sure to test printing from the modules to make sure that any custom configurations you may have are ok. 12) If you have any windows 2000 PC s, make sure to get the latest MDAC from Microsoft. 13) The System Recommendations are minimum, unless otherwise noted. 14) The attached document is for converting an existing Server with Pervasive 2000i or later installed already. Please contact RFMS if you have a previous version of Pervasive installed or if you are moving to a new Server. 15) Please let us know if you have ANY open orders that have been DOS Partial Billed. 3

Conversion of RFMS Version 10 SQL Express Installation 1. To install RFMS Version 10, you must be at the server or the local computer that acts as the server (if in a workgroup environment) and logged in as the administrator. Make sure of the following before installing SQL Express: Make sure that your Server has all of the appropriate Service Packs (See our System Specification Section). Make sure that the Server has all required Windows Updates, After each Windows update installation, reboot and search for more. Do this until there are none left to install. 2. Insert the CD labeled RFMS Version 10 Conversion into the CD-Rom Drive, Double click on the My computer icon and then double click on the CD-Rom Drive Icon. *If you have Microsoft SQL already installed on this PC, make sure that it is set to mixed mode (SQL Authentication and Windows Authentication) and skip to the RFMS Version 10 Installation Section on Page 10. 5

3. You will see a screen like below, double click on the installdb.bat. 4. You should see a screen like below, click install. This will start the installation process for the Microsoft SQL Server 2005 Express. When this is finished, the screen will go away. 6

Installation of SQL Management Tools 1. After installing SQL Express, go back to the RFMS Version 10 Conversion CD and double click on the SQL Management Tools Folder. There will be a file in the folder called SQLServer2005_SSMSEE.msi. Double click that file to install the Microsoft SQL Server Tools, which are used to manage the SQL Database, make manual backups, etc... 2. The first screen you will see on the installation section looks like below. Select Next to continue. 3. On the License Agreement, it is recommended to review this and then click Accept and Next 7

4. You will then get a screen similar to the one below asking you for your registration information. Type in the information and click the Next button. 5. Finally, you will be prompted to make selections on the installation. Click the Next button to accept the defaults of this installation and complete the process. 6. Once completed, go to Start Programs Microsoft SQL Server SQL Server Management Studio Express. You will see a screen like below, which will be used in the SQL Install Below. 8

RFMS Version 10 Conversion 1. Go back to the RFMS Conversion CD and double click on the Setup.exe file. This will begin the Conversion of RFMS Version 10 2. Select next on the welcome screen, which will take you to a screen like below. By default, the installation will select C:\rfms as the installation folder. If you have installed RFMS do a different location, simply select the Change button and browse to another location or type in the location and select next. 9

3. The next screen is a confirmation screen, if all looks correct hit next. After hitting next to start the conversion, you will see a screen below 4. When this process is finished, you will be directed to a Login Screen. The Boxes should auto fill with the following information. Simply select Login once all of this is correct to begin the conversion. Server Name (make sure this information matches the information from step 6 in the Installation of SQL Management Tools Section). user ID SA is the default User ID used for the conversion Password See Note 1 Database Name The default name is RFMS, however, it is recommended that you change this name. Note 1: IF you have Microsoft SQL installed on this server already without using the RFMS Version 10 disk or you installed Microsoft SQL Express manually and supplied your own SA Password, you will need to click on the lock icon on the right side next to the password field and type your SA password. If you used the installdb.bat file ignore this note and continue. Note 2: Make sure the server name is correct and hit login. You may need to put your SQL Instance in after the server name. For SQL Express, you would type in Server Name\SQLExpress, so in this example of the server name being RFMS- Server, you would type in RFMS-Server\SQLExpress. 10

5. Once you select Login, the installation should continue. If you get a box like below, check the box for Use Trusted Connection and click ok. 6. The databases will now be converted from a Pervasive DB to MS SQL DB. This operation takes about 1 hour for every 500mb of database size. To find out the size of your database, navigate to the RFMS folder, sort by type, highlight all the.dat files and select properties. Once the conversion completes, click Finish and check the SQL10.log file, placed into the RFMS Folder, for errors. It is imperative that you test the RFMS Program (reports, printing, operation, etc ) 7. After the database is converted, you will see a screen like below. Click Finish to complete the conversion and continue on to license RFMS. 11

Workstation Setup If you are in a single user environment, there are no workstations to setup. The computer you installed SQL on acts as the server and the client. Just make sure the shortcut to rfmsnav.exe (located in your main RFMS folder.) is on the desktop. Note: If you currently have icons on your workstations for the RFMS Program, you can skip this section. If you are putting new workstations in proceed with this document. Note: Before beginning the workstation setup, you must map a network drive to each workstation. To do this, right click on My Computer, select Map Network Drive, select a drive letter, and enter the server information. Make sure that Reconnect at logon is selected. 1. Browse to the mapped drive for your server. For this example we used the R drive. Double click on the RFMS10WS.exe. This will bring up the installation routine for the client side of RFMS. 2. Hit the next button on the welcome screen to continue with this routine. 12

3. Input the mapped drive path where RFMS resides on the server at. Here we chose R:\ since our RFMS is located on our mapped drive as R:\. 4. You will get a screen like below confirming the information that you selected, if ok hit Next. 5. You will then get a Finish screen. Click Finish and go to the desktop and double click on the new RFMS shortcut to verify that it installed properly. 13

Backing up a SQL Database Backing up a SQL Database: General Information This document is to assist your IT Professional in making a backup of your SQL Database. Once you have this configured and a Windows Scheduled Task set up to run these, your IT Professional will need to ensure that the Backup Solution is backing up the folder specified later in this document. If you are running Microsoft SQL Express, follow this document, to configure backups of the RFMS Database (Pay special attention to Step 6). The other versions of Microsoft SQL contain a Maintenance Option that you can configure for your backup solution. You may also use the SQL Agent on any backup software you might have. Your Local Computer Technician should perform the following steps, since it involves configuring both your SQL settings on the server and configuring and testing a backup routine. The following document discusses configuring Microsoft SQL Express 2005, modifying batch files and SQL files, running SQL Scripts, and setting up scheduled tasks. It is imperative that your computer technician not only backup to the server, but to a separate device (i.e. tape drive). RFMS is not responsible for performing daily backups, maintaining the backup schedule, or performing integrity checks of the tapes / jobs. RFMS also recommends multiple backup sets, rather than having one media and overwriting every day; as well as, testing your backups periodically to ensure stability of your Backup Solution. You Computer Technician should be able to assist with this procedure. It is imperative that you are backing up your SQL Database Properly. Failure to run the Logbackup.bat file will result in the Transaction Log File filling up the Free Space on your Hard Drive. Failure to backup in general will result in no backups to go back to in the case of a System Failure If running Microsoft SQL Standard or Workgroup, configure the Maintenance Plan to run both the Log backup (transaction) and the Full backup. Additionally, if you have a backup solution that can successfully backup SQL Databases, you can use that. Otherwise, we recommend using one of the below methods. 14

Configuring and Automating the SQL Backup 1. Go to Start Programs - Microsoft SQL 2005 Configuration Tools SQL Server Surface Area Configuration. You will get a screen like below. Choose the surface area configuration for Features. 2. You will get a screen like below. 3. Click on the Ad Hoc Remote Queries and Select Enable Openrowset and Opendatasource Support 4. Click on CLR Integration and select Enable CLR Integration 5. Click on OLE Automation and select the Enabe OLE Automation 6. Click on the xp_cmdshell and select the Enable xp_cmdshell. Then select Apply and Ok 7. It is also a good idea to Go to Start Programs - Microsoft SQL 2005 Configuration Tools SQL Server Surface Area Configuration. You will get a screen like below. Choose the Surface Area Configuration for Services and Components next and make 15

sure that the SQL Server Browser service and database engine services are both set to automatic and started. You may need to go into Remote Connections and set to Local and Remote Connections. 8. Once this section is done, you need to create two folders called Backups and Reports. You can put these anywhere you would like. The path to where you created them will be used in the next step. 9. Open the RFMS Folder and find the fullbackup.sql file and the logbackup.sql file and modify as follows. If prompted for what program to open the file with, choose notepad. Then modify the @backupfldr and @reportfldr to reflect where you want the backup to store these files. Use the path created in the previous step. Make sure that your Tape Backup Program knows to backup this folder. Do the same for the logbackup.sql file. The screen will be like below. Note: Our RFMS folder is located at c:\rfms, and we created the backup folder inside of it, so the new lines would be c:\rfms\backups and c:\rfms\reports. Once done, go to file and select save. Then go to file and select exit. 16

10. Next, you will need to look at the fullbackup.bat and logbackup.bat file. By default, it will look like below. You may need to change the.\mssqlserver to reflect your Server Name and instance if needed. For example, if you had to put ServerName\SQLExpress as the Server Name during the conversion you would put that in place of.\mssqlserver. Before Modification After Modification 11. Now launch expressmaint.sql by double clicking on the file. It should open with SQL Management Studio Express Tools. If it doesn t close it down and right click on the file. Choose Open With and choose SQL Management Tools from the list. Login using windows authentication and then once everything is loaded hit Execute. If this file is not in the RFMS folder, check your Backup folder and move from there to the RFMS folder. If it is not there or this does not launch, contact RFMS Support for assistance. 17

12. Now all that is left to do is schedule a task to run the fullbackup.bat and logbackup.bat files to back up your database. The fullbackup.bat will backup the Database and the logbackup.bat will backup the transaction logs. Set a scheduled task to run these two files. We recommend running the fullbackup.bat after hours and prior to your Tape Backup Software and running the logbackup.bat file throughout the day. This will get a backup of the Transactions through the day and assist the fullbackup.bat in data restores. These files will place the backups in the folder specified in step 9 of this document. Once done, check to make sure that they both run by right clicking on each of the backup batch files and selecting run. Then when complete check the Backups folder you created in step 8 13. Set your Backup Program to run after these backups are scheduled to run. Make sure that it is backing up the files stored in the backups and reports folder that you set in step 9, as well as, the RFMS Folder. This way you have both the SQL Database and the RFMS program files. 14. It is a good idea to check your backups and reports folders to make sure that your scheduled tasks are running when designated to run. In addition to this, it is a good idea to do a Quality Control Check from time to time of your Backup Tapes to make sure that everything is getting backed up properly. Make sure that this Quality Control Method is done in a Separate Folder than your RFMS Folder. 18

Manual Backup of SQL Database 1. Go to Start Programs Microsoft SQL 2005 SQL Server Management Studio Express. From there select connect when prompted, making sure that you have the correct name of the server in the server box. 2. Expand Databases and the right click on the database. Select tasks and backup 3. On the next screen you will see the backup options menu. Select the Database (which should default to your database). Choose the backup type, backup set name and note the location that it is saving this file to. Then select ok to run. 19

4. Then go to the location specified to make sure that it did create the file. This is usually located at C:\Program Files\Microsoft SQL Server\MSSQL.1\MSSQL\Backup 5. You should see a screen like below, click finished 20
