2 Review of NHSN Analysis Basics Objectives By the end of this session, participants will be able to: Understand the basic features of the NHSN Analysis Function Demonstrate how and when to generate a data set Explore standard NHSN-prepared reports using the output run function Explore how the output modify function can be used to personalize reports

3 Understanding the Basic Features of the NHSN Analysis Function Analysis features provide NHSN users an opportunity to utilize the data they entered into NHSN Facility data in NHSN can be correlated and analyzed using the output options Analysis section is organized by modules (i.e. Deviceassociated, Procedure-Associated, MDRO/CDI, etc.); each has standard CDC reports for quick, convenient analysis of data

5 Understanding the Basic Features of the NHSN Analysis Reports Reports may be: Modified for individual user preferences Created and saved for future use Exported to other programs (i.e. Excel, Access) Published for use by all users in a facility/system Saved in stacks (a series of different reports saved together as a package to be displayed/printed in a specific order for future use)

6 Where to Start? Generating a Data Set Creates a virtual photocopy of your NHSN data which is stored on the CDC database Each time new data is added and you want to view or print information about the data you should generate a new data set Changes made to the data set do not affect the NHSN data base Do not be afraid to use the analysis tools you will not alter your NHSN information in the database with these tools!

On your NHSN Home Page select the Analysis Function

Indicates when last date data set was generated If you have not entered any new data into NHSN since the Last Generated date, you may use the analysis function without generating a new data set (data are unchanged)

Click to generate a new data set When Generate New is chosen, a progress box will appear on the screen Generating a data set takes about 3 5 minutes If NHSN server is busy, you will receive a message indicating that you have been placed in queue; when your turn arrives, your dataset will be generated.

When a new data set is ready the new date will appear under Date Last Generated and you are ready to proceed to Output Options Once you have initiated the generation of a new data set, try not to interrupt or stop the process until it has completed

11 I ve Generated a Data Set Now What? A user can generate several types of output including line listings, frequency tables, pie charts, bar charts, rate tables, line plots and control charts using the Output Function When an output option is executed, the output will display in a separate browser window which can be printed or saved as a file on a local computer workstation To use the Analysis Module, you must enable pop-ups from NHSN on your computer!

Each sub-category can be printed as: CDC Defined Output reports created by NHSN using common variables for that topic Custom Output reports that you have created or modified previously for a category, saved both with the subcategory and under Custom Output

CDC Defined Output All pre-made options for line listings, tables, charts and graphs for the sub-category will appear

Choosing Run will create a standardized output utilizing ALL data in the system for that output (no filters will be applied to data for date, location,etc.) Useful for quick view of data or to see variables available in report

Choosing Modify will move you to the modify screen which allows you options to adjust parameters, choose variables, export data, etc.

Modify Output Screen Export Analysis Data Set this tab exports ALL (unfiltered) data associated with the module you are analyzing (it has limited practical use for most projects)

Modify Attributes of the Output lists last time data was modified and type of report File Cabinet name for output type File Name for your modified report

Output Format Choose format for report from HTML, CSV, PDF or RTF Always check box to get comprehensive labels on your final reports

Used when you want to export data reports from NHSN to spreadsheets (i.e. Excel) Exported files can be modified/manipulated within the receiving program RTF Rich Text Format Document file format developed by Microsoft for crossplatform document interchange 1 1.HTML, RTF. Potential Issues with Compatibility View 25 When completing analysis forms, the table Specify Other Selection Criteria should look like this: If your table Specify Other Selection Criteria is incomplete like the table above, you probably have an issue with your compatibility view

Fix a compatibility view issue by clicking on the Tools icon on your browser to create a drop down menu 26 Tip: your menu may differ from this example, depending on the version and browser that you are using to access NHSN Choose the option on your Tools menu which refers to your compatibility view setting

After you choose the compatibility view setting, the following box will pop-up on your screen with cdc.gov populated in the Add this website option 27 Click on the Add box and the cdc.gov will move into the Websites you ve added to Compatibility View box. Then select Close

This section allows you to filter data by selecting which variables you would like in your analysis The variable reference list (hyperlinked to table) is a helpful reference; provides descriptions of data variables

Other Options: The options displayed in this section are dependent on the type of output you are creating such as lists, graphic charts or rates Modify Variables allows you to select which variables to show in your output report. You may add, remove, or change the order of variables depending on how you want them to appear in the final report. Bottom Section of Screen

Specify Sort Variables allows you to sort data within your report (e.g. you want your report to be sorted by locations and each location sorted by date of occurrence) For best results only select one or two of these sort variables!

You may select to display reports by a specific variable per page. Examples: Reports with each individual location listed on a separate page All MDRO reports sorted with CDI, VRE and MRSA on separate pages

Output Options: Run quick view of your modified output before you further modify, save or export it. Save As Option to save your modified output in your filing cabinet under the name you chose. Reset resets your report back to the original NHSN settings Back returns you to the output options page

Output Options (continued): Export Output Data Set- allows you to export your NHSN data to another program (i.e. Excel, Access, etc.) Facilitates use of data in programs you may be more familiar with for statistical analysis and graphing Useful for sharing data with non-nhsn users within your organization Allows you to pre-format and filter data before exporting

Advanced Output Options: Save You can save your modifications as temporary reports to use in the future. Once you have saved your file under a unique name, you can find it both in My Custom Output and in the original module folder in Custom Output. Publish You can share the template that is currently open with other NHSN Users from your facility (only) by publishing it. They can find it in the Published Output folder. Note a published document can be modified and saved by another user without changing the original

37 That s all there is to NHSN Analysis Basics! Remember: Generate a new data set if you want to create output (ie. A report) and have entered new data PRACTICE! You are working with a copy of your data and won t harm the data you have entered into the NHSN database Print and use the NHSN Analysis Quick Tips form as a reference
