Instructions for sending ICIS reports to an email address. Remember you are responsible for Sensitive Information, do not email to unauthorized recipients. Option 1 is recommended for sending the report to the logged on user s personal email. Option 1 contains defaults to send the report to your email address as recorded in the logged on user s ICIS profile, this option will require less user configuration. Option 2 - Use if when sending email to an email that is not the logged on user or if there are multiple recipients OPTION 1 Instructions - Recommended when sending email to the logged on user email account 1. Locate the report in ICIS you wish to email. The report must be an existing ad hoc report found in your Favorites folders, or an ICIS Standard Report, or Shared report. In the example on the right I have chosen the Big Case Report Projected and Concluded found in FE&C National Standard Reports folder.. Select Schedule report as shown on the right. 2. After selecting schedule you will be presented with the Schedule screen. You can submit to run Now which is default or schedule for a later time. To forward the report to an email address select Destination by clicking on the Plus sign as shown to the right. Note: see Best Practices XI document for more details on scheduling
3. From the drop down menu select Email recipients as shown to the right.
4. Leave the box Use the Job Server s Defaults checked as shown to the right. This setting will email the report to the logged on users email address designated in ICIS user profile.
5. If the report to email is a Desktop Intelligence report select Excel or Adobe Acrobat format as shown on the right. DO NOT select Desktop Intelligence as a format for email, this cannot be opened in email. If the report to be emailed is a Web Intelligence report DO NOT select Web Intelligence as a format for email. NOTE: There are two report formats found in ICIS reports Web Intelligence, this is the format used by ICIS users to develop reports and used by many National Standard reports; Desktop Intelligence is used by National Standard reports - this document is using a Desktop Intelligence report in the examples. The Format prompt options for web intelligence are shown below.
6. Select the prompts (if there are prompts to the report if there are no prompts to the selected report just click on the Schedule button). Click on Modify Values button, the prompt screen will appear, enter the Prompt information and click "Apply". The screen will return to Schedule screen, Click on Schedule button on the bottom of the screen. Note: see Best Practices XI document for more details on prompt selection for scheduling
7. The History screen will appear with your scheduled report. If you look at the status you will see if it is Pending, Running or Success. If the status is Success the report in the designated format (Excel, PDF) will arrive in the designated email account(s). NOTE - if the report being sent shows a status of "Success" this means that the report has successfully executed and been sent. At this point it is out of the hands of ICIS, whether the emailed report is received or not can be determined by personal email size restrictions or spam blocking. If a report does not get thru to the email account contact your email administrator to check if there is a file size limit or if the report is blocked by a spam blocker and ask how to have icis@epa.gov put on a "white list" to allow this email to come thru. Option 2 on next page
OPTION 2 - Use if when sending email to an email that is not in your ICIS profile or if there are multiple recipients. To use Option 2 perform steps 1, 2 and 3 from Option 1 and replace step 4 with step 4 and 4a below. 4. Un-check the Use the Jobs Server s Defaults setting shown to the right. This setting will email the report to the email address designated in your ICIS user profile.
4a. Un-check the Use the Job Server s defaults, the following information will be presented and must be added manually for the report to be emailed: Enter ICIS@epa.gov in the From: box. Type in the recipient email address. If there is more than one recipient separate with a commas Enter a subject or select Title from the drop down list to the right of Subject to get the report name as a default subject. Type in a message Check the box to Add attachment and select Specific Name. In the Specific name box you can type in a meaningful name for the report that will be attached in the email or select Title from the box to the right to default with the report name. Be sure Add file extension is checked. Continue with steps 5, 6 and 7 from Option 1.
