ARC 2.0 (Automatic Carrier Rate Confirmation) ARC is an automated carrier rate confirmation that includes e-signature and enables carriers to self-dispatch & update delivery information and status The ARC is a feature of Aljex that allows the assigned line haul carrier on a shipment to e-sign a carrier rate confirmation and it creates a webpage that permits the carrier to self-dispatch and update the status of a shipment. In addition, a carrier can be required to enter certain information before signing and agree to the terms before being able to see the pickup and consignee detail. The ARC will automatically upload a signed carrier rate confirmation into the Aljex document management system, and sends alerts to the Aljex broker when it s updated. **Please note that this is a Vision Only Feature and an Aljex Customer must have E-signature & Scanning features turned on. ARC Company Settings: To access the settings for the ARC in Vision: Setup > Company Setup All fields are either ON or OFF: Y (yes) = ON or N (no) & blank = OFF The ARC settings are divided into 4 groups: 1. Fields Carrier Must Complete (fill out) Prior to Signing the E-sig. Rate Confirmation. Each setting corresponds to a field on the ARC page that will be marked with an * (asterisk) requiring the field to have information entered before the carrier will have access to the E-signature Rate Confirmation. 2. Fields that the Carrier can edit on the ARC Page These settings allow the carrier to enter pickup and delivery date and times on the ARC page. The dates and times entered will populate into ALJEX and Update the Pro. 1

3. Action Buttons These setting when marked Y will place short cut buttons to various Aljex pages such as the company s available loads page and the carrier portal at the top of the ARC page. 4. Other ARC Actions - Update Status to Loaded and Delivered: when marked Y, when the conditions are meet, the ARC will update the Status of the Pro in Aljex and update dispatch fields. - Send email notification: when marked Y will send an email to the email of the Aljex user who sent the ARC a summary report of updates made. *If Send email notification is marked N: Aljex users will only get status updates for Loaded and Delivered based on the setting of the two fields, Update status to loaded and delivered. If set to yes, user will get an update for that status. Users will always receive notification that the rate confirmation has been signed. Sending the ARC: Once a shipment is COVERED a user can create a Carrier Rate Confirmation by selecting Carrier Confirmation V1 or V2 from the Carrier Forms section on the Tag Page. 2

After selecting the Carrier Confirmation V1 or V2 a box will appear with the various output options: The ARC is located in the E-mail section of output options. *NOTE: that when selecting the ARC for a Carrier Rate Confirmation there is a $1.00 charge. The ARC can only be sent to the carrier that is the LINE HAUL carrier for the shipment *NOTE: The Carrier Confirmation sent as an ARC will Only have the Pick UP and Consignee City and State info. After the Carrier Rate Confirmation is signed the rest of the Pickup and Consignee information will be visible to the carrier. Once an Aljex User presses CONTINUE to send the ARC, the carrier will receive an email with a link to the ARC web page. *NOTE: The ARC can only be sent to one email address at a time. A) After the ARC has been sent, the tag page will update the Conf Sent: Date & Time fields on the tag page B) Once the carrier signs and submits the E-signature rate confirmation an email notification will be sent to the Aljex user. The Conf Rec d fields will populate with Date & Time on the Tag page. C) A copy of the E-signed rate confirmation will populate in the PRIVATE folder for the tag. *NOTE: If a carrier needs to be taken off a shipment and an ARC has been. You must remove the CONF REC D date and time to send an ARC to the new carrier. 3

Email Notification for the Aljex Broker: When a Carrier Rate Confirmation has been e-signed by The carrier from the ARC an email from Sertifi will be sent to the Aljex dispatcher or to the email address that was entered as the FROM email address when the ARC was originally sent. The email will contain a PDF attachment of the signed Carrier Rate Confirmation. Other Email Update notification: If the company settings: Send email notification for all updates marked as Y: The dispatcher will receive an email update each time The ARC is updated by the carrier 4

Carrier side of the ARC The carrier will receive an email with a link to the ARC page. The carrier can click on the hyper-link in the email or cut and past the URL address provide in the email into the address bar of their web browser. The ARC link will open a web page: if the Broker requires information from the carrier based on the company settings [1] the carrier will receive the following messages: 5

The required fields will be marked with an *(asterisk). Once all required fields are filled out, the carrier can press SAVE to update the information in Aljex and then the carrier will have access to sign the Carrier Rate Confirmation. Once the required information has been saved/submitted links to e-sign the Carrier Rate Confirmation will become available on the ARC Page. Clicking on one of the links to the rate confirmation will open a new tab with the rate confirmation. To sign the e-signature rate confirmation there is a space on the last page of the Carrier Rate Confirmation to enter a name and then a check box and submit button. When successfully submitted the broker will receive an email with the signed document. 6

A copy of the signed Carrier Rate Confirmation will show at the bottom of the ARC page for the Carrier along with a copy of the Carrier Rate Confirmation with full details. After the Carrier Rate Confirmation has been signed the carrier will be able to update the progress of the shipment on the ARC Page. When Date and Times are entered for arriving and departing from pickups and deliveries/consignee a check mark will appear meaning that the information has been saved and the pro has been updated in Aljex. 7

If the information entered in to the ARC is incomplete the user will receive an error message stating what must be entered in order for the update to be saved. When all pickup and deliveries are completed for the shipment the ARC page will state that the pickups and deliveries are complete. Additional Features of ARC Page buttons: Traffic Button: Will open a new tab/window to: Federal Highway Administration Website for information on traffic for the location of the pickup/delivery 8

Map Button: Will open a new tab/widow to a google map of the address of the pick or stop listed. Weather Button: Will open a new tab/window will open to Accuweather.com website with the current weather for the address entered in the pick or stop 9

Action Buttons at the top of ARC page: Action Buttons will populate based at the top of the ARC page for the carrier based on the company s settings [3]. *Please note that some action button will require additional set up, such as the Aljex Carrier Portal, please contact sales@aljex.com about subscription level requirements for activation of features. Payment Summary button: Will open a new tab/window to the carrier to the Aljex Carrier Portal *Carrier will be required to sing in to portal to view information. Upload Paperwork button: (Not currently available - coming soon) Will open a new tab/window with a list of active shipments with a link to upload documents for the selected Pro. Company Setup File (vision only) Shipments in Transit & Check Calls buttons: Will open a new tab with a list of current pros the carrier currently has in transit. - Check Call button: the user is directed directly to the check call screen for the pro the ARC page is connected to. Available Loads button: Will open a new tab/window to your company s available load page [company.aljex.com/company/avail.htm] Available Loads Bid button: Will open a new tab/window to the available bids login page. *Carrier will be required to sign in to the portal to enter a bid on a shipment. My Available Equipment button: (Not currently available - coming soon) Will open a new tab/window that will allow the carrier enter available equipment. 10
