Report and Export Options
Report Options You can filter the results of any report by hitting the Options button
You will be brought to the Report Options page We will concern ourselves with the bottom part of the screen
Contact Filters You can include or exclude only those who have preferences set on the Customer Contact tab and Credit Hold status
Report Filters The actual print or preview will indicate that filters have been used on the report.
E-mail addresses You can include only customers with e-mail addresses or only customers without e-mail addresses. This will help when mass e-mailing customers to Microsoft Outlook (which we will see later)
Phones You can include only customers with phone numbers or only customers without phone numbers. This will help when creating a telemarketing campaign.
Simple Customer List A Simple Customer List will give you the results of your report with just a few fields (and offer a variety of sorts)
Other Filters You can also choose only customers: With or without certain flag codes In certain subdivisions With source of measurement Received or didn t receive a certain letter Those with a particular NPS rating With or without certain linked document types Based on customer preferred method of contact Specific Group Billing Account
Two User s Choice Filters Filtering using Mapping Assistant or Filter by List allows you to review the results of the report and select which results will be sent to the final report, whether you print, preview or export.
Filter Using Mapping Assistant After you hit OK on a report, you will be brought to Mapping, pushpins appear representing all the results of the report, inside of zip code boundaries. However, they are Just like with invoices, you will drag a rectangle around not selected for your desired points, right click the and final output. Add Pushpins as Stops
Filter Using Mapping Assistant Also similar to the Invoice Screen s Update Route function, you can change customer information by clicking on the Update Cust. button
Filter Using Mapping Assistant Once the Done button is clicked, the report will print, preview or export only the records selected
Filter by List In a similar fashion to invoices, you can bring up the results for you to select for the final output
Notice: These filters will only work when running reports in detail (not Summaries or Grand Totals)
Report Exports Any Report can be printed, previewed, or exported. Export means to take the results of a report and put into another format.
Export Button If you click on the Export radio button, the Export Options page appears.
Different Export Types There are twenty five types of exports Let s look at each one
When Exporting to a Data File You can include a list of Neighbors (active customers who are near the records you are generating)
When Exporting to a Data File Note: You must have Mapping Assistant and have geocoded your customers to use this feature This will help when sending data to Real Green Systems for custom mailings.
Microsoft Excel When creating an Excel file, you will need to name and place the new file. Hit the Browse button (three dots)
Name File and Select Location Know what you are calling it and where you are putting it. You will need to find it later.
Click on OK On the File screen, Options screen and on the Report screen
A prompt will appear Usually the answer will be No
You are finished Now let s take a look at the file we have created
Go into Excel, open the file You will see many columns, sometimes over 50 - much more than you would get from the printed report
Two main uses: 1) Delete the columns you don t want and print (possibly on legal sized paper) Example: Export Condition Code Report and delete unwanted columns. Print and put on technician s clipboard
Two main uses: 2) Use as a data source for a Microsoft Word mail merge
Other Formats: There are several more spreadsheet type exports, all of which require you to create a file.
Export to Mapping Where are your new customers? Where are your cancels? Note: no special symbols or ungeocoded message
Export to Call Log This is GREAT for collection calls and upsells Select Call Status, Assign To, Due Date, Contact Status and any Call Notes. Exclude customers if they have had a recent call of a certain status. You must assign to someone and enter contact status OR call
Export to Post Card file When you go into Post Card printing, you will see these customers already chosen under Show List
Export to Pre-Pay/Renewal/Cancel/Reject/Pending Letter When you go into the Prepay Letter screen, you will see that the selection buttons are unavailable and the imported total is visible
You will see the preview, from which you can print the labels Export to Mailing Labels Choose the size and which address (service or billing) and hit OK twice
Export to Microsoft Outlook This will create a blank e-mail addressed to these customers (if they have e-mail addresses) in the BCC field.
Export to Info/Upsell/Nature Note Choose the letter and the setup from parameters will pop up. When you hit OK from report page, they will start printing.
Export to PDF file You will need Acrobat Reader (download free from the internet) to view these files, which are just pictures of the report. You must name and place the PDF file, just like the Excel file.
Export to PDF via Outlook You may be prompted to authorize the sending of this e-mail You will be attaching the file to an e-mail recipient of your choosing. Add a subject line and message.
Export to Mass Service Utility When you open up the utility screen, and check Use an existing file, the number of imported customers appear and the selection criteria disappears
Export to Customer Action Sheet Click on Use an existing file
Export to Customer Search Screen After hitting OK you will be brought to the Customer Search Screen. You can scroll through the records with your navigation bar arrows. If you escape, you can Recall Last Customer Search Export from the Customer menu
Add/Remove Customer Flags Create a flag code in parameters, then add it to the customers from You can later this report run another report (or invoices), getting only those with or without this flag code.
Export to Referral Letters You can export customers (usually estimate status) to the referral letter, which will print a letter to those people listing the addresses of neighbors who are active customers

Add Holds You select a group of customers to be put on hold for a designated reason, start date, and end date using this option. Perfect for placing a large group of customers on hold as in the beginning of the season.
Master to Linked Document Very powerful tool can create custom documents for each customer in your export. Attend Master Documents session for more details.
NPS Report If you enter Net Promoter Score ratings from your customers, you can analyze the results using any regular report.
