ADVISER INFORMATION TAL ADVISER CENTRE Search and Reporting Whether you re searching for a client or policy, viewing requirements or generating a Certificate of Currency, TAL Adviser Centre search and reporting puts this at your fingertips. Search my business The TAL Adviser Centre homepage provides a centralised search capability for all your TAL business, through Search my business. Key features: Search by Policy or Reference Number Quick search and Advanced search options Refine results by Category, and other criteria depending on your selection Search across your TAL business or segment by Quotes and Applications, or Policies. Quotes & Applications Search The Quotes & Applications category offers the flexibility to search across those transactions, including: Last 10 modified quotes and applications New and Existing Business Quotes Applications Incomplete, Applications Submitted and Teleinterview applications Archived records Expired. Quick Search To find policies faster, you can use the Quick search options. Here you can quickly search for policies with a status of Proposal, Renewal and Overdue. All my business Search The All my business category offers a client-centric search capability across your TAL business. Simply enter your client s First Name or Last Name under the Advanced search option, to return results for quotes and applications, and policies. Figure 2: Quotes & Applications search Quotes & Applications also gives you instant access to: Resume a New Business Quote or Existing Business Quote by selecting a Reference Number link Archive quotes and applications by selecting the applicable tick boxes and clicking Archive Download and print the following PDF summaries: Q Quote Illustration A Application Summary L Life Insured Application Summary* D Declaration & Authority (note: will not be available when using the electronic signature option) *Only available when a Life Insured email has been provided during the online application. Policies Search The Policies category enables you to search by selecting a status, as follows. Any Status Search all policies with a status of Proposal, Inforce, Renewal, Overdue or Lapse. Proposal Search policies with administration or underwriting requirements. Inforce Search policies with a status of Inforce, Renewal or Overdue. Renewal Search policies due for renewal in the next four weeks. Overdue Search policies that have passed their renewal date and are now overdue. Lapse Search policies that have lapsed benefits or those that have fully lapsed. The Policies search gives you the ability to: Select multiple records using the tick box and clicking View Summary to activate the Policy Summary Download and print PDF summaries, as follows: R Proposal Requirements P Policy Summary C Certificate of Currency Policy Summary The Policy Summary enables you to view a snapshot of your client s policy details. The Policy Summary shows Life Insured details such as name, date of birth, annual premium and smoker status. You can view policy information including: Benefits View policy benefit details and directly access the Existing Business Quote to make increases or decreases to Accelerated Protection policies. Conditions View policy benefit conditions including loadings and exclusions, if applicable. Lapses View the lapse benefit transactions. Requirements View requirements received by TAL, or if outstanding, the number of days in progress. Payment Details View payment details including premium, payment method, payment frequency and billing date. Correspondence View available correspondence sent to you or your client. By selecting the Print Summary button, you can download and print the Proposal Requirements PDF or the Policy Summary PDF. Figure 3: Policies search, filtered by name Policy commencement During the online application you can opt to commence a policy at a time that suits you and your clients. You can identify these policies when you search by Proposals. They will be indicated by an exclamation mark icon in the Activity column:! Policy pending further requirements! Policy ready to commence To begin with, the icon will be in yellow meaning the policy is pending further requirements. Once all requirements have been received, you can commence a policy by simply clicking on the green icon. Figure 4: Policy Summary screen Next Activity option Under the Policy Summary tab you can access a Next Activity option. This button allows you to access a number of selfservice options on a policy. TAL Reports TAL Reports is accessible from the TAL Adviser Centre home page and offers a comprehensive policy reporting capability to enable you to analyse and report on your TAL business. Proposals Access all policies with outstanding administration and underwriting requirements in PDF format. Policy Summary Download a comprehensive listing of in-force policies for your client base, including those due for renewal or any with premiums overdue. Renewal View policies that are due for renewal within the next four weeks. Overdue View policies that have an overdue payment, including dishonour payments. Lapse View details for recent lapses, cancellations, premium decreases and reinstatements. Frequently Asked Questions 1. Quote & Apply and Existing Business Quote (EBQ) 1.1 What does the tick box do in the results list for quotes and applications? The tick box enables you to select one or more records. Selecting the tick box at the top of the table selects all the tick boxes in the results list. Use the tick box and click Archive or Unarchive to filter the records returned in the results. Please note that when records are archived or expired they will not be displayed when searching the Category Quotes & Applications and the status of All. To find these records use the status of Archived or Expired. 1.2 How do I generate an EBQ using Life Insured name or Policy Number? There are three ways in which you can generate an EBQ. 1.4.1 You have your client s existing policy number at hand: Enter a policy number and hit Search by number Once a policy is displayed, if eligible for an EBQ, you can click the policy number hyperlink Your client s current details and the EBQ function will be displayed. 1.4.2 You know your client s first or last name: Under Category select Policies Then from Status select Inforce Add a First name or Last name and hit Search Details will be displayed with a hyperlink for each result that matches your search If eligible, click on the policy number hyperlink and the EBQ function will be displayed. 1.4.3 You know your client s details and have their Policy Summary displayed: At the bottom of the Benefits screen is a link to EBQ 1.3 How do I find quotes already created as an EBQ? There are three ways in which you can find quotes created as an EBQ. 1.3.1 You have your client s Reference Number at hand: Enter a Reference Number and hit Search by number Once your client s quote is displayed, with a status of Existing Business Quote, click on the Reference Number hyperlink to open the quote. 1.3.2 You have your client s policy number at hand: Enter a policy number and hit Search by number Once your client s policy is displayed, all existing quotes for that policy will be displayed, those with a status Existing Business Quote To open the quote, click on the Reference Number hyperlink. 1.3.3 You know your client s first name or last name: Select Quotes & Applications from the Category drop-down Select the Existing Business Quote status Refine search criteria further using date range, your client s first name or last name and hit search Details will be displayed with a hyperlink for each result that matches your search criteria Click on the reference number hyperlink and the Existing Business Quote will be displayed. 2. Search my business 2.1 When I search by entering a Policy or Reference Number what does the tick box do in the results list? The tick box enables you to select the records you wish to view. For a Policy Number, use the tick box and click View Summary to activate the Policy Summary. For a Reference Number, use the tick box and click Archive or Unarchive to filter the record from the results. Please note that when records are archived or expired they will not be displayed when searching the Category Quotes & Applications and the status of All. To find these records use the status of Archived or Expired. 2.2 When I search All my business or Policies what does the tick box do in the results list? The tick box enables you to select one or more of the records. Selecting the tick box at the top of the table selects all the tick boxes in the results list. Use the tick box and click View Summary to activate the Policy Summary. 2.3 When I search Quotes and Application with the status of Expired why am I unable to open the record? Quote and Applications have a status of Expired due to the Stronger Super changes introduced 28 June 2014. The reference number hyperlink has been disabled so that you cannot complete business that is not compliant to the Stronger Super changes. 2.4 What does a search status of Proposal find? When searching the Category Policies with the status Proposal the results returned are for policies before they go Inforce and detail requirements for that policy. 2.5 The Search button does not work? Some of the searches require a minimum of first name or last name or date range to enable search. If you need a full listing of policies we recommend using TAL Reports. 2.6 What do the icons mean? Pending policy commencement requirements! Ready for policy commencement (this icon will also show when a policy commencement is in progress) 4.1.3 You have your client s existing policy number at hand Enter a policy number and hit Search by number Once your client s policy is displayed, select the R icon to download and print the Proposal Requirements PDF The results list displays the total number of days the policy has been in progress. 4.1.4 You know your client s first or last name: Under Category select All my business or Policies with a status of Any Status or Proposal and hit Search Once your client s policy is displayed, select the R icon to download and print the Proposal Requirements PDF. You also have the option to print this from the Policy Summary screen. 3. Policy details 3.1 How do I generate a Certificate of Currency? A Certificate of Currency is only available for Policies with a status of Inforce, Renewal or Overdue. If you have a policy number at hand, enter and hit Search by number. You can also select the All my business or Policies categories, add in your client s first name or last name and hit Search. Once your client s policy is displayed, select the A icon to download and print the PDF. 3.2 How to I view and print a Policy Summary? If you have your client s policy number at hand, enter it and hit Search by number. You can also select the All my business or Policies categories, add in your client s first name or last name and hit Search. Once your client s policy is displayed, select the P icon to download and print the PDF. You also have the option to print this from the Policy Summary screen. 4. Accessing Proposals / Applications in progress / outstanding requirements 4.1 How do I access Proposals? Proposals are outstanding requirements, and replaces Applications in progress. There are a four ways you can access Proposals. 4.1.1 Perform a Quick Search From Search my business click on the Proposals button from the Quick search The results list displays all policies with a status of Proposal. 4.1.2 Access a full listing from TAL Reports Go to the TAL Reports tab from the homepage and select the Download PDF from the Proposal column in the table. 5. Reporting 5.1 How often is the TAL Reports data updated? The data for the reports is updated on a daily basis. There may be certain times when processing restrictions prevent the reports from being updated daily. 5.2 How is the data sorted in the Microsoft Excel exported from TAL Reports? The Microsoft Excel reports sort by Policy Number, ascending. 5.3 In TAL Reports I have selected to filter Proposals by Adviser Number, but it does not work? The Proposal PDF is generated using the Authorised Representative number, so you are unable to filter by Adviser Number. 5.4 Where do I view the Policy Renewal Report in MS Excel? The Renewal Report is available in MS Excel format from TAL Reports, accessed from the TAL Adviser Centre homepage. 5.5 How do I view the Policy Renewal Report in PDF? We no longer provide a PDF version of the Policy Renewal Report. The Renewal Report is available in MS Excel format from TAL Reports. 5.6 Will I be sent a Renewal reports? Renewal reports for risk insurance products are no longer emailed or faxed to advisers. Overdue and lapse notifications will continue to be emailed or faxed, as will renewal notices for Investment products. 5.7 What does the Renewal Report include? TAL Reports provide access to Renewal data for four weeks into the future. TAL Adviser Centre Search and Reporting 5

5.8 What does the Overdue Report include? The Overdue Report lists all policies that have an overdue payment, including dishonour payments, at a given point in time across TAL s product portfolio. Definitions used in the report include: Overdue Amount the amount that the policy is in arrears. Expected Lapse Date the date the policy is scheduled to lapse if payment is not received. For Investment policies the expected lapse date could represent either the date the policy is scheduled to lapse because all benefits have been eroded; or status changes from contributing or non- contributing causing contribution reminder notices to no longer get sent out. 5.9 How do I view the Overdue Report in MS Excel? The Overdue Report is available in MS Excel format from TAL Reports, accessed from the TAL Adviser Centre homepage. 5.10 What does the Lapse report include? The Lapse Report includes details for recent lapses, cancellations, premium decreases and reinstatements. Lapse shown as negative; transactions where the benefit has gone out of force. Reinstatement shown as positive; transactions where part or whole benefits that lapsed or decreased have been reinstated. Decrease shown as negative; transactions where a benefit has had a reduction (such as Sum Insured reduction) and therefore a reduction in the Annual Premium. 5.11 How do I view the Lapse Policy Report in MS Excel? The Lapse Report is available in MS Excel format from the TAL Reports screen, accessed from the TAL Adviser Centre homepage. 5.13 How much information is available for the Lapses Report? Data can be requested from 1 July 2010. Due to processing restrictions the most recent data available is delayed by two business days. t5.14 Why is the Sum Insured for the income protection benefit too high/too low? When viewing the Sum Insured for income protection benefits, the value of the benefit is based on the payment frequency which can be fortnightly, monthly or an annual amount depending on the product. Refer to the relevant Product Disclosure Statement to determine the benefit payment frequency or contact the TAL Adviser Service Centre on 1300 286 937 for more information. 5.15 Why do some policies have multiple policy owners but the report only shows one policy owner? For some products we are only able to display the first policy owner on the report. The correct information will show on the correspondence sent to your clients. 5.16 Why is there a difference between the total policy premium and the sum of each benefit premium listed in the report? The difference is because: Stamp duty and / or policy fee are not included in the benefit premium but are included in the total policy premium; and/or Other benefits that have premiums associated with them are not listed in the report such as premium waivers. 5.12 How do I view commission statements? Commission statements are accessible from the TAL Reports screen. Please note this function is only available when approved by an authorised Dealer Group.
