In this pack you will find everything you need to get your tenancy documents signed, returned and your rent & deposit payments set up. Within this pack you will find the following: Resident Information Card This needs to be fully completed by the student and a recent passport sized photo attached. Instructions on How to Complete the Tenancy Letter Please read this before signing your tenancy letter to ensure they are signed correctly. Tenancy Letter x 3 Copies There will be one copy for the Landlord (Unite Students), one for the Customer and one for the Guarantor, please sign and return all three copies for the Landlord to sign. Rent Payments: Direct Debit Form (UK ONLY) Please complete this form so we can set up Direct Debit payments for your rent. The rent amounts and payment dates are stated within the Tenancy Letter. Direct Debits can only be set up from UK Visa Debit Cards. CCRA Form (INTERNATIONAL ONLY) Please complete this form if you don t have a Debit Card to set up Direct Debit and you wish to pay your rent in instalments. Bank Transfer Instuctions (INTERNATIONAL PAYMENTS ONLY) These instructions are for use only when the above two methods of payment can not be followed. Deposit Payment: You will be required to pay a 250 security deposit to secure your booking with Unite Students. You will receive a Deposit Payment Form within your tenancy documents that you will need to complete, we will take this payment when we process your tenancy agreement. During your stay with us this will be protected by the Tenancy Deposit Protection Scheme. Instructions of How to Complete the Tenancy Letter Page One Enter your details in the yellow highlighted areas. Every highlighted section must be completed as we need this information to be able to complete your booking. Please complete the information on all three copies of the tenancy letter (Landlord, Customer and Guarantor) Don t forget to enter the flat and room number you have been allocated. Page Two This page outlines the payment options available to you for your Rent Payments. Select which option you would like to pay your rent in by ticking Option A, B or C. UK Students have the option of paying the rent in 1, 3 or 6 instalments. If no option is selected it will default to option B (3 instalments, as the dates of these payments are in line with most UK student loan dates) Don t forget to complete the Direct Debit Form so we can set up the rent payments. INTERNATIONAL Students have the option of paying the rent in 1 or 3 instalments. Don t forget to complete the CCRA Form so we can set up the rent payments. If you wish to pay the rent by Bank Transfer please ensure you include the receipt when you send your tenancy letter back Instructions of how to make a Bank Transfer Payment are on the next page. Page Four This is the signature page which needs to be signed by the Tenant, Witness and Guarantor. Please complete all the sections highlighted in yellow The Tenant and Guarantor both need to sign this section, each with a witness, who must be present to witness the signatures. You do not have to have the same witness for both Tenant and Guarantor signatures. Please sign all three copies of the tenancy (Landlord, Customer and Guarantor) and return all three copies to Sheffield Hallam Accommodation services. 3
Bank Transfer Instructions: If you do not have a Debit or Credit Card, Bank Transfer Payments can be made to Unite Students for rent and deposit payments. If you are making an annual rent payment by Bank Transfer you may also pay your deposit in the same Bank Transfer. If you chose to pay by Bank Transfer, the payment must be made before you check in. Please enclose a copy of your bank transfer receipt with the tenancy documents you send back to Sheffield Hallam Accommodation Office. Frequently Asked Questions: Where can I find out when my Tenancy starts? Your tenancy start date is shown on the 1 st page of your Tenancy Letter. When can I move in? For Central Quay, Devonshire Courtyard, Leadmill Point and The Anvil there will be two designated Check in Weekends on the 12 th & 13 th and 19 th & 20 th September 2015. For The Forge and Exchange Works, there will be one designated Check In weekend which will be the 19 th & 20 th September 2015. If you can t make it on the check in weekends, that is fine, you can come during the week on any day on, or after, your tenancy start date, if you will be arriving outside of 9am-5pm office hours please call 0300 303 1611 to arrange for someone to meet you at the property. Please make sure you don t arrive before the start date on your Tenancy Letter as we will not be able to release your keys before this date. How much is the deposit & how do I pay this? The deposit payment is 250 and this will secure your booking, this will be protected by the Tenancy Deposit Protection Scheme for the duration of your stay with Unite Students. You will receive a Deposit Payment Form within your tenancy documents that you will need to complete, then we will take this payment when we process your tenancy agreement. Please note, you will need to make this payment before you check in. When will my first rent instalment be due? The first rent payment will be due on 20 th October 2015. How do I decide how many rent instalments to choose? If you want to pay the rent all at once and have the funds to do so you should choose Option A. (Please note the UK student loan is paid out in three instalments) If you intend to pay for your rent from your student loan, you should pick Option B as this option is timed to be paid after the dates each UK Student Loan Instalment. This is the option most of our UK students opt for. If you will not be paying the rent from your student loan and would prefer monthly payments you should consider Option C (this option is available to UK students only) Do I have to pay extra money for bills? Unite Students rents are all inclusive of 25Mb Wifi Internet, Electirity and Water. The only bill our rent does not include is TV Licence fee, you would need to purchase a TV license if you will be watching TV in your bedroom or kitchen. What does being a Guarantor mean? By agreeing to be a Guarantor you are signing a legal document stating that you agree to pay the rent and guarantee the behaviour of the resident if they default. Please do not sign this agreement if you do not wish to take on this responsibility. Is Car Parking available? Limited car parking will be available onsite for the Check In weekends at all properties, apart from Devonshire Courtyard and Exchange Works, where you will need to park on street. If you require car parking for the duration of your tenancy, we do have Car Parking Spaces available for a fee at The Forge, Central Quay and The Anvil, please contact the property directly for details about renting a car parking space for the academic year.
