ZIP Most of Lotus Notes attached files are highly compressible using Zip compression. Unfortunately, Notes users never take the time to Zip their attached files. This results in a massive waste of network bandwidth, Domino server disk space as well as of backup and archive server disk space, and in slow replications. In many circumstances, it would also be prudent for the email senders to protect their Lotus Notes attached files against unwanted access, particularly when sending them to outside recipients on the internet. Since no such integrated feature is available in Lotus Notes, attached files are always sent unprotected, even when they should not. ZipMail Answers: ZipMail provides the Lotus Notes Client with onthe-fly automatic and transparent Zip compression and decompression features. Attached files are zipped on-the-fly, at the time the users attach them to their Notes emails and documents, with no need for any additional user specific action. Transparent decompression of the Zip attached files is also provided, making the Viewing, Saving and Opening of the Lotus Notes Zip attached files fully transparent. ZipMail also provides optional fully integrated standard and AES-256 Zip password-based attached file encryption and decryption features. ZipMail Benefits: 35% to 45% or even more, reduction in Lotus Notes and Domino needs for network bandwidth and storage Lotus Notes and Domino email traffic and storage usually consist of more than 90% of attached files. Zip compression delivers huge volume reduction on most attached files, up to 90% or even more on certain file types. The huge reductions in Notes network and storage needs achieved by using ZipMail convert into major and recurring savings on your Notes budgets, as well as in major performance and user satisfaction improvements for your Notes organization. With each Lotus Notes user consuming fewer resources, you can also host many more Notes users on your existing Notes IT infrastructures. 100% automatic and transparent Zero additional actions are required to the Zip- Mail users in order to Zip their attached files. Also, zero additional actions are required to the ZipMail users in order to View, Save or Open Zip attached files. For recipients not having ZipMail installed on their computers, ZipMail Zip files are 100% standard Zip files and are shown by Windows as standard Windows folders containing the compressed files. They can also be opened by any other Zip utility. Optional attached file password-based standard Zip Encryption and strong AES 256 Encryption With ZipMail, Lotus Notes users now have a fully integrated solution to password-protect and encrypt their attached files when needed. Since 1995, the huge cumulative experience of a more than 6 million user base With more than 6 million users, ZipMail is based on an incredible and unique customer as well as developer experience. Through more than 130 optional parameters (you don t need to know them if you don t want to) enabling to configure attached file restrictions and policies as well as strong attached file encryption, ZipMail delivers an incredible added value going far beyond the Zip compression of the Lotus Notes attached files. 1

XML Microsoft Office 2007 and 2010 XML files (DOCX, PPTX and XLSX) cannot be significantly compressed using Zip compression. The reason is that DOCX, PPTX and XLSX files are already compressed internally. Thus, volume savings obtained by Zipping Microsoft Office 2007 and 2010 XML files are very moderate. ZipMail Answers: New native XML file volume reduction techniques have been implemented in ZipMail in order to make it able to significantly reduce the volume of the Microsoft Office 2007 and 2010 XML files. Using these new and innovative techniques, ZipMail now provides the Notes Client with transparent on-the-fly Microsoft Office XML file (DOCX, PPTX, XLSX) native volume reduction features. The ZipMail XML file optimization occurs transparently when attaching Microsoft Office DOCX, PPTX or XLSX files to an email. There is no need for any additional user specific action. The new ZipMail XML file volume reduction features applies natively to the DOCX, PPTX and XLSX files (the resulting files remain as native DOCX, PPTX and XLSX files, but made significantly smaller by ZipMail). 100% automatic and transparent for the senders When switched-on, the ZipMail XML optimization automatically and transparently applies (with no need for any additional user action) on any Microsoft Office XML file (DOCX, PPTX, XLSX) attached to Notes. Users select their files to attach as usual (using the paperclip button or dragging and dropping them to their Notes emails or documents) and ZipMail automatically optimizes the Microsoft Office XML files with no question asked. As usual, many ZipMail parameters are available to configure this new XML file volume optimization feature (for instance to optimize only some XML file types and to avoid Zip-compressing the resulting optimized XML files). 100% transparent for the file recipients: optimized XML files remain as XML files! Since the optimized XML files remain as XML files (for instance an optimized PPTX file remains as a PPTX file), the ZipMail XML optimization feature achieves the maximum possible level of transparency in terms of volume reduction for attached Microsoft Office XML files. There is simply no need for any particular software other than Microsoft Office on the recipient computers. ZipMail Benefits: Significant volume reduction of Microsoft Office XML (DOCX, PPTX, XLSX) attached files Lotus Notes and Domino email traffic and storage usually consist of more than 90% of attached files. The average volume reduction obtained with ZipMail on a set of several hundreds of Microsoft Office XML files of all types randomly downloaded from various web sites is over 50%. 2

PDF Notes customers worry more and more about how easy it is for the recipients of the emails sent by their Notes users to modify Microsoft Office attached files, even by accident. This question being particularly critical regarding the external recipients. They report that most of the attached files sent do not have to be modified by their recipients and that it is even sometimes really critical for business and legal reasons that the attached files sent are not modified by their recipients. ZipMail Answers: ZipMail now provides on-the-fly optional and configurable PDF conversion feature. The new ZipMail PDF conversion feature can be applied in a single click, by checking a PDF checkbox added to the attached file selection dialog of Lotus Notes or present in a dialog optionally displayed when dragging and dropping files to attach that could be converted to PDF. The ZipMail PDF conversion feature requires MS Office 2007 or MS Office 2010. ZipMail Benefits: Preventing emails recipients to modify the attached files Contrary to Microsoft Office files, PDF files are not easily modifiable (this simply because most of the users have no application enabling to modify PDF files installed on their computers). ZipMail, by offering the option to convert, onthe-fly, MS-Office files to PDF files at the time they are selected to be attached to an email, greatly helps the Lotus Notes users to achieve better handling of their email attached files as well as a more professional email usage in numerous circumstances. All this by doing a single click on the PDF checkbox added by ZipMail to the Lotus Notes client attached file selection dialog. Solving MS-Office 2007 and 2010 XML file compatibility problems PDF conversion provides an elegant solution to the compatibility problems between Microsoft Office 2007 and 2010 XML Files (DOCX, PPTX, XLSX) and previous versions of Microsoft Office (supporting only DOC, PPT and XLS files) or other programs the attached file recipients may use to open these XML files (like Open Office etc ). Since the PDF format is a universal standard and Acrobat PDF reader being available for free on many platforms, PDF files can be easily displayed by any recipient (even on mobile devices or non- Windows computers), including by recipients not having any Microsoft Office 2007 or 2010 installed on their computers. Providing another way to achieve significant attached file volume reduction The content of the PDF files produced by ZipMail is compressed internally (the compression of the internal content of the PDF files is fully transparent to the users). This makes a PDF file resulting from the conversion of, for instance, a DOCX file, generally smaller than the original DOCX file (and significantly smaller in cases where the original DOCX file includes pictures, company logos or screen shots). This is a positive side effect attached to the ZipMail PDF conversion feature. 3

PICT Lotus Notes users frequently attach large picture files (like pictures coming from multi-megapixel digital cameras and screen shots) to their emails. Most of these large picture files (like JPG, GIF, PNG files) are generally already compressed internally and Zip compression cannot significantly reduce their size. Large picture files consume significant amounts of network bandwidth and Domino server (as well as backup and archive server) disk space. Replication of these large picture files takes time. The dimensions of these large pictures frequently exceed the size of the user display. They must be zoomed out to be fully displayed, adding both wastes of user time and of your IT resources. ZipMail Answers: ZipMail now provides configurable on-the-fly automatic and transparent native volume optimization for all picture files attached to Lotus Notes emails and documents. The ZipMail picture file volume optimization occurs transparently when attaching a picture file (JPG, GIF, PNG) to an email. The resulting optimized attached files remain as picture files (JPG). ZipMail Benefits: Significant volume reduction of usually non Zipcompressible picture files ZipMail is now able to significantly reduce the size of all attached picture files that could not have their size reduced when zipped. Users select their files to attach as usual (using the paperclip button or dragging and dropping files to their Notes email or document) and the picture files get optimized with no question asked. As usual ZipMail parameters are available to configure this feature (for instance to apply it only on some picture file types, to tune the optimization and to avoid Zip-compressing the resulting optimized picture files). 100% transparent for the file recipients: optimized picture files remain as picture files! Since the optimized picture files remain as picture files (an optimized JPG file remains as a JPG file) the ZipMail picture optimization feature achieves the maximum possible level of transparency in terms of volume reduction for attached picture files. There is simply no need for any particular software other than the usual picture file viewers on the recipient computers. Making user life easier with large picture files Attached digital camera pictures have generally very large dimensions, which exceed by far the dimensions of typical user displays. To view them in full, recipients have to lose time zooming out. ZipMail includes parameters to automatically reduce the dimensions of large picture files (for instance to 2/3 of the sender display size or to given maximum fixed width and height) at the time the files are attached by the users. These options not only provide huge volume reductions, but also make the viewing of the large pictures more straightforward for their recipients. 100% automatic and transparent for the senders, zero user action required When switched-on, the ZipMail picture file volume optimization automatically and transparently applies (with no need for any additional user action) on any attached picture file. 4
