New Case File - Part 1 of 5 Existing Files Screen MBOnLine works on a Case File principle, a file should be created per transaction and all searches relevant to this transaction should be ordered from this file. When you logon you will enter the EXISTING FILES screen. This page lists your current files and allows you to create new files. The set up is similar to a filing system with 2 tabs across the top of this screen. The first tab, Open Files shows your draft or in progress files. If this is your first time in your account you will have no existing files. The second tab, Closed Files, shows all files which have been closed off. If show legend is clicked an Actions Legend will automatically pop up on the existing files screen. This explains the icons which are located under the ACTION heading. New Case File - Part 2 of 5 Create New File To submit a new search click the CREATE NEW FILE button at the top right hand of the page. MBOnline Guide 4
New Case File - Part 3 of 5 Assigning a File Reference You will then be presented with a pop up window named Subjects to Search. Mandatory fields are indicated in red. At this point you must choose a unique File Reference number for your search. The reference can be anything you wish but we recommend that it bears reference to the client and the accounting reference as this will appear on your invoice. MBOnline Guide 5
New Case File - Part 4 of 5 Subjects to Search Each case file requires an address. If the request is not relevant to a property transaction we recommend that the words not required are input into the Number/Name & Locality or Town fields (e.g. Number/Name Not Locality or Town Required ) For example this may be relevant for a Company Search which does not relate to a property transaction or a Personal Search that relates to a potential court action. You also have the option to input the property address details for a property transaction or the registered office details (when ordering a Company Formation). MBOnline Guide 6
New Case File - Part 5 of 5 Address Search You do not need to enter the complete address, simply a section of the address. The fields indicated in red are required fields. Try the property name/number, the Locality or Town, and the postcode, then click LOOKUP ADDRESS. A list of the closest matching properties will be displayed as shown above The search will show the top 100 matches. However, normally you will only find 1-5 results matching your property. If the required address is not returned, click CLOSE and try altering your initial search criteria. Choose the correct address from the list by clicking on it. Once you have entered your reference click CREATE NEW FILE. MBOnline Guide 7
Address - Part 1 of 2 New File Screen You are now in the Selected File screen, your address details will appear on the right hand side of the screen, you are now in the processes of creating a new file. The left hand side of the screen displays the File Information which can be changed at this stage (if required) by clicking on the EDIT button. Underneath Applicant Information details your company information and this is specific to your user name and password. If this is incorrect please call our Helpdesk. The right hand side of the screen displays the Subjects to Search section. If your address is incomplete or you need to add an address click the EDIT button. A pop up screen will appear. Select Search - Part 1 of 2 Selecting your Searches You are now ready to begin selecting the services you wish to submit. To proceed to the list of available services click the ADD SEARCH button. MBOnline Guide 10
Select Search - Part 2 of 2 Choose Search Type This screen lists all the service available on MBO. You are able to attach any of these products or services by clicking directly on the link, this will take you straight to the completion form for the service selected. We will demonstrate the process of how to do this with a Legal Report Service Request. MBOnline Guide 11

This can be carried out by checking the relevant radio button. Now we are ready to add the full names and addresses of the people to be searched in the Register of Inhibitions Adjudications and Insolvencies. To add the Personal Search details click on the ADD button relating to a persons name or a company name (if required) For this demonstration we will enter both an individual and a company. Enter the first name to be searched in the top line Any other variations of the name /or former names must be added in the otherwise section The address(es) relating to this person should then be added in the section below (including a POST CODE) All names will be searched for 5 years to date of certificate unless otherwise specified - additional periods for searching can be added in the free format text box below. Legal Report Service Enquiry - Part 6 of 10 Selected File - Legal Report completion Adding personals Company A pop up screen will be displayed relating to any companies that have to be searched in the Register of Inhibitions and Adjudications. Enter the company name in the top line At the present time searches in the Register of Insolvencies do not include searches against Limited Companies. An insolvency search against a Limited company can be obtained through ordering a Company report only. Any change of names to the company must be added in the otherwise section click for next slide The registered office or trading address relating to this company should then be added in the section below (including a POST CODE) In line with the persons names companies will be searched for 5 years to date of certificate unless otherwise specified. It is possible to select an Agricultural Tenants Interest (ATI) search, a Community Bodies Interest (CBI) search or a combination of the two. Just select the relevant button. MBOnline Guide 19
Legal Report Service Enquiry - Part 9 of 10 Selected File - Legal Report completion Date Required We are just about finished adding our service request details for a Legal Report, all we have to do is provide the date the Legal Report is required on and supply any additional or alternative method of delivery that you may require. The default delivery is of course electronic. Enter the date required manually in dd/mm/yyyy format or alternatively click on calendar to select date.a pop up box appears with a calendar, using the arrows at the top of the calendar you can scroll through the months and the years. By clicking on the date you require - the date required field is populated MBOnline Guide 20
Legal Report Service Enquiry - Part 10 of 10 Selected File -Legal Report completion Alternative Delivery Method Check the additional delivery method you require by ticking the appropriate check box. If you require the fax sent to an alternative number, not the number detailed under your Applicant details enter the number in the Alternate No. field. Any additional instruction can be provided in the Other Instructions field directly under the delivery method. Searches requested - Part 1 of 1 Selected File Page Searches Requested The Legal Report service request is listed as a DRAFT search under the STATUS. You will also notice icons listed underneath the ACTION header. This allows you to CHANGE, EDIT, DELETE, CREATE A PDF or SUBMIT your requests. This facility will be shown in more detail over the next few pages The facility also allows you to select multiple services relating to the one property transaction. MBOnline Guide 22
Create a PDF - Part 1 of 2 Create a PDF Users can create a PDF version of the request for printing, emailing or storing. To create a PDF select the Adobe icon (listed under Actions ). MBOnline Guide 23

Add a Plan - Part 2 of 3 This screen lists the different methods for sending a plan. You can send the plan by post or fax and provide a notification of this by clicking the tick box. There is also a box for entering a Further Property Description The final option is to attach a plan. A plan can be in a number of formats: GIF, JPEG, Word Document or a PDF file. Simply tick the check box and Browse for the relevant file. Additional attachments can be submitted by email. Select Save when satisfied. MBOnline Guide 26

Single Submit - Part 1 of 1 Single Submit To submit a single search item from the draft searches list, select the S icon. This option will submit the selected request to Millar & Bryce while leaving the others in DRAFT status. MBOnline Guide 29
Submit Services - Part 1 of 2 To submit all draft searches listed select SUBMIT DRAFT SEARCHES. You will be asked to confirm the submission of these searches. Click on OK. The Search(es) will then be sent to us. Or you can press cancel if you require to edit your file. MBOnline Guide 30

Viewing Electronic Response - Part 1 of 3 There are 2 response alternatives available to users; 1. A notification email will be sent to your email address to inform you that a response is available. When you are ready logon to your account and download the reply 2. A PDF of the completed service request can be attached to the response email Should you wish to change the way you receive completed service requests please contact our help desk. On the web site this will be shown as COMPLETED in the status area. Electronic responses vary in time: MBOnline Guide 33
Viewing Electronic Response - Part 2 of 3 If a search response is available it will be shown as Completed in the Status area. The request number is your file reference number for this search, this number will need to be quoted when calling our helpdesk To view your electronic response times simply click the icon under Actions. Viewing Electronic Response - Part 3 of 3 Your search response is created by Millar & Bryce as a PDF file. This requires Adobe Acrobat Reader to view a free download can be obtained from our site (follow the link below the file name) To View Left click on Click Here to View PDF version and a new page will open displaying the results. Hint: if the page is blank click the refresh button on the blank page. To Save Right click on the name and a list will appear. Click on Save Target As and you can save the document to your computer or network. MBOnline Guide 35
Log Out - Part 1 of 2 If you have finished submitting all your searches for the day, log out of your account by clicking on LOGOUT at the top right hand side of the page. Please note that if you do not use your account for 2 hours you will automatically be logged out. This is done for security reasons. MBOnline Guide 36
FAQ s Q: Do I need any additional software to connect to MBOnline? A: Not usually, all you need is a PC (or Laptop) with a basic Internet connection and either Internet Explorer 4.0 or Netscape Navigator 4.0 (or later) and Adobe Reader. However, for ease of use and for greater numbers of users a faster Internet access is advisable (ISDN, ADSL, broadband). To download the search results Adobe Reader is required. Adobe Reader is free, universal software that lets you open, view, search and print Adobe Portable Document Format (PDF) files.
