Introduction E-mail is one of the most widely used communication tools in today s business world, and is essential to maintaining open lines of communication between employees, customers and suppliers. Knowing the importance of e-mail to the success of our business customers, Bell offers you a suite of e-mail features providing you with greater security and more flexibility when managing your e-mail accounts. You ll find in this user guide information on how to use and configure these different features. 1. How do I access my e-mail account from Webmail? 1. Access your e-mail account by visiting www.bell.ca/bizemail 2. A login screen will then appear prompting the user for a user ID and password 3. Once that information is entered the user is able to access their e-mail account. 2. How do I access the suite of e-mail enhancements? There are about twenty e-mail features available which are divided into 2 categories: A. Basic Features B. Advanced Features A. Basic features Here s the list of the free features available through the Webmail Preferences menu. Anti-Spam : Avoid wasting valuable time sorting and reading through junk email Page 3 de 3

With the Anti-Spam feature, all incoming messages are scanned to determine whether they should be categorized as spam, and are separated into a separate folder accordingly. How do I filter spam messages? To filter messages: 1. Click on the «Preferences» link at the top of the screen. 2. Click on the Anti-Spam link under the Mail Options menu. 3. Click on the desired option 4. Click Submit. The Anti-spam feature is now activated. Vacation message: Have you ever been in an all day meeting without access to e-mail or had to leave the office abruptly without notice? The vacation message feature allows you to send an automatic reply to e-mail messages you receive while you are away. That way you keep senders informed of your situation, and your response time, via a customized auto reply message. When creating a vacation alert you can compose your own message and select if it is sent in every response or only once to each sender. How to create a vacation message: 1. Click the Preferences link at the top of the screen. 2. Click the Vacation Message link under the Mail Option menu. 3. In the Message Text box, enter the vacation message text you want to send. 4. In the Usage Rules section, select the response method you want: Disabled - Disables the vacation message option. Reply Every Time - Replies to the sender each time a message is received. Reply Every Time with Echo - Replies to the sender each time a message is received and attaches the original message. Reply Once to Each Sender - Replies to the sender the first time a message is received and ignores subsequent messages from the same sender. 5. Click Save. Your vacation message is created and your response method is set. Forwarding: Have you ever been unable to access your mail? In the event that you are unable to check your Business Internet e-mail account, maintaining access to important messages is simple with the forwarding feature. It allows you to direct your messages to other e-mail addresses when you are unable to access it. This feature is useful during vacations and absences. Simply adjust your preferences to indicate a forwarding address, and all of your e-mails will be forwarded to Page 4 de 4

the address specified. You may even choose to keep a copy of the forwarded email in the originating email box. It s entirely up to you! How do I access the forwarding feature? To forward a message: 1. Click the Preferences link at the top of the screen. 2. Click the Forwarding link under the Mail Options menu. 3. In the Forwarding addresses box enter the addresses to which you want to forward your e-mail. Enter one address per line. 4. In the Forwarding Setting section, select the forwarding method you want: Disabled - Disables the forwarding option. Forward and keep a copy - Forwards the message to the specified address and keeps a copy. Forward, then discard - Forwards the message to the specified address and then discards the message. 5. Click Save. Message forwarding is set Mail server usage: Facing the daunting task of deleting old e-mails to clear space for new ones tends to arise at the least convenient moment This feature is useful because it informs you that your Inbox is reaching capacity before the amount of storage space is exceeded. Therefore, the notification feature provides you with the opportunity to organize your mailbox before storage capacity is reached. The default threshold is 75%, it may be increased or decreased to suite your individual needs. When a user s Inbox reaches 75% capacity a warning message is automatically generated. Users will be able to view their usage limit and set their notification capacity by accessing the Preferences menu How do I set the capacity warning? 1. Click on the Preferences link at the top of the screen. 2. Click the Server Usage link under the Other Options menu. 3. On the Server Usage page, go to the Set Warning option and enter the mailbox capacity for which you want to be warned. 4. Click Save The warning capacity is set. Alias: This feature allows you to map up to 3 e-mail IDs under the same domain name (e.g. @bellnet.ca) to one primary e-mail address. Smaller companies can give the perception that they have multiple divisions. e.g. sales@jsgraphics.ca, billing@jsgraphics.ca and support@jsgraphics.ca can all map to joe.smith@jsgraphics.ca. Page 5 de 5 How do I create/delete aliases?

1. Visit www.interaction.bell.ca 2. A login screen will appear, then you will be prompted you for a user ID and password 3. On the home page, click on Order on the left navigation bar and then on ecare 4. Select the subscriber s profile from the Menu section 5. Click on the Add/Delete Alias link and follow the instructions. The alias has been created or deleted. Wireless e-mail: Business Internet customers now have access to their e-mail Anytime! Anywhere! Connect up to 10 e-mail accounts and have access to information such as news, stock quotes, weather updates, and more with your Bell Mobility Digital PCS phone. You can manage and create your wireless profile by visiting our configuration site at www.bell.ca/wireless-isp. Secure logon to Webmail: This feature was installed on our messaging servers in order for all business Internet e-mail users to benefit from this new security feature. It will encrypt the log-on activities of users when they attempt to access the Web interface. It ensures that your user ID and password are protected (through encryption) when logging on through the Webmail site. B. Advanced Features You will find below the advanced feature s list providing you with greater security and more flexibility when managing your e-mail accounts. All these features are available for a minimal monthly fee per user. You can subscribe to these services by visiting our web site at www.interaction.bell.ca. Antivirus: Protect your PC against e-mail viruses. This service scans and clean all incoming e-mails (including attachments) before they reach your computer or network. If a virus is found in the e-mail or the attachment, it will be removed and the user will be notified. There is no need to install, setup or update any software as the application resides on our messaging servers and it reduces downtime associated with virus attacks. SSL Encryption: Prevent your messages from falling into the wrong hands Page 6 de 6 This is a security feature that enables users to send and receive e-mails through a Secure Socket Layer (SSL) between the user s computer and the messaging server. This is the industry standard for secure Internet transactions and is used by most banks and financial institutions. The message is encrypted to ensure it is not intercepted and read during transmission. A customer that subscribes to this service will have their e-mail sessions encrypted on POP3, SMTP, Webmail, and IMAP4 sessions. This service requires a simple configuration of your e-mail client. The settings will depend on the type of application used. The SSL feature will have to be activated on the

messaging servers prior to modifying your client. Please refer to the document below for more details. SSL.pdf IMAP4 : Increase your productivity and manage your messages more efficiently Store and manage your mail on the server with a more sophisticated e-mail protocol: IMAP4 - the Internet Mail Access Protocol version 4. Messages will remain on the server until the user explicitly deletes them or moves them to a local directory (such as on their PC). This model is advantageous if the user accesses mail from multiple PCs, laptops or other devices. It is also a security feature as it creates a backup of your e-mail on the server in case of PC failure. This service requires a simple configuration of your e-mail client. The settings will depend on the type of application used. Please refer to the document below for more details. IMAP.pdf Additional storage: Do you find that your mailbox capacity is not enough?? You can increase your mailbox storage on individual e-mail accounts in increments of 10MB, providing more flexibility and helping you manage your e-mails. The recipient of a secure e-mail will receive a link and will be asked to choose a user id and a password which will provide access to the e-mail content. This service can be activated when needed and it exceeds industry s standards for Internet security.
