Manual for On-Line Transfer of PPOs from Banks to Treasury The Finance Department Haryana has decided to Transfer PPOs from Bank to Concerned Treasuries. A Software has been developed for this purpose to follow step by step procedure by Banks and Treasuries till the start of Pension through E-Pension system already running by the State Government for disbursing of Pension to all its pensioners who retired after Octorber,2012. It may be noted that Data for Only those Pensioners who retire from Haryana State Government and taking pension from Banks in Haryana need to be transferred. Also, the PPOs of these pensioners must have been issued by AG, Haryana only. The Step-by-Step process is as follows : 1. Login to the E-Pension site using URL : www.hrtreasuries.gov.in and clicking on E-Pension or type http://epensionhry.nic.in in the browser to open the site. 1

After Clicking on E-Pension, You move to E-Pension site : 2. Each Branch have been assigned IFSC code as the Userid and IFSC code as the Password (UserID and Passwords are case sensititve). It is requested that the Passwords may be changed after First Login. 2

Menu for Bank Download Excel Template File Upload downloaded Excel File Generate Letter (Annexure-A1) Combined Report (View Bundle Status at Each Stage) Bank PPO Tracking History (Track Particular PPO) List of Duplicate PPOs (If same PPO sent in another Excel again or If PPO in already with E-Pension) 4. After the User Login, the following screen appears on the Screen. Here the user is requested to update his details and the Total no of PPOs available with CPPC/Branch. 4

The User can change the password and update the details. 5. After Clicking on Submit Button, User will be redirected to download the Template Excel File in the following Screen. 5

6. Here the User Click on the Download button. The user can download multiple number of Files. The downloaded file will have automatic name and don t change this name otherwise you would be able to upload it. The File would be saved in your Default Download Folder or in the Folder set by you in your browser setting. You can also check the location by Clicking CTRL+J on your browser to see the recently downloaded File and its Location. 7. The Following is the sample of downloaded Excel Template File where the data can be entered. Each Excel File would have Maximum 50 no. of PPOs. There are some Mandatory Fields eg. Pensioner/Family Pensioner Name, PPO No, Month upto which 6

pension disbursed, Basic Pension, Net Pension, Bank Account No, IFSC code. Enter Serial Number in Ascending Order starting from 1 to 50 against each PPO in each Excel File. Please Ensure that the Data Entered by you is correct in all aspect. NOTE : Please enter Current CVP deduction amount under Current CVP Recovery Column in Excel File and detail of All previous CVP deductions may be entered in Remarks Column along with Amount and Date. 7

8. The Bank can upload the filled Excel File using the Upload option under Main Menu as defined at Point No. 3 Above. Browse the Excel File and Click on Upload. Also Select the Treasury / Sub Treasury nearest to you from the Combo List where the file is to be sent. Enter your letter no and date at the time of uploading for future reference. SBI CPPC branch would send data to PDC only. The following Screen appears as per the case applicable. For Bank Branches that want to send data to Treasury/SubTreasury 8

9. After you click on Upload the system will automatically apply some basic validations and proper messages are indicated to correct the data. If all information is correct, the system allows to upload the data and allocates a Unique Bundle number to each excel file and the uploaded file will be shown in the Grid as shown in the Screen below. 10. The bank can verify the Uploaded file before sending it to Treasury/Subtreasury/PDC. On Click of Verfiy Button the user would be shown the uploaded excel file for final verification. In case of any discrepancy the user can Click on Reject/Remove Option and can modify the File and can upload that file again. The Verification Screen is as follows : 10

11. After Verifcation the user needs to Click on the Send button. Make sure that you have selected the correct Treasury/Subtreasury where the bundle is to be sent. Mark the Bundle No./Sr.No physically on each PPO in the same sequence as per Excel file. 11

The Bundle would be sent to Treasury / Subtreasury/ PDC and the Button would be disabled. 12. The User can now Generate the Covering Letter as per Annexure A-I by Clickng on Generate letter Annexure A-1 under Main Menu as shown at Point No. 3 and attach it with the Physical PPOs. 12

13. The user can also view the Status of Bundle at Each stage until it is finally acceptable by Treasury and Enable for disbursing of Pension through E-Pension system. 13

14. The user can also track PPO by entering PPO No. as per the following Screen. The complete history of PPO is shown. 14

15. There may be some instances where the PPO number can be duplicate in another excel file or it may exist in our pension system that PPO would be automatically rejected by the system and the report of such PPOs can be viewed by clicking on the duplicate PPO under Main Menu as mention at point no. 3 16. After that the Process starts at the Treasury/SubTreasury/PDC and the PPOs are analyzed by the concerned TO/ATO/PDC in detail and ensured that Correct data is entered into the E-Pension System. In 15

case of any PPO whose information could not be entered even after effort to contact pensioner personally by TOs/ATOs/PDC, such PPOs would be sent back to Bank and the Bank would continue to disburse pension for such cases. 17. For all those PPOs whose data has been successfully entered into E-Pension System, TOs/ATOs/PDC send letter to concerned Treasury/Substreasury/PDC from 5 th to 10 th of current month with the request the STOP the pension of such pensioners. 18. The Bank User would be able to view the List of all such pensioner whose pension needs to be stopped by the Bank as per the following during 11 th to 15 th of the current month and they would be required to Stop the Pension of all these pensioners and a letter would be sent as per Annexure-A4 to the concerned Treasury/Sub-Treasury/PDC upto 15 th of current Month. 16

19. The user need to select the Bundle No., All the PPOs of that bundle stopped by TO/ATO/PDC would be shown in the Grid as per following screen. The User is required to Click on STOP Pension Button at the Bottom for Stopping of Pension of all such pensioners in one go. 20. After Stopping of Pension the bank user need to generate Annexure- A4 as per the following list which will cover list of Pensioners whose Pension have been stopped by the Bank w.e.f 15 th of the current month so that the TOs/ATOs/PDC could generate the Pension of all such pensioners for the current Month. 17
