PREFACE EFORMS FOR SHAREPOINT The eforms for SharePoint enables you to easily create online electronic form on SharePoint. This manual provides you with details on how you can make use of eforms for SharePoint on Office 365 SharePoint Online. INSTALLATION AND CONFIGURATION Administration of the eforms app involves installing the application and assigning licenses. When installed, the eforms app creates a list called FBForms under the host web. The permission to this list needs to be managed separately, depending on your organization s requirements. PRE-REQUISITES Before beginning the installation and configuration, make sure that you are logged in as an administrator to SharePoint and the site where the eforms app is to be installed. Also, ensure that you have App license issuing authority. INSTALLATION Instructions below outlines how to install the eforms application to a site in SharePoint: 1. Navigate to the site where the app is to be installed. 2. Go to Site Contents and click on the Add an App tile. 3. Click on SharePoint Store. 4. In the search bar at top right corner, look for eforms. 2 P a g e
5. Click on the eforms app tile. 6. Follow the instructions to install the app and when prompted to trust eforms, click Trust it button. 7. After installation an app will appear in the site contents of the site collection. 8. A license will be automatically assigned to the user account, which was used for installing the App. ASSIGN LICENSE The following steps describes how to assign user licenses for eforms: 1. 2. Click on apps in the left hand side of the page. 3. Click Manage Licenses. 4. Assign licenses to users and administrators. 4 P a g e
APPLICATION SETUP Go to the site contents area of the site where eforms was installed and click on the eforms for SharePoint app. After navigating into the app web for the first time, the app web redirects to a user registration page, which is a compulsory step to start using the eforms app. After user registration, users can now utilise eforms to create and start producing forms for SharePoint lists and libraries. THE DASHBOARD The eforms dashboard brings all your forms and activities into one interface. REGISTER With first time use, the user gets redirected to the user registration page, which is a mandatory step. Once registration has been completed, users will not be prompted again for user registration. 5 P a g e
CREATING A NEW FORM Creating a form for SharePoint list/library using eforms is very simple. The following steps show how to navigate to the forms creation tool and more steps to design forms are discussed in DESIGN FORMS WITH EFORMS section. Select the Create a new form link on the left hand to navigate to the eforms designer tool to create a new form. OPENING AN EXISTING FORM To open a form that is already created, Type the name of the form in the form search area and click on Find form button. Click on the form link, edit or delete button to view, edit or delete the form. 6 P a g e
DESIGNING FORMS WITH EFORMS SELECTING LIST Select a SharePoint list from the Select a list dropdown ADDING CONTROLS TO A FORM To add controls to a form, simply drag a form element from the Toolbox area. 7 P a g e
ADD OR CHANGE CONTROL PROPERTIES Control properties can be changed by clicking on a control, which displays the control properties on the left hand side of the canvas. Label, field name and validators are some of the most common properties across most of the controls. 8 P a g e
SAVE THE FORM Give your form a name and click on the Save button to save the form. EFORMS APP PART SET-UP eforms also installs an app part (web control) that can be added to SharePoint pages. Following are the steps to add eforms app part into a SharePoint page: 1. Edit a SharePoint page. 2. Add a web part by selecting a zone in the page and clicking on Web Part button. 9 P a g e
3. Select eforms Viewer from the list displayed and click on Add button. 4. eforms Viewer should now appear in the page content area. Ignore the message as the properties of the app part needs to be modified to load a form. 5. Edit the app part properties and expand the eforms configuration section. 10 P a g e
6. Edit the Form name field to reflect an existing form, Item ID to -1 if creating a new item else to ID of item from the list associated to the form. Change View or Edit to either view or edit depending on the mode you want the form to load in the page. Click Ok and save the page to view the form. 11 P a g e
VIEWING THE FORM IN THE VIEWER ER FIND THE FORM YOU WANT TO WORK OR VIEW 1. Type the name of the form in the form search area. 2. Click the form to view from the listed search results. 12 P a g e
