SMART Board User Guide for PC What is it? The SMART Board is an interactive whiteboard available in an increasing number of classrooms at the University of Tennessee. While your laptop image is projected on the SMART Board, you can tap on the screen with your finger. The SMART Board becomes a giant touch-screen. Tapping on the screen with your finger is equivalent to a click with your mouse. You may draw on the SMART Board using the four electronic pens on the SMART Board tray. Use the board for lectures, presentations, and more. BEFORE USING THE SMART BOARD Computer Requirements: (For Version 10.0) A PC laptop with the following: (For Windows 98 and higher operating systems) o Pentium II 450 MHz processor o 256 MB of RAM (512 MB recommended) o 180 MB of free hard disk space for minimum installation (840 MB for full installation with Gallery collections) o Windows 2000, Windows XP or Windows Vista operating system o Internet Explorer internet browser 6.0 or later o Adobe Flash player version 8 SMART Board Software Download the latest free SMART Board software from this website: http://www2.smarttech.com/st/en-us/support/downloads/default.htm To download the Smart Notebook software: Select Smart Notebook software Windows Operating System or Smart Notebook Software Mac Operating System appropriate to your computer. Ignore the Current customers and New customers text and scroll to the bottom of the page. Click the Download button. This will download, but not install the software. To install the Smart Notebook software: You should be near a Smartboard or Smart Sympodium when you install but DO NOT plug in the USB cable until prompted to do so at the end of the installation process. First, UNINSTALL any previous versions of the Smart Notebook software. Double click the installer icon, and install the software according to the instructions (most people neither want nor need the Galleries - those are mostly K-12 activities and lesson plans.) Use NB-AEAAG-DAIJR-HYRVY-DEDAK when asked for your product key. At the end of installation, the software will notify you that it is unable to find a functioning Smartboard product, and ask if you want it to search for one. Click Yes, then connect the USB cable from the Smartboard port to your laptop. When the Smartboard (or Sympodium) is detected, the installation will finish, and you will be ready to use the software. Make sure you have the latest version and update periodically. CONNECTING TO THE SYSTEM Before turning on the system, make sure all cables are connected. Turn on the system first, by pressing the ON button on the control panel; then turn on your laptop. Lower the projection screen using the wall switch. Wait for the warm up countdown to end by selecting the input source. NOTE: If your selected image does not appear on the projection screen and the LED light is on, press the input source again. Connecting Your Laptop Locate one of the two VGA cables stored in the bottom drawer of the podium. Connect one end of the cable to the port on the back of your laptop (on a Dell, the port is blue); connect the other end of the cable to the VGA port in the Laptop section of the connection plate. The connection plate is generally on the side of the podium. (An electrical outlet is there also.) C o Connection Plate 2009, Office of Information Technology 3

Make sure to choose Laptop under Input Select on the control panel. Turn on the SMART Board by pressing the SMART BOARD ON button on the control panel. Using the Projector to Display a Laptop s Screen The projector will display within 30 seconds after starting the system. Note, if the system is turned off, it cannot be turned back on until it has cooled down this takes approx 2 minutes. There are three video output display modes: 1. Video display output on laptop screen only (projection screen is blank) 2. Display on both laptop and projection screens 1. Video display output on projection screen only (laptop screen is blank) The default mode is laptop only. In order to toggle between the three display modes: 1. On a Dell, hold down the function key and press F8 2. On a Gateway, hold down the function key and press F3 3. On other PCs, look for a button that says "LCD." Connecting a Laptop to the Built-In Speaker System If you want to output audio from your laptop to the speaker system: Locate the thin audio cable in the bottom drawer of the podium. 2009, Office of Information Technology 4

Plug one end of the audio cable into the headphone jack on the side of the laptop; connect the other end to the "Audio" jack in the Laptop section of the connection plate directly below where you connect the laptop VGA cable. Note: Do not use the Audio jack in the AUX 1 section. Connecting a Laptop to the Internet In order for you to connect to the Internet either with a wireless card or an Ethernet card, your computer must be registered with the university. You may register online at http://netreg.utk.edu/. If you are not using a wireless card, locate the Ethernet cable in the bottom drawer of the podium. Connect one end to the Ethernet port on your laptop; connect the other end to the Network port in the laptop section on the connection plate. Turn the projection system on at the small AMX control panel (tap to wake up). 2009, Office of Information Technology 5

When the system is warmed up, press Laptop on the menu screen and turn on your computer. Press the Power button from the SMART Board. THE FIRST TIME YOU USE THE SMART BOARD Launching the SMART Board Software If the SMART Board icon is not visible in the system tray (the bottom right hand corner of the taskbar), double-click the SMART Board icon located on the desktop to launch the software: A small SMART Board icon will then appear in the system tray. Click on this icon to display the SMART Board menu. Detecting the SMART Board: When you connect to the SMART Board, if you see the SMART Software icon located in the system tray, the SMART Board is ready to use. If there is a detection problem, open the Control Panel. You will see an X on the SMART software icon and a red circle with an X on the Control Panel. 2009, Office of Information Technology 6

Check the connections. If you still have a problem, select Tasks/Connection Wizard in the Control Panel. The SMART Board Settings window will appear and automatically detect the SMART product. If the SMART Board detection process is successful, you will see the red circle and X is changed to a green circle and check mark in the Control Panel window. Click OK, and close the SMART Board Control Panel window to continue using your computer with SMART Board applications. 2009, Office of Information Technology 7

If it does not work, check your connections, and restart your laptop. Then, try the detection process from the beginning. Orienting the SMART Board The first time you use your laptop with the SMART Board, and subsequently if the board does not appear to be working correctly, you may need to orient the board. Click on the SMART Board Icon in the system tray. Select Orient from the menu. The standard orientation pattern will appear on the SMART Board screen. Use your finger or one of the pens to touch the 9 points as shown below. Note: This process can be further customized through the SMART Control Panel/SMART Hardware Settings/ Pen and Button Settings/(drop-down arrow) Orientation/Alignment Settings. 2009, Office of Information Technology 8

TEACHING WITH THE SMART BOARD Displaying Images on the SMART Board Anything you can display on your laptop monitor will be projected onto the SMART Board when you are connected to the system. For example, you could display: Word Documents Images Pages on the Internet PowerPoint Presentations Statistical or Design Programs Touching the SMART Board is equivalent to clicking with mouse. Tap once on the board for a single mouse click; tap twice on the board for a double click. Drawing on the Board Use the colored, electronic pens in the SMART Board tray to draw on the board. Do NOT write on the SMART Board with dry-erase markers or pens. Note that the SMART pens are interchangeable. They will write in the color of the lighted empty pen tray. Try to keep the pens in the correct trays. Also note that if you remove a pen from the tray, your finger will act as a pen and you cannot tap on the screen as a pointer. Return the pen to its tray (or select mouse from the Floating Toolbar) to be able to tap on the screen again. Use the eraser to erase your marks. Press firmly when using the eraser. To erase a large area, use the circle and tap method: using the eraser, draw a circle around the area you want to erase, and tap in the center. 2009, Office of Information Technology 9

To customize the appearance of your tools: Click on the Gear icon at the bottom of the Floating Toolbar. Drag the desired tool onto the bar; likewise, drag the undesired tool away. Using the Floating Tools The Floating Tools feature allows you access to a variety of one-touch controls. To launch the Floating Tools, click on Show Floating Tools in the SMART Board menu. Clicking on the arrow icon will expand the toolbar to the regular Floating Tools. You will also realize that whenever you pick up a pen from the SMART Board tray, the Ink layer appears with a minimized Floating Toolbar containing only two buttons (camera and undo) appears. If you wish to move the Floating Tools around, grab by the handle located on the side of the Floating Tools and drag to a desired position. The Tools can be hidden by clicking on Hide Floating Tools on the menu. The Floating Tools can be hidden partially by clicking on the double arrows on the handle. 2009, Office of Information Technology 10

The default toolbar looks like this: Default options on the Floating Tools are: Capture an Area - when you select this tool the mouse will change; then drag your mouse diagonally across the area of the screen you want to capture to the SMART Notebook. Use Mouse Cursor this is the default tool Pen tool use to create annotations on screen Highlighter use your hand or a pen to highlight in yellow Restore Cleared Page (Undo) Eraser erase with a pen or your hand Right-click of the mouse your next tab (or click) on the screen will be a right-click More use to reach options like customizing or closing the Floating Tools Customizing Floating Tools To customize the Floating Tools in color, size, and more, open the Control Panel and select SMART Hardware Settings. You can change the color, transparency, thickness, and line style. You can change the eraser thickness, and with mouse/keyboard buttons, you can assign other actions to SMART Board mouse/keyboard buttons. Your customized settings will be kept on your computer until you hit the Defaults button. The Floating Toolbar allows you access to a variety of one-touch controls.to launch the Floating Tools, select Show Floating Tools from SMART Board Tools menu. This will launch the default Floating Tools. To use Floating Tools, your computer needs to be 2009, Office of Information Technology 11

connected to the SMART Sympodium. If you wish to move the Floating Tools around, grab by the bar located on the top of the Floating Tools, and drag to a desired position. Using the SMART Notebook There are three ways to get information into the Notebook. You can use the Screen Capture Tools while working with other programs such as Word or PowerPoint. The captured information will be transferred to the SMART Notebook. You can import image and Flash files to the SMART Notebook by using the SMART Notebook s Insert menu. You can create annotations while working with the SMART Notebook. Using the Screen Capture Tools On the default Floating Tools, the top left button allows you to take a partial screen capture and save it to the Notebook. If you would like to have other screen capturing options, you can customize your Floating Tools and add other options (please refer to Customizing Floating Tools above). Another option to capture screen images is to use the Screen Capture Toolbar. To launch the Screen Capture Toolbar: Start the SMART Notebook. From the View menu, select Screen Capture Toolbar. Capture an Area when you select this tool the mouse will change; then drag your mouse diagonally across the area of the screen you want to capture to the SMART Notebook. Window Capture when you select this tool, select the window you want to capture to the SMART Notebook, and the active window will be shaded. Screen Capture when you select this tool, the whole screen will be captured to SMART Notebook. Freehand Capture when you select this tool, the area you have 2009, Office of Information Technology 12

defined will be captured to SMART Notebook. If Save to new page is checked, the captured images will be located in a new page of SMART Notebook. Creating Annotations in the SMART Notebook If it is not started, start the SMART Notebook. Draw or write in the Notebook with one of the pens or select the pen from the Floating Tools. After use, replace the pen in the pen tray. If you selected the pen from the Floating Tools, select the mouse arrow again. If you want to convert the handwriting to text, click on the object to select it. If you select it, a border around the object and arrow will appear. Click on the arrow button, and select one of the options to convert it to text. If none of them is appropriate, delete the object and try to write clearly. Note: You may also use the SMART Keyboard to write on a SMART Notebook page. Select the keyboard by pressing the button next to the pen trays with a picture of a keyboard on it (or choose Keyboard from the Start Center). The image of a keyboard will appear on the screen. You may choose your option for data entry from the dropdown menu (see the following image). First, tap at the desired location on the SMART Notebook page. Then, enter your information in the SMART Keyboard. The information will be displayed as typed characters at the desired location on the SMART Notebook page. 2009, Office of Information Technology 13

Saving or Exporting Notebook Files You can save or export SMART Notebook files in several formats: Notebook files, Image files, HTML files, or PDF files. To save the annotations as SMART Notebook file, from File menu select Save. To export as a Web page, an image file, a PDF file, or a PowerPoint file, from File menu select Export and the Export window will appear. Select the desired format, and enter a file name; then click the Export button. Using the Notebook with PowerPoint Launch PowerPoint and open your presentation. From the View menu, select Slide Show to begin your presentation. When you enter Slide Show mode, the presentation floating toolbar will appear. By default, a double-click will advance the presentation. To move backward and forward between slides, you may: Click on the left and right arrow buttons on the toolbar above or Tap on the screen once, and then tap again to the right of your initial tap to move forward; tap on the screen once, and then tap again to the left of your initial tap to move backward. Clicking on the menu button in the center of the presentation floating tools, and choosing Settings will enable you to turn off the double-click feature. Note the choices in the drop-down list: Saving ink notes, Insert Drawing as Image, Clear Drawing, Add Blank Slide, PowerPoint Commands, Settings, SMART Floating Tools and End Show. 2009, Office of Information Technology 14

You can copy a picture of the slide with your notations on it to the SMART Notebook, leaving your PowerPoint file unchanged. From the presentation floating toolbar menu, select Saving ink notes. You have the option to save drawings or notations made on the SMART Sympodium in the PowerPoint presentation itself so that when you next open the presentation, your notations will be there. To automatically insert the drawing or annotation into the presentation, choose Insert Drawing as Image. In addition, if you leave the presentation without inserting the image, you will be given the option at this point. Under Settings, choosing Double-Press to Advance will enable you to click on a URL rather than advance to the next slide. You will have to click twice to advance. If you have active URLs in the presentation, choosing the double click is recommended; otherwise, you will not be able to follow the URL. To move backward and forward between slides, you may: Click on the left or right arrow buttons on the presentation floating toolbar or To move forward, tap on the screen once, and then tap again to the right of your initial tap to move forward; to move backward, tap on the screen once, and then tap again to the left of your initial tap. Recorder The Recorder allows you to simultaneously record your voice and video of the screen as you draw and change the display on the screen, effectively creating a narrated video. Note: If you are running Windows 2000 or XP, the first time you use the recorder it will recommend that you set your Hardware Acceleration to none. To do so, select Control Panel > Display > Settings > Advanced > Troubleshoot and move the slides to none. To record, you will need a microphone either built-in or connected to your laptop. Make sure the volume is not muted. To open the Recorder: From the SMART Board menu, select Recorder. The Recorder controls will appear: 2009, Office of Information Technology 15

Press the Record button to start recording, press Stop when you are finished. Your voice will be saved along with everything that is displayed or written on the board while you record. By default, the file saved will be in movie format (.avi) and can be viewed using Windows Media Player, Real Player, Quicktime, or similar software. From Menu, you can change your preferences and have the file saved as a SMART Recorder file that can be viewed with Smart Media Player. NOTE: Files tend to be about 10MB per minute, so if you record an entire lecture, your file will be very, very large. You will need special storage space on a server for files this size if you want to put them on the web. Other Tools Other SMART Board tools include the Screen Shade, Spotlight, Magnifier and Calculator. USING OTHER EQUIPMENT Using the VCR with the Projector The VCR is located on a shelf at the bottom of the podium. 1. Put a tape in the VCR and the power will come on automatically. 2. Choose VHS under Input Select on the control panel. 3. Control the VCR by using the buttons under VHS Controls on the control panel. 4. Press the eject button on the front of the VCR to manually eject the tape. To return to other projection modes such as projecting from your laptop or document camera, press the appropriate button on the control panel. 2009, Office of Information Technology 16

Using the Document Camera with the Projector 1. Set up the document camera on the shelf on the side of the podium. The shelf can be raised and locked into position. 2. Locate the VGA cable that came with the document camera. 3. Connect one end of the cable to the VGA port (use SXGA/XGA/SVGA port, not Extern In port) on the back of the document camera, and connect the other end to the Document Camera port on the connection plate. 4. Plug the document camera s power cord into the outlet on the right side of the podium. 5. Make sure the document camera is turned on. 6. Press Document Camera button under Input Select on touchpad. 7. Use the auto focus controls on the top of the document camera, or use the remote control for finer adjustments. Using the Laser Disc/DVD/CD Player 1. Press the DVD/Laser Disc button on the control panel. 2. To play a DVD/CD, press the DVD/CD button on the front of the machine. 3. To play a laser disc, press the LD button on the front of the machine.. 4. Insert the DVD/CD or laser disc. 5. Use the controls on the touchpad to operate the player 6. Initially, volume might be at 0; use the volume control on the touchpad to turn up the volume. Note: if you switch the input on the control panel, the disc will continue to play until you press stop.
