3 Introduction to Using the SMART Board This one-hour introduction to using the SMART Board will help you get started in using the tool in your classroom. The goals for this workshop are to teach the following skills: 1. Connect SMART Board to computer 2. Install SMART Board software 3. Orient the SMART Board 4. Write and Erase Annotations on Screen 5. Control Applications with the SMART Board 6. Control PowerPoint 7. Annotate and Save PowerPoint Files 8. Notebook Software a. Convert Annotations to Text b. Capture the Screen to Notebook c. Save and Export your Notebook file Before you begin, it is helpful to check to ensure you have the latest software: 1. Microsoft Office (2003 for PC, 2004 for Mac) free to faculty and staff 2. SMART Board software (9.5) Free download from smarttech.com Why Use a SMART Board? SMART Boards have been shown to help boost student engagement, learner motivation and knowledge retention. Advantages: Utilize digital resources while still directly interacting with the classroom Use computer-based learning with a communal screen, not individual computers Intrinsically motivated learners enjoy demonstrating knowledge on the SMART Board Extrinsically motivated learners are enticed by the wow factor and will experiment Student engagement enhances retention, and the board can archive a class session, unlike a traditional white board More information available at: Research/Research/Benefits+to+learners.htm 1
4 1. Connect the SMART Board The SMART Board is easy to connect. It requires 2 cables: VGA (video) cable from the projector, and a USB cable from the SMART Board. 1. Plug the VGA Cable into your computer. (If you have a Mac, then you will need the adapter) VGA Cable Mac VGA Adapter 2. Plug the USB cable from the SMART Board into your computer. The SMART Board gets power from your computer, so the green light in the lower right hand corner will show it is connected. Use the screen switching key on your laptop to get the view of the SMART Board and your laptop at the same time (usually Fn-F4 or Fn-F8). Mac Users go to Control Panel Display Detect Displays 2. Install the Software SMART Board software is free for download, and is necessary to use the board. Smarttech.com has versions for Windows, Mac and Linux: Alternatively, a CD is available in each classroom with the software on it ready to install. Double click the Installer and follow the onscreen steps. You may need to restart your computer when the software is finished installing. NOTE: Some versions of the software may ask you if you want to register your SMART Board. Simply bypass registration, it is not necessary. 2
5 3. Orient the SMART Board When you connect your computer to the SMART Board, it may not be aligned correctly. To ensure the pen movement is accurate, you need to orient it. The process is quick and one you should be familiar with. The control panel lets you change most of the settings on the board, and displays the board status. If you have connected everything correctly, it should say The SMART Board interactive whiteboard is functioning properly. The Control Panel allows you to customize the SMART Board. To access it: PC: Start Menu 1. Click on the Start Menu 2. Navigate to All Programs SMART Board Software Control Panel Mac: Applications Folder 1. Open a Finder Window 2. Go to Applications SMART Board Software Control Panel Once the Control Panel is open: 1. Press the Orient/Align the SMART Board button 3
6 2. Press the center of each target and release. 3. Once all the points have been pressed, alignment is complete TIP: A shortcut to bringing up the alignment screen is to press the both tray buttons at the same time (keyboard and mouse buttons). 4. Write and Erase Annotations on Screen The power of the SMART Board is the ability to write on TOP of anything on the screen. For example, the Smarttech.com downloads page can be written on by simply picking up the pen: 4
7 Floating Tools The Floating Tools allow for switching between Write mode and Select mode by clicking on the correct icon. The tools pop-up automatically whenever a pen is removed from the tray. TIP: If the Floating Tools do not appear, you can turn them on in the SMART Board Software Folder or by clicking on the SMART Board Tools icon Floating Tools on PC Floating Tools on Mac Moving back and forth between the Select Arrow and the Pen Tool allows you to switch from Select mode and Write mode. If you want to Erase, simply select the Eraser button or pick it up from the tray. How To: Write 1. Press the Pen button to begin writing on a layer. A box will appear around the page How To: Select 1. Press the Select button to use the pen like a mouse. The box around the page disappears TIPS: 1. When you start to write on top of a layer, you will see a box pop up around the page. This indicates an invisible writing layer has been placed on top of your page. 2. The SMART Board only remembers the last tool you picked up from the tray. a. Eg: if you pick up a black pen, then a red pen, your ink will be red, even if you write with the black pen 5
8 5. Control Applications with SMART Board The SMART Board is a powerful teaching tool. In its simplest form, the board works just like a mouse or touch screen. Use the pens or your finger on the board the same way you would a mouse. To use the pen or your finger as a mouse: 1. Enter Select mode by pressing the arrow button on the Floating Tools 2. Use the pen or your finger to perform mouse actions (see below) 3. To switch back to writing, press the Write button on the Floating Tools Mouse Actions For a single click, just tap the board For a double click, tap the board twice quickly For a right click, tap and hold for 3 seconds or press the mouse button on the pen tray to make your next click a right click TIP: When you start to write on top of a layer, you will see a box pop up around the page. This indicates an invisible writing layer has been placed on top of your page. Practice doing this a few times with your finger or the pen and switch back and forth between Write and Select modes. 6. Control PowerPoint with the SMART Board The SMART Board allows you to control PowerPoint presentations without a keyboard or mouse. SMART software adds a three-button Slide Show Toolbar that pops up in the lower left corner of the presentation. You can also advance slides by using the tapping shortcut described below. 1. In PowerPoint, select Slide Show Menu View Show 2. Use the arrows in the Slide Show Toolbar to move forward and back 3. The Center button gives you access to the Commands (PC Only) Tapping: You can also tap 2x on the board to make it go forward or back. 1. Forward: Tap twice, making sure the second tap is to the right of the first 2. Backward: Tap twice, making sure the second tap is to the left of the first 6
9 7. Annotate and Save PowerPoint Presentations Make Annotations in PowerPoint To make annotations during a presentation, simply pick up a pen and write on top of the slide. PowerPoint annotated: Annotations will be added directly to the presentation as an image Save Annotations in PowerPoint (PC Only) To save your annotations, do the following: 1. Press the Center button on the Slide Show toolbar. 2. Choose your option (Capture to Notebook, Insert Drawing as Image, Clear Drawing) If you choose to Insert the Drawing as Image, annotations will be saved directly into PowerPoint as new Images. If you export to Notebook, each slide will show up as a new Notebook page. TIPS 1. If you do not save the presentation before returning the pen to the tray, you lose the annotations. 2. If you insert annotations, you may want to use the File Save As command to save your annotated presentation under a different filename so you can keep a clean copy 7
10 8. Use the Notebook Software SMART Boards use special software called Notebook that gives you the ability to do a great number of tasks. In its simplest form, the Notebook is simply that a collection of blank pages to write on. Today you will learn 3 features of Notebook: Ways to Open Notebook 1. Write on a blank page 2. Capture Annotations to Notebook 3. Export your Notebook file as a PDF or PowerPoint file Method 1: Start Menu (PC) 1. Click on the Start Menu 2. Navigate to All Programs SMART Board Software Notebook Method 2: Taskbar Icon (PC) 1. Right Click on the SMART Board Taskbar icon 2. Select Notebook Method 3: Applications Folder (Mac) 1. Open a Finder Window 2. Go to Applications SMART Board Software Notebook Method 4: SMART Start Center (Mac/PC) Access via SMART Board Tools 1. Click on the Notebook icon on the SMART Start Center Toolbar Notebook on Mac Notebook on PC Write in Notebook A blank Notebook page has a variety of tools, like a word processor and drawing program combined. You could do an entire session in Notebook, working problems or comparing and contrasting information. 8
11 Notebook allows you to import and place documents, pictures, sounds and video onto the page. SMART Board s website has an entire lesson dedicated to using Notebook in the Classroom: To write in Notebook, pick up a pen and write! Below is a picture of the Notebook toolbar and a description of each of the tools for your reference. It s also available for download from SMARTTech.com Notebook Toolbar Buttons Reference 9
12 Convert Annotations to Text The SMART Board can also convert your hand-written annotations into actual text Notebook has the ability to recognize your handwriting and guess the word you are writing. 1. Write with the pen 2. Press the black Select arrow 3. Draw a box around the text 4. Press the down arrow on the upper right corner and Recognize the right word Capture your Screen to Notebook What happens when you mark up a screen, and want to save those annotations? For example, an instructor visits a website about active learning with PowerPoint and completes the activity. 10
13 The problem is, once I am done writing on that layer, the writing disappears. Notebook is the answer! Use the Capture Toolbar to save areas of the screen to Notebook. Using the Capture Toolbar: PC Start Menu 1. Click on the Start Menu 2. Navigate to All Programs SMART Board Software Other SMART Tools Screen Capture Mac: Applications Folder 1. Open a Finder Window 2. Go to Applications SMART Board Software Other SMART Tools Screen Capture 4 Different buttons are available: 1. Area 2. Window 3. Full Screen 4. Selection The easiest to use is the Full Screen button. How to Capture the Screen. 1. Annotate the information you want to capture 2. Press the Full Screen button on the Capture Toolbar to send the screen to Notebook 3. Make any further changes in Notebook. At the end of class, Notebook has pages for each activity of the class. However, you want to distribute this to students as a PDF or PowerPoint presentation, not in the Notebook application. 11
14 Export from Notebook Notebook allows you to save your Notebook pages as a webpage, set of images, PDF or a PowerPoint presentation. This is especially helpful for students who may not want to install the SMART Board software simply to use Notebook. Here s how to do it from inside Notebook: 1. File Export 2. Choose the Format to export to: Webpage, Images, PDF, or PowerPoint Choose a destination for your file and save it All of the pages in your Notebook file will be exported to the format you choose. 12

Activity Practice Using the SMART Board (20 min) The following activities were designed to provide learners with a chance to practice the new skills covered in the course and gain confidence using the SMART Board. Please complete each activity with your group and note any problems you encountered so they can be addressed in the large group session. The sample webpage and PowerPoint files for this activity can be found temporarily at: Concepts Covered: 1. Connect and Orient the SMART Board 2. Use a Pen or Finger to Navigate Using the SMART Board 3. Write in Notebook 4. Annotate a Webpage 5. Capture Annotated Content to Notebook 6. Control and Annotate PowerPoint Connecting and Orienting the SMART Board, p. 2-3 (5 min) Spend 5 minutes in your group practicing the following: 1. Turn on the Projector 2. Connect the SMART Board to the projector (page 2) 3. Orient the SMART board (remember the shortcut: press the 2 tray buttons to bring up the Orient screen) (page 3) Using a Pen or Finger to Navigate, p. 4-5 (2 min) Spend 5 minutes in your group practicing the following: 1. Pick up the Pen 2. Choose Select mode from the Floating Tools bar (comes up when you pick up the pen) 3. Navigate around and try to open and close some windows Write in Notebook, p. 8 (3 min) 1. Open SMART Board s Notebook software 2. Draw in Notebook, practicing using a few tools, add a new page or two 13
16 Annotate a Webpage, p. 10 (4 min) 1. Open Internet Explorer or Firefox and open the website: 2. In your group, come up with an example of a positive and negative learning experience involving PowerPoint 3. Annotate the webpage with the positive and negative experience, using a different pen color Capture Annotated Content to Notebook, p. 11 (5 min) 1. Open Screen Capture toolbar 2. Choose either Full Screen or Capture Area and practice it several times 3. Switch back to Notebook and see how the capture comes to the page 4. Export the Capture as a PDF (File Export PDF) Control and Annotate PowerPoint, p.6-7 (5 min) 1. Open the PPT File on 2. Practice tapping forward and backward through the slides 3. Practice annotating by answering the questions on Slide 3 and Slide 4 4. Practice saving annotations using the center button on the Slide Show toolbar Come back to the room and we will finish up the session 14
