DEFINITION This position represents the Elko County District Attorney s Office, Criminal Division. Responsibilities include greeting the public for the Criminal Division and answer the telephone and route calls to the appropriate person, receive and distribute all incoming/outgoing mail, reports and legal documents, prepare banking deposits. Assist caseworkers and professional staff with various clerical duties. Appropriate professional attire is required. Normal business hours Monday Friday 8:00 a.m. 5:00 p.m. SUPERVISION RECEIVED AND EXERCISED Under the direct supervision of the Assistant Office Manager, this position serves a Receptionist/Assistant Criminal Caseworker for the Criminal Division of the District Attorney s Office. EXAMPLES OF DUTIES Duties may include, but are not limited to the following: Politely and professional greet those arriving at the District Attorney s Office and attempt to provide them the requested service. Politely and professionally answer Criminal Division telephone lines (within 3 rings). Screen the calls before rerouting to the appropriate recipient. Take clear, concise, and accurate telephone messages. Provide back-up to child support telephones and walkin customers, directing visitors when applicable. File documents with various Justice and District Courts, obtaining the Judge s signature, when required. Enter clear and concise case notes in the computer after speaking with a customer in person or on the telephone.

Receive and distribute all incoming Criminal Division mail, reports and legal documents to the proper persons after entering case notes received. Check criminal and child support out-going boxes at the clerk s office, justice court and county mailroom. Process outgoing mail. Serve as a back up to the Child Support Division receptionist when needed. Confidentiality and teamwork is a must. Maintain Criminal Division Office copiers; change toner and maintain paper supply. Keep accurate inventory of office supplies; inform Office Manager when supplies need to be ordered. Perform miscellaneous secretarial tasks at the direction of the Assistant Office Manager, including copying files, letters, faxing etc... Perform professionally and efficiently under pressure. Maintain composure in spite of constant disruptions. Open new bad check files in computer system; request certified banking records and monitor the case for payment. Understand orders, motions, petitions, stipulations, and other legal documents. Copy all certified documents, carefully preserving the original for admittance to Court. Backup for attorney witness/victim interviews. Copy and distribute jury lists. Locate closed and spindled criminal files, as requested. Explain general policies and procedures regarding the Criminal Division to the public. Assigned job tasks/duties are not limited to the essential functions. Maintain calendar for child support caseworkers and schedule appointments. Perform miscellaneous secretarial tasks at the direction of the Child Support Program Manager, including copying files, letters, faxing, setting up new case folders, etc. Maintain and update child support enforcement manuals and report binders. Take documents to county clerk s office and stamp all outgoing mail daily. Check criminal and child support out-going boxes at the clerk s office and mail room, distribute all documents to proper persons. Placate a sometimes resentful public.
